To prepare a Google Account for a period when you can no longer use it, sign in to that account, open Google’s Inactive Account Manager, choose a waiting period, name trusted contacts, decide whether each person should receive a notification or selected account data, and choose whether Google should delete the account afterward.
This is an inactivity plan, not a death-certificate check and not a way to transfer ownership or hand over a password. Google acts only after the waiting period you select and uses several account-activity signals. The settings can be edited or turned off later.
What Google’s Inactive Account Manager actually does
Inactive Account Manager lets you specify what Google should do if your account remains unused for the period you set. Google describes it as a way to decide who should have access to some information and whether the account should be deleted. The feature can notify trusted people, provide selected data for download, or do both, depending on the choices available in your account.

The trigger is inactivity, not a confirmed death. Google’s help page says it looks at several signals, including recent sign-ins, activity in My Activity, Gmail use (including the Gmail app), and Android check-ins. Those examples are not a complete technical specification, so do not assume that every action on every device will count in exactly the same way. The plan runs only after the inactivity period shown in the current setup page has elapsed.

Google Account Help puts the purpose this way: “Inactive Account Manager is the best way for you to let us know who should have access to your information, and whether you want your account to be deleted.”
How this differs from Google’s separate inactive-account policy
Your custom plan and Google’s general inactive-account policy are separate mechanisms. A plan can be set to act after the interval you select; Google’s policy says a personal account inactive across Google for at least two years may be deleted. The two-year period is a policy threshold, not a recommended setting for your personal plan.

Google also says individual products may have their own inactivity rules. Therefore, setting up Inactive Account Manager does not create a guarantee that every Google service will retain content until the plan runs.

Choose a realistic waiting period
Pick a period that matches how often you normally sign in and how quickly your trusted people should be alerted. Someone who checks Gmail daily may choose a shorter period than someone who uses an account only a few times a year. The reviewed Google help page does not publish a fixed list of interval choices, so use the options displayed live in your account rather than relying on a list copied from an older guide.
Decide who should be involved
You can designate up to 10 people. They do not all have to receive the same information: Google allows different data selections for different recipients. Use people you trust to handle personal messages, photographs, documents, or other material in the way you intend.

Separate notification from data access
A notification tells a contact that the account became inactive. Data sharing adds a list of the data types you selected and a download link. Decide whether a person needs only an alert, actual files, or both. Giving someone a notification does not automatically give them the account’s contents.
Decide whether deletion is acceptable
Account deletion is an irreversible outcome for planning purposes. Google’s deceased-user guidance says that if you ask Google to close the account, it cannot later process a request to turn over the contents. Treat deletion as a final disposal choice, not as a reversible archive.

- Sign in to the account you are planning. Open Google Account Help’s About Inactive Account Manager page and follow its link to the Inactive Account Manager page. Make sure the profile shown is the account whose data and contacts you intend to configure. If you manage several Google Accounts, repeat the process separately for each one that matters.
- Start the plan and review the live instructions. Google may change screen labels, explanatory text, and available options. Follow the controls shown on the current page; do not rely on button names from a screenshot or an older article.
- Select the inactivity waiting period. Choose the interval offered by Google that best fits the account holder’s normal usage and the urgency of the plan. Confirm what the page says will happen when that period ends. The exact interval list is not stated in Google’s help text, so the live account page is the authoritative source.
- Add trusted contacts. Enter the people you want Google to contact, up to the 10-recipient limit. Check every email address carefully. A mistyped address could prevent the intended person from receiving the notice or download instructions.
- Choose notification and data-sharing options for each contact. If the interface offers separate choices, decide whether each recipient should receive only a notice, selected account data, or both. Google says you can choose all shareable data or selected data types and assign different selections to different people.
- Provide a contact phone number if Google requests one. Google says the phone number helps verify the trusted person’s identity before that person downloads shared data. It is not an alternate password and does not give the person a way to sign in to your account.
- Review the account-deletion setting. If the page offers deletion after the plan runs, select it only if that is your deliberate final instruction. If preserving the possibility of a later contents request matters, do not treat closure as a safe default; Google says it cannot later process a request to turn over contents after you ask it to close the account.
- Finish the confirmation and record that the plan exists. Keep a private note in your estate, emergency, or family-planning records identifying the account and the existence of the plan. Do not record or distribute your Google password as a substitute for this feature. Google says its deceased-user process cannot provide passwords or other login details.
Choosing the waiting period without creating false alarms
The interval should be long enough to avoid triggering during an ordinary interruption, hospitalization, lost phone, extended travel, or a change in routine, but short enough to give your chosen people useful notice. Consider these questions before confirming it:
- How often does the account holder normally sign in through a browser, Gmail, an Android device, or other Google services?
- Could the account go unused for several weeks or months during normal travel or seasonal work?
- Who needs an alert quickly, and who would be better served by a later, less disruptive notification?
- Would another person have time to download the selected data before any separate retention or deletion process affects it?
Google’s examples of activity signals include recent sign-ins, My Activity, Gmail use (including the Gmail app), and Android check-ins. Because Google does not describe every edge case, regard the chosen interval as a planning target, not a guaranteed date calculated from one particular action.
Notification versus sharing: the privacy choice

The exact choices and labels can change. Read the description beside each control before confirming, especially if the page distinguishes between notifying a person and sharing data with that person.

