The owner of an eligible Microsoft 365 Family, Premium, or Pro subscription can share its benefits with up to five other people. Sharing starts on Microsoft’s account Services & subscriptions page: the owner sends an email invitation or creates a link, and each recipient accepts the invitation and joins the owner’s Microsoft family group.

Family-group membership is required for the subscription benefits to activate, but it does not expose anyone’s private files, email, contacts, appointments, photos, or notebooks. Basic and Personal subscriptions cannot be shared. The instructions and storage entitlements below reflect Microsoft Support information checked in October 2026; plan features and storage rollout dates can change.

Which Microsoft 365 plans can be shared?

Microsoft identifies Family, Premium, and Pro subscriptions as shareable plans. The subscription owner can invite a maximum of five additional people, for as many as six people using benefits in total. Basic and Personal subscriptions do not include this sharing capability.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Subscription type Can the owner share it? Additional people Important qualification
Microsoft 365 Family Yes Up to five Each recipient must accept an invitation and join the owner’s family group.
Microsoft 365 Premium Yes Up to five Exact benefits and storage treatment depend on the current plan terms and rollout status.
Microsoft 365 Pro Yes Up to five Check Microsoft’s current plan comparison for regional availability and included features.
Microsoft 365 Basic No Not applicable The owner cannot send subscription-sharing invitations.
Microsoft 365 Personal No Not applicable The subscription is intended for one account.

A person who receives a shared subscription cannot use that share to invite additional people. Only the account that purchased and owns the eligible subscription has the Share controls.

The family-group requirement

Sharing is tied to Microsoft’s family-group system. An invitation is not complete when the recipient merely opens the email or link. The recipient must select the acceptance option shown, then select Join now to become a member of the owner’s family group. If the recipient already belongs to another Microsoft family group, they must leave that group before joining yours.

What to check before sending invitations

Start with the account that actually purchased the subscription. A person who is using somebody else’s shared benefits cannot manage the owner’s invitations, even if that person is an adult in the same household. If the Share control is missing, verify the purchasing account first, then confirm that the plan is active and is Family, Premium, or Pro.

Count the people already listed on the Sharing page before inviting anyone. The limit is five additional people, not five invitations in addition to five current members. An unaccepted invitation still occupies a place until it expires or is otherwise cleared, so avoid sending duplicate invitations while troubleshooting.

It is also worth checking the current plan comparison for your country before renewal. Plan names, regional availability, application entitlements, AI features, and storage treatment can change. If pooled storage is important, look at the storage information in the owner’s live account rather than relying on an older description of the plan.

What a household member receives

Microsoft 365 applications

After joining, the recipient can use the eligible Microsoft 365 applications included with the owner’s plan, such as Word, Excel, PowerPoint, and Outlook. They sign in with their own Microsoft account and install or activate applications from their own account dashboard; they do not use the owner’s password.

OneDrive and cloud storage

OneDrive is listed among the subscription benefits. Storage is changing from older per-person descriptions to a pooled model for Microsoft 365 Family and Premium. Microsoft’s dedicated storage-change guidance describes 2 TB of shared cloud storage for those plans as the change rolls out. The available amount and whether your account has moved to pooled storage depend on the plan and the rollout stage.

Microsoft states that existing Family and Premium subscriptions generally receive the pooled-storage change after the first renewal on or after May 2, 2027. Other Microsoft Support pages display different dates, including dates for new subscribers and earlier renewal windows. Because those pages conflict by page and locale, do not assume one universal effective date. Check the storage information shown in the subscription owner’s account and the current plan terms.

Benefits that are not automatically shared

Microsoft’s current sharing instructions reserve AI features and extended storage for the subscription owner. A member may therefore have access to the ordinary application and OneDrive benefits while not receiving owner-only AI or premium storage features. The exact list can change with the plan, country, and Microsoft’s rollout; use the current plan comparison when a particular feature matters.

What remains private

Joining the same family group does not give the owner access to another member’s personal account. Microsoft’s subscription-sharing FAQ states: “No, the personal data of each person sharing a subscription remains private.” That includes personal files, email, appointments, contacts, photos, and notebooks unless the person deliberately shares an item.

A family group can include shared locations such as a family inbox, calendar, or OneNote notebook. Those are separate shared resources, not a window into each person’s private content. A OneDrive file also remains private until its owner uses a sharing control to grant access.

Family membership and file sharing are therefore separate decisions. Joining the group is an account-management step that activates subscription benefits; it is not consent to browse another member’s OneDrive or Microsoft 365 files. If a household needs a common document, calendar, or notebook, the person who owns it must share that specific item or use a designated family resource.

Limits to check before you send an invitation

  • Five additional people: count current invitees and members before adding someone new.
  • One family group at a time: an invitee in another family group must leave that group first.
  • Microsoft account required: the recipient can create one during acceptance if they do not already have one.
  • Invitation window: Microsoft’s sharing instructions say an invitation must be accepted within 48 hours.
  • Five devices per person: each person can be signed in to Microsoft 365 on five devices at once. If they sign in on another device, Microsoft automatically signs out the first device.
  • Owner control: only the subscription owner can invite people, stop sharing, or manage the subscription’s share list.

