Tailor your resume to the specific office job by identifying what the posting asks for, then moving your most relevant, truthful experience to the places an employer is likely to scan first. Use the posting’s wording when it accurately describes your skills, and support each claim with a concrete example rather than a task list.
Start by breaking down the job posting
Before editing your resume, separate the posting into the qualifications and work the employer emphasizes. This prevents you from treating every administrative job as interchangeable.
- Required qualifications: experience, education, certifications, or language skills described as necessary.
- Preferred qualifications: useful background the employer says it would like, but does not present as essential.
- Recurring duties: responsibilities repeated or given particular emphasis, such as scheduling, reception, correspondence, or recordkeeping.
- Tools: software, office equipment, or communication systems named in the posting.
- Role-specific terms: accurate names for the work, people supported, records handled, and services provided.
Administrative assistant roles can involve calls, visitor inquiries, databases, word processing, filing, correspondence, scheduling, supplies, meetings, and coordination. General office clerk work may combine phones, bookkeeping, word processing, office equipment, and filing. Those are examples, not a checklist every employer expects: use the target posting to decide what belongs on your resume. See the U.S. occupational profiles for secretaries and administrative assistants and general office clerks.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteChoose evidence that matches the role
For each important requirement, identify a real example from a job, school, volunteering, or another relevant setting. A different job title does not rule out useful experience: customer service may demonstrate phone handling and visitor support, while coordinating a club or project may show scheduling and organization. Describe the work you actually did and avoid implying that transferable experience was a formal administrative position.

Match examples to the posting’s main areas of work. For example, emphasize calendar coordination when scheduling is central; records accuracy when the role focuses on files or data entry; or customer-facing communication when reception and phone handling recur. Mention software or equipment only if you have genuinely used it, and name the tool accurately.
Put the strongest evidence near the top
Adjust the summary, skills, and experience sections so a reader can find the most relevant qualifications quickly. Put the experience and accomplishments that best support this particular role ahead of less relevant duties. Keep the sections consistent: a skill listed near the top should be supported by an example where appropriate, and dates, titles, and accomplishments should agree throughout.

CareerOneStop recommends: “Describe your work experience using keywords from the job posting, especially terms the employer uses for required or desired skills and experience.” Apply that selectively. If the posting says “calendar management” and that accurately describes your work, use that term; do not add a keyword for a skill you cannot substantiate. Read CareerOneStop’s resume guide to work experience for related guidance.
Turn duty labels into specific resume bullets
A bullet that only names a duty gives little context. Add what you did, the setting or people involved, and a real result when you can support one. For example, instead of “Handled scheduling,” explain whose appointments you coordinated and what the work involved. Instead of “Maintained files,” identify the records or filing system and how you kept information organized, if that reflects your actual work.

- Action: What did you do?
- Context: Whom did you support, or what schedule, records, correspondence, or service did you handle?
- Outcome: What useful result followed, if one can be stated accurately?
Use numbers only when you have reliable figures—for example, a documented volume of records handled or appointments scheduled. Do not estimate or invent workload, savings, speed, or impact to make a bullet sound stronger. A clear, accurate description is more useful than an unsupported metric.
