To use the 3CX Windows Softphone for business calls, install the app your organization supports, provision it with your 3CX account, select the right microphone and speakers, and confirm that calls work in both directions. You will need your organization’s 3CX URL and extension sign-in or provisioning details. The exact setup depends on whether you have the Windows Softphone app or the separately documented 3CX Windows Client.
Before you install: identify your app and account details
3CX describes its Windows Softphone as “a native softphone for Microsoft Windows.” Its Windows Client is a separate app with a different setup path and a Softphone/CTI mode switch. Follow the instructions supplied by your organization rather than mixing steps from the two apps.
Get the 3CX URL and extension details from your administrator or your “Your 3CX Account Details” email. Your organization may use email or extension credentials, Google or Microsoft 365 sign-in, or a provisioning link from the Web Client. The 3CX Windows Softphone manual describes these options at 3CX Windows Softphone App.
Install and provision the Windows Softphone
Sign in directly to the Windows Softphone
- Install the Windows Softphone from the Microsoft Store.
- Open the app and enter your organization’s 3CX URL.
- Sign in using the email address or extension and password provided for your account, or use the Google or Microsoft 365 sign-in option if your organization has enabled it.
- If extension two-factor authentication is enabled, enter the security PIN when prompted.
Provision from the Web Client
If your organization directs you to provision through the Web Client, open it and select Apps, then the Windows App tile, and Provision. Accept the browser prompt to open 3CX. This path is documented in the Windows Softphone manual.

- [Personalized Feature Shortcuts] - Assign one-touch shortcuts on the large base display for quick access to the most important features like contact, messages, call history, timer, and more.
- [Conference and Intercom] - Streamline your communication experience with conference calling between an outside line and up to 4 cordless handsets, along with intercom functionality between handsets and the base unit.
- [Unsurpassed Range with DECT 6.0] - Experience the best in long-range coverage and clarity, provided by a unique antenna design and advances in noise-filtering technology.
- [Smart Call Blocker and One-touch Block] - Say goodbye to unwanted calls. Robocalls on your landline are automatically blocked from ever ringing through—even the first time. Instantly blacklist any incoming number with one touch. Store up to 1000 names and numbers to your block list.
If your organization uses the separate Windows Client
For the Windows Client workflow, open the Web Client and go to Apps > Windows App, install the client, download and open its configuration file, then allow the extension to configure. This is not the same as entering credentials into the Windows Softphone. See 3CX’s Windows Client instructions.
Choose whether calls use your computer or a desk phone
In the Windows Client guide, Softphone mode routes calls through the computer, while CTI mode lets the client control an IP deskphone. For a headset-only workstation, use Softphone mode. If the app is in CTI mode, a connected computer headset may not be the device carrying the call. The mode distinction is covered in the Windows Client guide and 3CX’s end-user troubleshooting guidance.

Set up your microphone, speakers, and headset
- Open the app’s audio settings and select the microphone and speaker you will actually use for calls.
- If you have a Jabra headset and the app offers its integration, open Settings > Audio/Video > Headset integration, select Jabra, connect the headset, and confirm it is ready. Then choose that headset for microphone and speaker.
- If you want incoming call ringing on a different device, select that device for ringing where the app supports it.
- Make a test call and confirm that you can hear the other person and they can hear you.
3CX’s Jabra configuration guide describes the Jabra setup, but headset controls vary by model. Device selection does not establish universal compatibility; check with your organization or headset provider if a feature does not work.
Make a test call and resolve common setup problems
Use the phonebook, dialpad, or paste a number into the calling interface, as described in the Windows Softphone manual. If your organization permits external calls, test an outside number as well as an internal contact.

- Headset buttons do not control calls: Verify that headset integration is enabled and that the model supports the control you expect. Basic microphone and speaker audio may work even when call controls do not.
- Remote connection fails: Your extension must be granted remote connection rights. Ask your administrator to check the permission rather than changing advanced connection settings yourself. See 3CX’s app troubleshooting guide.
- Sign-in or provisioning does not match these steps: Check whether your organization supplied Windows Softphone instructions or Windows Client instructions; the apps use different provisioning workflows.
Handle routine business calls
Place a call
Find a phonebook contact, enter a number on the dialpad, or paste a number into the app. Use the organization’s dialing conventions for external calls; the right format can depend on how its 3CX system is configured.
Manage an active call
Depending on your extension and configuration, the Windows Softphone manual documents holding a call, making another call, blind transfer, attended transfer, adding conference participants, and recording. A blind transfer sends the caller on without first speaking to the recipient; an attended transfer lets you speak with the recipient before completing the transfer. Recording and other controls may be unavailable or governed by your organization’s policies, so use only the controls your extension provides and follow workplace rules.

Set your availability and call handling
Choose the status profile that accurately reflects whether you can take calls. Status profiles can change how calls are handled, including forwarding behavior. The 3CX manual points users to the Web Client’s Configure/Call forwarding settings to change forwarding. Check your organization’s routing rules with your administrator before relying on a status or forwarding setting to redirect business calls.

- PC headset or deskphone: Use Softphone mode when calls should use the computer; use CTI when the Windows Client should control an IP deskphone.
- Basic audio or headset controls: A headset may provide microphone and speaker audio without supporting call-control integration. Features depend on the headset and app configuration.
- Office or remote connection: Remote use depends on your extension having permission to connect remotely. Ask your administrator if you are unsure.
