Microsoft Teams gives you several ways to share a video, and the best method depends on where the video is stored and who should be able to access it. You can attach a video to a chat or channel post, upload it to the conversation’s Shared or Files area, share a OneDrive link, or show the video live during a meeting.

The important distinction is storage: a video sent in a chat is stored in the sender’s OneDrive for Business, while a video uploaded to a channel is stored in that team’s SharePoint library. That difference affects who can access, edit, move, or remove the file.

Share a video in a Teams chat

Use this method when you want to send a video to one person or a group chat.

  1. Open Chat in Teams and select the conversation.
  2. In the compose box, select Actions and apps.
  3. Select Attach file.
  4. Choose the video from your computer. Depending on the Teams version, you may also be able to choose a file from OneDrive.
  5. Add a message if needed.
  6. Select Send.

You can also drag a video from File Explorer or Finder directly into the Teams message area, then send it with an optional message.

A video sent in a one-to-one or group chat is stored in the sender’s OneDrive for Business, inside the Microsoft Teams Chat Files area. It is shared with the people in that conversation by default. It is not automatically stored in the team’s SharePoint site.

Upload a video to a Teams chat without attaching it to a message

If you want the video to remain easy to find in the conversation’s file area, upload it directly:

  1. Open the chat.
  2. Select the Shared tab. Some Teams versions label this area Files.
  3. Select Upload.
  4. Choose the video’s location, select the file, and choose Open.

The upload starts automatically. Other chat participants can find it by opening Shared and selecting Recent, Files, or Links.

Share a video in a Teams channel

Use a channel when the video belongs to a project, department, class, or other team-wide discussion.

  1. Open Chat, then select Channels.
  2. Open the relevant team and channel.
  3. Go to Posts and find the post where the video belongs.
  4. Select Reply if you are adding the video to an existing conversation. For a new discussion, start a new post.
  5. Select More actions and apps, then Attach file.
  6. Choose the video and select Send.

A video uploaded to a channel is stored in the team’s SharePoint document library. Channel members can access it according to the channel’s SharePoint permissions. Therefore, uploading a video to a channel is different from sending the same video privately in a chat.

Upload a video directly to a channel

  1. Open the channel.
  2. Select the Shared or Files tab.
  3. Select Upload.
  4. Choose the video, then select Open.

After uploading, you can return to the channel’s posts and add a message containing the video’s name or a link to it. In the channel file area, use In library to search the underlying SharePoint library. Use In Post to find files and links mentioned in channel conversations.

Share a video already saved in OneDrive

Sharing a link is usually better than uploading another copy of a video. It avoids duplicate files and lets you manage access from one location.

  1. In Teams, open OneDrive from the left navigation.
  2. Select My files.
  3. Hover over the video and select Share, or open More actions and choose Share.
  4. Enter a person’s name, group, or email address.
  5. Choose the required permission. Common choices include Can edit, Can review, and Can view.
  6. Optionally enter a message.
  7. Select Send.

For a link that you want to paste into a Teams chat or channel, choose Copy link instead. Paste the result into the compose box or post editor and send it.

Microsoft’s sharing dialogs often default to editing access. For a video that recipients should only watch, change Can edit to Can view before sending. If available in your organization, Can’t download lets recipients view the video without saving a local copy, although it is not a guarantee that the content cannot be captured by other means.

Share a video with someone outside your organization

External sharing must be enabled by your Microsoft 365 administrator and may be restricted by the team or SharePoint site.

  1. Open the video’s Share dialog.
  2. Open Link settings.
  3. Choose People you choose.
  4. Select Apply.
  5. Enter the external person’s email address.
  6. Choose a suitable permission, preferably Can view for a finished video.
  7. Select Send.

If external sharing is disabled, the option may be missing or unavailable. A Teams chat message by itself does not override your organization’s SharePoint or OneDrive sharing policy.

Share one video in multiple channels

Do not upload separate copies unless each channel genuinely needs its own version. Instead, keep one source video in OneDrive or SharePoint and share its link in each relevant channel.

  1. Open OneDrive in Teams and select My files, or open the video in its SharePoint library.
  2. Choose More actions and select Share.
  3. Set the intended permissions and select Copy link, or share directly with the required people.
  4. Open each channel and paste the link into a post.

One source file prevents version confusion. If the video is replaced or updated in its original location, people using the link continue to reach that source rather than an outdated uploaded copy. Remember that access still depends on each channel’s membership and the permissions on the file.

Share a video during a Teams meeting

If attendees only need to watch the video during a live meeting, use meeting screen sharing instead of uploading the file.

  1. Join the Teams meeting.
  2. Select Share in the meeting controls.
  3. Choose the window containing the video player, or choose your screen if necessary.
  4. Turn on the option to share computer audio if Teams displays it and the video includes sound.
  5. Play the video.

Sharing a window is safer than sharing your entire desktop because notifications and unrelated applications remain hidden. Screen sharing also does not give attendees a copy of the video. If they need to watch it later, send a OneDrive or SharePoint link in the meeting chat or upload the video to the meeting’s Shared or Files area.

Find a video after sharing it

Where you shared it Where to look
Chat Open the chat, select Shared, then use Recent, Files, or Links.
Channel post Open the channel, select Shared, then use In Post, Recent, Files, or Links.
Channel library Open the channel’s Shared/Files area and select In library.
Past meeting Open Calendar, double-click the meeting, and select Shared.

Why a Teams video upload fails

You receive a permissions error

Uploading to a SharePoint or OneDrive for Business library requires edit permission. A read-only user may see a Permissions needed error. Ask the site, team, or file owner for edit access, or share a link to a video stored somewhere you can manage.

You are signed in to the wrong account

Check that Teams is using the work or school Microsoft 365 account with access to the chat, channel, OneDrive, or SharePoint library. A personal Microsoft account cannot be used as Teams’ integrated OneDrive file store.

The sharing choices are greyed out

Your organization may restrict external users, forwarding, link types, or permission levels. This is an administrator or SharePoint policy issue, not usually a problem with the video itself.

The recipient can open the message but not the video

Use Manage access on the file to inspect permissions. A recipient may have access through a group, direct permission, inherited SharePoint access, or a different sharing link. Checking only the link in the Teams message may not reveal every access path.

The video has the wrong permission

Open the file’s sharing controls and review the current links and direct access. In some current OneDrive and SharePoint experiences, you cannot simply switch an existing sharing link from edit to view. Delete the existing link and create a new one with the required permission instead.

Which Teams video-sharing method should you use?

Can I send a video in Microsoft Teams chat?

Yes. Open the chat, select Actions and apps, choose Attach file, select the video, and send it. You can also drag the video into the message area.

Why can’t I upload a video to a Teams channel?

The most common causes are read-only SharePoint permissions, being signed in with the wrong Microsoft 365 account, or an organization policy that restricts uploads or sharing.

Can I share a video with an external person in Teams?

Yes, if your organization permits external sharing. Use Link settings, choose People you choose, select Apply, and enter the external person’s email address.

For a private conversation, attach the video in a chat. For a team-wide resource, upload it to a channel. For repeated sharing or tighter permission control, keep one copy in OneDrive or SharePoint and post a view-only link.
