The subscription owner can share eligible Microsoft 365 Family or Microsoft 365 Premium benefits with up to five other people. On Microsoft’s Services & subscriptions page, choose Share, send an email invitation or copy an invitation link, and have each recipient accept it and join the owner’s Microsoft family group. Microsoft 365 Basic and Personal do not support this sharing process, and a person who receives a shared subscription cannot share it again.
What household sharing includes
Sharing connects the other people in your household to the owner’s eligible subscription. Each accepted member can use the plan’s included Microsoft 365 desktop apps and OneDrive allowance, subject to the plan’s current storage rules and rollout status. Membership in the family group is required before those benefits become available.
Sharing does not merge Microsoft accounts. Every person continues signing in with their own account, and their personal information remains separate. The owner does not automatically receive access to another member’s files, email, appointments, contacts, photos, or notebooks.

Only the account that purchased and currently owns the Family or Premium subscription can initiate invitations. If six other people already occupy the five available slots, the owner must stop sharing with someone before inviting another person.

Before you send an invitation
Confirm that you are the subscription owner
Sign in with the Microsoft account that bought the Family or Premium plan. A shared member who signs in instead will not see the owner’s sharing controls. If Start sharing or Share is absent, first verify the plan edition and that the subscription is active.
Check the five-person limit
Count current members and pending invitations in the sharing dashboard. The allowance is five additional people, not five devices. Each invited person can use the apps on their own supported devices under Microsoft’s normal sign-in and installation limits.
Check family-group membership
An invitee who already belongs to a different Microsoft family group generally must leave that group before accepting your invitation. Microsoft also lists an existing full-benefit shared subscription as a reason an invitation may not be offered. Ask the person to resolve those memberships first rather than repeatedly sending new invitations.

Use the address the recipient checks and prefers for Microsoft account invitations. A person may have several addresses, but the invitation must be opened by the intended recipient. If you use a link instead of email, send it privately to that person.
How the owner shares Microsoft 365 Family or Premium
- Open Services & subscriptions. Go to Microsoft’s account area for services and subscriptions and sign in with the account that owns the eligible Family or Premium plan.
- Select Share. Open the sharing control for the subscription. Depending on the current account interface, this may appear as Share or Start sharing.
- Choose an invitation method. Enter the household member’s email address to send an invitation, or choose the option to copy an invitation link and deliver it directly.
- Confirm the invitation. Check that the address is correct before sending. An incorrect address can leave the invitation pending while the intended recipient waits for a message that will never arrive.
- Monitor the dashboard. Return to the sharing page to see whether the invitation is pending or accepted. Microsoft’s sharing instructions describe a 48-hour acceptance window for the invitation flow covered there; send a new invitation if that invitation expires.
After the recipient accepts and joins the family group, the dashboard should show the person as a member rather than a pending invitee. The owner can use this page to manage invitations and stop sharing with an individual later.
How an invited household member joins
- Open the invitation. In the Microsoft 365 message, select Accept. If you cannot find it, search junk or spam folders for a Microsoft 365 invitation.
- Join the owner’s family group. Select Join now. Sign in with your Microsoft account, or create one if Microsoft prompts you and you do not already have an account.
- Start the apps. Select Start using Microsoft 365 apps. If the apps are not installed on the device, choose Install and complete the installation steps.
- Sign in with your own account. When an app asks for activation, use the account that accepted the invitation. Do not use the owner’s password or make the owner’s account the everyday profile on your device.
If you are already in another Microsoft family group, leave that group before accepting the new invitation. Microsoft family-group membership is not the same as sharing a folder or calendar; changing groups can affect other family features, so review what you currently use before confirming the move.

What is shared and what stays private
Benefits that members can receive
- Microsoft 365 desktop applications included with the owner’s Family or Premium plan.
- The plan’s OneDrive storage allowance, according to the subscription’s current allocation and storage rollout status.
- Access to the owner’s subscription benefits for as long as the invitation remains accepted, the member remains in the family group, and the owner continues the subscription.
Information that remains personal
Joining the family group does not automatically expose a member’s personal files, email, appointments, contacts, photos, or notebooks to the subscription owner. Each account retains its own content and sign-in. A member must deliberately share a file, folder, notebook, or other item for another person to see it.
Microsoft family features can provide shared locations, such as a Family inbox, family calendar, and family OneNote. Those are separate collaboration spaces; they do not turn every member’s private mailbox or OneDrive into a common drive.
Copilot and other AI features
Included AI capabilities are not passed to the additional members. Microsoft’s Premium description says the plan can be shared for apps and storage, while its support wording states: AI features are only available to the subscription owner and cannot be shared.
A family member who joins successfully should therefore not expect the owner’s Copilot entitlement or other included AI features to appear in that member’s account.
How OneDrive storage works during the rollout
Microsoft is moving new Family and Premium subscriptions, and later renewals of existing subscriptions, toward pooled OneDrive storage. Microsoft’s announced figure for new subscriptions under that rollout is 2 TB of pooled storage. “Pooled” describes the plan-level allowance; it does not mean that members can browse one another’s private files.
The timing for existing subscribers needs care. Microsoft pages returned for this guidance give different dates—one cites April 1, 2027, while another cites May 2, 2027—for the change affecting existing subscriptions. Because those pages conflict and storage labels can change, check Microsoft’s current storage guidance for your renewal status instead of relying on either date as universal.