The five-device limit applies to each person’s Microsoft 365 sign-in, not to a shared household pool of five devices. Someone who uses a computer, tablet, and phone can still sign in on two more devices. If a sixth device is activated, Microsoft signs out the first device automatically; the user can sign back in there later, subject to the same limit.

How the subscription owner shares Microsoft 365

  1. Open the subscription-management page. Sign in to the Microsoft account that purchased the subscription, then open Services & subscriptions. Locate the Microsoft 365 subscription and select Share.
  2. Confirm that Share is available. The control appears only for an active eligible plan and the owning account. A person using someone else’s shared subscription will not see it.
  3. Choose an invitation method. Select the email option and enter the recipient’s email address, or choose the option to create and copy a sharing link. Send the email or deliver the link privately to the intended household member.
  4. Tell the recipient what to expect. Explain that opening the invitation is only the first step: they must choose Accept or Get started, then choose Join now.
  5. Keep the invitation within its validity period. Microsoft says invitations are valid for 48 hours. If it expires, create a new invitation from the Sharing page.
  6. Check the member list. Return to the Sharing page after acceptance. The recipient should appear as a member, and an available share slot should be consumed.

Email and link invitations lead to the same family-group requirement. A link is convenient when the recipient does not want the invitation sent to a particular email inbox, but it should still be delivered only to the intended person. The recipient must complete the process with the Microsoft account they plan to use for the applications and OneDrive.

How the invitee accepts and activates the benefits

  1. Open the invitation email or sharing link before the 48-hour window ends.
  2. Select Accept or Get started, depending on the wording displayed.
  3. Sign in with a Microsoft account. If there is no account, follow Microsoft’s prompt to create one.
  4. Read the family-group prompt and select Join now.
  5. If Microsoft reports that you are already in a family group, leave that existing group first, then reopen the invitation and repeat the acceptance process.
  6. Once membership is confirmed, open the recipient’s Microsoft account dashboard to install eligible applications and manage OneDrive.

Use the recipient’s own Microsoft account for installation and everyday sign-in. Sharing does not require handing over the owner’s credentials and doing so would make account recovery and privacy harder.

If the recipient has several Microsoft accounts, decide which one should own the files and application sign-in before accepting. Accepting with one account and then opening Word or OneDrive with another can make a valid share look unavailable. The account shown in the family-group membership and the account used in the application should match.

How to confirm that sharing worked

Successful acceptance has two separate signs: the recipient appears in the owner’s family-group or Sharing view, and the recipient’s account dashboard shows the available Microsoft 365 benefits. If an application still asks for a subscription, sign out of the application, sign back in with the invited account, and verify that the account joined the owner’s family group rather than merely opening the invitation.

OneDrive can take time to display a changed quota. If it still shows only the free allowance, first confirm that the invitation was accepted and that Join now was completed. Allow time for the account change to propagate, then refresh OneDrive or sign out and back in. Storage shown in the account is authoritative for that subscription and rollout stage.

Troubleshooting common sharing problems

There is no Share button

  • Check that you are signed in with the account that purchased the subscription, not an invited member’s account.
  • Confirm that the plan is Family, Premium, or Pro and is active. Basic and Personal plans cannot be shared.
  • If the subscription was purchased through an organization or another account, sign in to the purchasing account to manage it.

The recipient cannot join

  • Make sure the invitation has not passed its 48-hour validity period; issue a new invitation if necessary.
  • Have the recipient leave any existing Microsoft family group, then reopen the invitation.
  • Verify that the recipient is using the Microsoft account intended for the subscription. Joining with a different account can make the benefits appear to be missing.

The invitation was accepted but applications still show an unlicensed state

  • Confirm that the recipient selected Join now and appears in the owner’s member list.
  • Sign out of Microsoft 365 applications and sign back in with the recipient’s account.
  • Allow time for Microsoft’s account changes to synchronize before checking again.

OneDrive still shows the free quota

Check acceptance and family-group membership first, then wait for propagation and refresh the account. Also check whether the subscription has reached the pooled-storage rollout for its plan and renewal date; an older storage entitlement may still be displayed until that change applies.

An invitation seems to have disappeared

Check the invitation’s age and the owner’s member list. An invitation is time-limited to 48 hours, and sending multiple invitations to different accounts can make it unclear which account accepted. Have the recipient open the newest invitation while signed in to the intended Microsoft account, then confirm the resulting membership on the owner’s Sharing page.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How to stop sharing with one person

  1. The owner signs in to the Microsoft account and opens Services & subscriptions.
  2. Open the Microsoft 365 subscription’s Sharing page.
  3. Find the person and choose the control to stop sharing or remove their subscription benefit.
  4. Confirm the change. The person loses the shared subscription benefits after the account update takes effect.

