To grant access to a Microsoft Teams channel, a shared-channel owner selects More options > Share channel > Share with people, chooses the people, and selects Share. To direct people who already have access to a channel, use Copy link; a link by itself does not grant permission. On mobile, use the channel name > Manage members > Add members.
Before you share a channel
Check the channel type and whether your organization permits the sharing you need:
| Channel type | Who can access it? | Can you share it beyond the team? |
|---|---|---|
| Standard | Everyone who belongs to the team | Not as a shared channel. Create a separate shared channel if controlled access beyond the team is required. |
| Private | Only people specifically added to the channel | No. Add members to the private channel or create a shared channel. |
| Shared | People or teams selected by the channel owner | Yes, subject to Microsoft 365, Teams policy, and cross-tenant configuration. |
Only owners and members of a shared channel can access it. Membership in the parent team does not automatically provide access to a shared channel that is restricted to selected people. Shared channels cannot be converted to standard or private channels or moved to another host team, so choose the host team carefully.
How to share an existing shared channel with specific people
- Open the shared channel in Microsoft Teams.
- Select More options (…) next to the channel, then select Share channel.
- Select Share with people.
- Enter an internal colleague’s name and select the matching result. For someone outside your organization, enter their external email address and select the matching result.
- Review the people and select Share.
- If Teams shows a role dropdown, you can make an internal person an owner. External participants can only be members.
The recipient receives a notification and can access the channel after the invitation is accepted under your organization’s policies. Guests with Microsoft Entra guest accounts cannot be added to shared channels. External participants use Microsoft Entra B2B direct connect and can only be members.

Share a channel on mobile
- Open the channel and tap its name at the top of the screen.
- Choose Manage members, then Add members.
- Enter and select internal names or permitted external email addresses.
- Tap Done.
How to share a channel with a team
A shared-channel owner can invite an entire team, rather than adding people one at a time:
- Open the channel’s More options menu and select Share channel.
- To share with a team you own, select Share with a team you own, choose the team, and select Done.
- To invite another team, select Share with a team. Enter the internal team owner’s name or an external team owner’s email address, select the matching result, and send the invitation.
- The invited team owner accepts or declines the invitation from the Activity Feed. If accepted, that owner chooses which team to add.
- The shared-channel owner reviews the request and approves or denies the team.
Sharing a channel with a team does not merge the teams, copy the channel’s history, or give the invited users ownership of the host team. The option can be unavailable when administrators block cross-team or cross-organization collaboration.
External sharing requirements
External sharing is not enabled by sending a link alone. Microsoft Entra B2B direct connect and an appropriate cross-tenant access configuration must be in place between the organizations. Teams administrators also control whether users can invite external users to shared channels and join external shared channels through Teams policies.

Because external people can only be members, do not promise them owner permissions. Guests cannot be added to shared channels; use the supported B2B direct connect relationship instead.
Create a shared channel, then share it
You cannot normally convert an existing standard or private channel into a shared channel. Create a new one instead:
- Open the team that should host the channel.
- Select More options (…) beside the team name, then select Add channel.
- Enter a channel name and, optionally, a description.
- Open the Channel type or Choose a channel type menu and select Shared.
- Select Create.
- Open the new channel’s More options menu, select Share channel, and add people or invite a team.
Teams does not automatically move posts, tabs, or files from an old channel. Tell participants where future conversations should happen and review connected resources separately.

How to send a channel link
If everyone already has permission and you only want to direct them to the channel, copy its link:
Recommended Free Tools
- Find the channel in Teams.
- Select More options (…) beside the channel.
- Select Copy link or Get link to channel; wording varies by Teams version.
- Paste the link into a Teams chat, email, document, or calendar invitation.
A link is only a shortcut. Someone who is not a member of the relevant team or shared channel may see an access-denied message or a request to join. For a private channel, the recipient must be added as a private-channel member.
Manage or stop sharing a channel
- Open the channel’s More options menu.
- Select Manage channel, Manage members, or Share channel, depending on the Teams interface.
- Review the people, teams, and roles listed under membership or access.
- Remove a person or team when access is no longer needed, then confirm the change.
Shared-channel owners can add or remove owners and members. Removing someone from the parent team does not necessarily remove them from a shared channel that was shared directly with them. Removing access also does not delete copies of information they previously downloaded.
When the Share channel option is missing
- The channel is standard or private: Create a shared channel for controlled access beyond the parent team’s membership.
- You lack permission: Ask a shared-channel owner to share it. Your organization may restrict who can create or share channels.
- External sharing is blocked: Ask a Teams administrator to check the policy setting Invite external users to shared channels, Microsoft Entra B2B direct connect, and the cross-tenant access relationship.
- The person cannot be found: Check the email address and whether the external organization is permitted by cross-tenant settings. Guests are not supported in shared channels.
- An external-addition error appears: The administrator may also need to review Microsoft 365 Groups guest settings identified in Microsoft’s troubleshooting guidance.
- The recipient can open the link but not the content: Confirm shared-channel membership and permissions for linked files, tabs, and apps.
Best practices for shared channels
- Use a clear name that identifies the project and audience.
- Share with named people rather than an entire team when the work is confidential.
- Give owner permissions sparingly; external participants can only be members.
- Remove external and temporary members when a project ends.
- Do not assume channel access includes every linked SharePoint file, Planner plan, or third-party app.
- Use a copied link for convenience only; use Share channel when you need to change access.
FAQ
How do I share a Teams channel with specific people?
Open the shared channel, select More options > Share channel > Share with people, enter and select the people, then select Share. On mobile, tap the channel name, choose Manage members > Add members, and tap Done.
How can I share a channel with a team rather than individual people?
Choose More options > Share channel > Share with a team. The invited team owner accepts or declines, selects the team if applicable, and the shared-channel owner then approves or denies it.
Why can’t I share my channel with an external person?
External sharing requires Microsoft Entra B2B direct connect, cross-tenant access configuration, and a Teams policy that permits invitations. Guests cannot be added to shared channels, and external people can only be members.

Does sending a Teams channel link give someone access?
No. A link opens or points to the channel, but the recipient still needs permission through team or shared-channel membership.
Can I share a private channel?
You can add permitted users to a private channel, but its membership is separate from the parent team. You cannot convert it into a shared channel; create a new shared channel for supported external collaboration.
Will sharing a channel share all team files and conversations?
No. It shares access to that channel, not automatically to the whole parent team. Files, tabs, and connected services can have additional permission requirements.

Use Share channel > Share with people to grant individual access, or invite a team when a whole team needs the channel. Use Copy link only for people who already have access. External participation depends on B2B direct connect, cross-tenant settings, and Teams policies; guests cannot be added to shared channels.