After accepting an invitation, allow up to two hours for OneDrive’s quota display to update. If the old amount remains after that period, refresh the storage page and confirm that the member completed both acceptance and family-group enrollment.

Manage invitations and membership over time
The sharing dashboard is the owner’s control center. A pending invitation means the recipient has not completed acceptance and family-group enrollment; it is not the same as an active member. Check the dashboard before using another invitation, because an unused invitation can continue to count toward the available sharing allowance.
If the recipient entered the wrong address, did not accept within the stated 48-hour window, or cannot use that account, cancel or replace the pending invitation from the sharing page when the control is available, then send a fresh invitation to the correct address. Give the recipient the exact account address used in the invitation so they do not accept while signed in to a different Microsoft account.
When someone no longer needs access, the owner can stop sharing with that individual instead of changing the entire household arrangement. The person’s Microsoft account and personal content remain theirs, but the shared app and storage entitlement ends. A newly available slot can then be used for another eligible household member.

Privacy when a household uses shared family spaces
Family-group membership can make certain shared locations available, including a Family inbox, family calendar, and family OneNote. Treat those as deliberately collaborative spaces: information placed there may be visible to other family members. Keeping a document in personal OneDrive, personal email, or a private notebook does not automatically place it in those locations.
The subscription owner also does not receive a master password or automatic browsing rights over members’ accounts. Each member should keep using their own Microsoft account and should share individual files or folders only when they intend to. This separation is useful when household members share the same plan but have different work, school, or personal data.
Troubleshoot the most common sharing problems
The recipient never received the invitation
- Confirm that the owner typed the recipient’s preferred email address, not an old or rarely checked address.
- Ask the recipient to search junk, spam, and quarantine folders for a Microsoft 365 message.
- Check the owner’s dashboard. If the invitation is still pending, copy a fresh link or resend it within the stated acceptance window.
The Share or Start sharing control is missing
- Sign out and back in with the account that purchased the subscription.
- Verify that the plan is Microsoft 365 Family or Premium, not Basic or Personal.
- Confirm that the subscription is active and that fewer than five additional people are already using the share allowance.
- Make sure you are not trying to share a subscription that was itself shared with you; only the owner can invite others.
The invitee cannot accept
- Check whether the invitee belongs to another Microsoft family group. They must leave that group before joining the owner’s group.
- Check whether the invitee already has a full-benefit shared subscription, which Microsoft identifies as a possible eligibility conflict.
- Have the invitee open the invitation while signed in to the account that received it, then select Accept and Join now.
Apps still say there is no subscription
Confirm that the member accepted the invitation and joined the owner’s family group, then sign out of the Microsoft 365 apps and sign back in with the invited member’s account. Reinstalling is usually unnecessary until account membership and activation have been verified; use the invitation’s Start using Microsoft 365 apps and Install options if Microsoft still reports that the apps are unavailable.

OneDrive shows the old quota
Wait up to two hours after acceptance, refresh the storage page, and verify that the member appears as an accepted family-group member rather than a pending invitee. The storage display can also reflect the subscription’s rollout or renewal status, so an unchanged number is not by itself proof that sharing failed.

What happens when sharing stops
The owner can stop sharing with an individual, a member can leave the family group, or the owner’s subscription can end. In each case, the member’s personal files remain intact. What ends is the entitlement supplied by the subscription.
- The member loses the extra OneDrive storage associated with the shared plan.
- The member loses fully functional desktop-app benefits from the subscription.
- After the benefit period expires, Microsoft says the member can still view and print Office files but cannot edit existing files or create new documents through the expired entitlement.
Before leaving or ending a share, move or back up files if the account is close to its standalone storage limit. The files are not deleted simply because the share ended, but exceeding the account’s available quota can affect future syncing and uploads.

Sharing an existing Family or Premium plan is usually the straightforward choice when one household has an owner account and no more than five other people need the included apps and storage. A separate subscription may make more sense when someone needs an independent owner account, must use included AI features, or cannot join the owner’s family group.

There is no universal advantage to Premium for every household. Compare the benefits each person actually needs—especially owner-only AI features—before changing plans. The five-person limit, family-group requirement, and storage transition status are the practical constraints that determine whether sharing will work for your household.

Can a person with Microsoft 365 Personal or Basic share it?
No. Microsoft’s sharing process applies to Microsoft 365 Family and Microsoft 365 Premium. Basic and Personal do not provide the household-sharing control.
Can someone who receives a shared subscription invite another person?
No. Only the account that owns the eligible Family or Premium subscription can initiate sharing. A recipient cannot re-share the subscription.
Why must an invitee leave another Microsoft family group?
Microsoft requires the invitee to join the owner’s family group. Membership in a different family group can block acceptance, so the invitee must leave that group first.
Can the subscription owner see my OneDrive files or email?
No. Your files, email, appointments, contacts, photos, and notebooks remain private unless you deliberately share an item. Shared family locations such as a family calendar are separate spaces.