Stopping the share does not automatically remove that person from the Microsoft family group. If you also want them out of the group, manage family membership separately. Revocation does not delete the person’s files. Microsoft says the person can continue to view and print existing Office files, but they cannot edit or create files in the desktop applications once the subscription benefit ends. Their OneDrive allowance returns to the applicable free quota, and their files remain intact subject to that quota and Microsoft’s account rules.

Because the files remain intact, stopping a share is not the same as deleting an account or erasing a OneDrive. The affected person should review the storage indicator and download, move, or otherwise manage files if the account exceeds the free allowance. The owner should separately remove family-group membership only when that is also intended.

Understanding pooled storage during the rollout

The phrase “shared storage” can describe two different things: storage capacity assigned under a subscription and files that household members can actually open. Microsoft’s pooled-storage model combines the plan’s capacity for the family subscription, but it does not make everyone’s files visible to everyone else. File permissions still control access.

Microsoft’s dedicated storage-change page associates Family and Premium with 2 TB of pooled cloud storage. It also says the change for existing subscribers generally follows the first renewal on or after May 2, 2027. Other support pages show different dates for new and existing customers, so the date printed in a generic help article may not match the date on your account. Treat the storage indicator in the owner’s live account as the practical source of truth and review the current terms before relying on a particular quota.

Do not promise a household member a particular personal allocation unless the account explicitly shows it. The rollout is date-sensitive, and Microsoft’s support pages have displayed different effective dates for different plans, subscriber groups, and locales. The safe procedure is to check the current storage panel after joining and again after renewal if the plan is transitioning.

Choosing whether a shared plan fits your household

Decision question What to verify
Does the plan qualify? Family, Premium, and Pro can be shared; Basic and Personal cannot.
How many people need access? The owner can share with up to five additional people.
Which features matter? Applications and ordinary OneDrive benefits are shareable; AI and extended storage may remain owner-only under current instructions.
How will storage work? Check whether the account is on the 2 TB pooled-storage model and note the plan’s renewal-based rollout timing.
Can each person join? Every invitee needs a Microsoft account and must not remain in another family group.
How many devices are involved? Each person can be signed in on five devices simultaneously; an additional sign-in removes the oldest device session.

For a household that already uses separate Microsoft accounts, sharing preserves individual logins and private data while centralizing subscription management with one owner. Before purchasing or renewing, compare the current plan page for your country because Microsoft can change names, included features, storage treatment, and availability.

Frequently asked questions

Can I share Microsoft 365 Personal or Basic?

No. Microsoft lists Family, Premium, and Pro as shareable plans. Basic and Personal do not provide the owner with subscription-sharing controls.

How many people can use Microsoft 365 Family?

The owner can share benefits with up to five additional people, for up to six users in all. Each additional person must accept an invitation and join the owner’s Microsoft family group.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can a person I invite share the subscription again?

No. Only the account that owns the eligible subscription can invite people, manage the share list, or stop sharing. An invited member cannot re-share the owner’s subscription.

Can family members see my OneDrive files?

Not automatically. Microsoft says each person’s personal data remains private, including files, email, contacts, appointments, photos, and notebooks. A file is visible to another person only when its owner explicitly shares it or places it in a shared resource.

What if the invitee already belongs to another family group?

They must leave the existing family group before accepting and joining the owner’s group. After leaving, they should reopen the invitation and complete the Join now step.

How long is a sharing invitation valid?

Microsoft’s sharing instructions say an invitation must be accepted within 48 hours. If it expires, the owner should return to the Sharing page and create a new invitation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do shared members receive the owner’s AI features and extended storage?

Microsoft’s current sharing instructions reserve AI features and extended storage for the subscription owner. Ordinary eligible applications and OneDrive benefits may still be available to members. Check the current plan comparison for the exact feature list.

What happens when the owner stops sharing?

The affected person loses the shared subscription benefits after the account change takes effect, but remains in the family group unless separately removed. Existing files are not deleted. Microsoft says desktop Office files can still be viewed and printed, but the person cannot edit or create files in the desktop applications, and OneDrive returns to the applicable free allowance.

Why does OneDrive still show the free allowance after I joined?

First verify that the invitation was accepted and that the recipient selected Join now. Confirm the recipient appears in the owner’s member list, then allow time for the account change to propagate and refresh or sign in again. The account’s current storage display also depends on the plan’s rollout stage.

Bottom line

An eligible Microsoft 365 Family, Premium, or Pro owner can share benefits with up to five people by inviting each person from Services & subscriptions. The recipient must use a Microsoft account, leave any other family group, accept within 48 hours, and select Join now. Shared applications and OneDrive benefits do not expose private household data, while AI features and extended storage may remain owner-only. Check the live account for storage and plan details, because Microsoft’s pooled-storage rollout and feature terms are changing.