Selecting data for one or more recipients
All shareable data
Choosing all available data is the broadest option presented by the feature. It may be appropriate for a person handling a complete digital archive, but it also exposes more personal material than a narrowly defined handoff. Review whether the recipient really needs every category before selecting it.

Selected-data sharing lets you limit what each person receives. For example, one contact might receive photographs while another receives documents or account records. Google says different data can be assigned to different recipients, so make each selection based on that person’s role rather than giving everyone the same package.
Information that cannot be shared
Some information is not shareable through Inactive Account Manager. The live setup page determines which categories are available. Do not promise a recipient that every item in the account will be included, and do not describe the download as a complete copy of the account.
Check privacy consequences
Data can contain conversations, location history, financial records, work material, or information about other people. Before adding a recipient, consider whether sharing a category could violate someone else’s privacy, a confidentiality obligation, or an organization’s policy. Remove categories that the person does not need.
What happens when Google considers the account inactive
- Google evaluates the account using the activity signals described in its help information.
- If the configured period is reached, Google sends the notification specified in the plan.
- If data sharing was enabled, the email lists the selected data and provides a download link.
- The trusted contact may need to use the phone number associated with the plan to verify identity before downloading.
Trusted contacts are not notified while you are merely configuring the plan. The configured notice is sent only after the inactivity condition is met. A contact also does not receive your password or a general login credential through this process.

Account closure is different from preserving access
Some people want a trusted person to retrieve selected material; others want the account removed. These goals conflict if closure happens before a contents request is made. Google’s deceased-account guidance says it cannot provide passwords or other login details, and it cannot later process a request to turn over account contents if you asked it to close the account.
If you choose deletion in Inactive Account Manager, make sure your important records are included in the data-sharing plan or stored in another lawful, secure location before the plan can run. Do not describe closure as a transfer of ownership: the feature does not make the recipient the account holder.
Keep the plan current
Google says you can edit the plan or turn it off from the Inactive Account Manager page. Review it whenever one of these changes occurs:
- A trusted person’s email address or phone number changes.
- A relationship, executor arrangement, or family responsibility changes.
- You create new Google data that should or should not be shared.
- Your normal sign-in pattern changes because you stop using Gmail, switch devices, or move to another account.
- You change your decision about account deletion.
- A work or school account replaces a personal account for important records.
After editing, reread every recipient’s data selection and the deletion choice. Keep a private record of the review date without writing down your password.

Google’s two-year inactive-account policy excludes accounts provided through work, school, or another organization. Those accounts may be controlled by an administrator and may follow retention, suspension, or deletion rules that are different from a personal Google Account. If the account is managed by an organization, ask its administrator what happens to mail, files, and other data when the account holder leaves or becomes unavailable. Do not assume that a personal-account plan overrides organizational controls.

If a death has already occurred
Inactive Account Manager is designed to act after inactivity, so it is not an immediate deceased-user request or a direct account-transfer service. Google’s deceased-account guidance says Google may work with immediate family members or representatives in some cases, reviews requests carefully, and cannot provide passwords or other login details. It also warns that requesting account closure prevents Google from later processing a request to turn over the account’s contents.
If a plan was already configured, the people named in it should follow the email and download instructions they receive rather than attempting to sign in as the account holder. If no plan exists, an authorized family member or representative must use Google’s stated deceased-user process and provide the information Google requests.
Troubleshooting and common planning mistakes
The page shows different labels than this guide
Google changes account interfaces. Use the current explanatory text and controls on the linked page. The help article points to the setup page but does not promise a permanent set of screen labels or interval values.

A contact says no message arrived
First check that the address entered in the plan is correct and that the account actually reached the configured inactivity period. The person should check spam or filtering rules. If data sharing was selected, the contact must follow Google’s verification and download instructions; a notification does not itself create a login.
You want to give someone everything
Review whether “all shareable data” is appropriate and remember that Google excludes some information. A complete account copy is not guaranteed, so preserve critical records through a separate lawful backup or estate process where necessary.
You want a person to keep using the account
Inactive Account Manager does not transfer ownership or provide a password. Decide instead which data should be shared and explain, through your private planning documents, how the recipient should handle the material without impersonating the account holder.
You changed your mind about deletion
Return to the Inactive Account Manager page while signed in and edit or turn off the plan. Do this before the configured inactivity period is reached, and confirm the updated setting on screen.

A private digital-legacy checklist
- Open Inactive Account Manager while signed in to the correct Google Account.
- Select a waiting period that fits real usage and the desired response time.
- Name no more than 10 trusted contacts and verify every address.
- Choose notification, data sharing, or both for each person.
- Assign all shareable data or selected categories separately for each recipient.
- Explain any requested phone number as an identity check for downloading, not as a sign-in credential.
- Decide deliberately whether the account should be deleted.
- Record privately that the plan exists, without sharing passwords.
- Revisit the plan after changes to contacts, devices, account usage, or estate arrangements.
