Use classic Outlook for Windows with a manually configured IMAP account. In Virtualmin, open Show Email Client Settings for the mailbox and copy its exact username, incoming and outgoing hostnames, ports, and encryption modes. Enter those values in Outlook rather than guessing common settings. A working connection also depends on a mail-enabled Virtualmin domain, resolvable DNS, a certificate matching the mail hostname, and VPS firewall rules that allow the required traffic.
What you need before opening Outlook
Outlook is only the client. Virtualmin, its mail services, DNS, TLS certificate, and the VPS firewall must already be prepared. Check each prerequisite before troubleshooting the desktop application.
A mail-enabled Virtualmin domain and mailbox
Confirm that the Virtualmin virtual server is configured for email and that the mailbox exists. The mailbox address may be user@domain.tld. Do not assume the login is only the part before the at sign: Virtualmin can require the complete email-style username.
The authoritative client settings
Sign in to Virtualmin, open the relevant mailbox or user, and select Show Email Client Settings. Record every value shown for the incoming server, outgoing server, username, password requirements, ports, and encryption. These are the settings for that installation and mailbox. Virtualmin automates Dovecot for IMAP and POP3 and configures Cyrus saslauthd for authenticated SMTP, but an administrator can choose hostnames, ports, or TLS modes that differ from generic examples.

A stable, fully qualified mail hostname
Use the hostname that Virtualmin publishes, commonly a name such as mail.example.com or the server’s fully qualified domain name (FQDN). The name must resolve to the VPS, be reachable from the networks where you use Outlook, and be covered by the server’s TLS certificate. A domain alias that is not in the certificate will trigger a warning even when it points to the correct IP address.
DNS, certificate, and firewall prerequisites
- The domain’s MX record should point to the intended mail host.
- The mail hostname needs an A or AAAA record that reaches the VPS, as applicable to your network.
- The certificate must be trusted and contain the exact hostname entered in Outlook. Virtualmin’s installer can request a real certificate when the hostname resolves correctly and the required ports are reachable.
- The VPS firewall and any provider-level firewall must permit the IMAP or POP3 service and SMTP submission port. Outbound delivery rules may also affect sending.
If one of these prerequisites is missing, changing Outlook’s password field will not solve the connection problem.
Publish SPF, DKIM, and DMARC for the domain
Authentication records do not replace Outlook setup, but they improve the legitimacy of messages sent from the VPS and help receiving providers evaluate them.
MX and SPF
Verify the MX record first so incoming mail is directed to the server that hosts the Virtualmin mailbox. In Virtualmin’s DNS controls, enable or review SPF for the domain. SPF identifies the systems authorized to send for the domain; its value must reflect the VPS and any other legitimate senders you operate.
DKIM
Enable DKIM signing in the Virtualmin mail or DNS controls and generate or select the domain’s key where the interface provides that option. Publish the resulting public-key record in DNS and ensure the server signs outgoing mail with the corresponding private key.

DMARC
Enable DMARC in the domain’s DNS controls and choose a policy appropriate for your deployment. DMARC evaluates alignment between the visible From domain and authenticated SPF or DKIM results. DNS changes can take time to appear, so test after the records are visible from outside the VPS.
Choose IMAP, POP3, and the right TLS mode
For an Outlook mailbox on a VPS, IMAP is normally the appropriate account type because it keeps folders, read status, and messages synchronized on the server. POP3 is download-oriented and may move or copy messages to one device instead of maintaining the same server-side view across devices.

A common encrypted arrangement is IMAPS on port 993 and SMTP submission on port 587 with STARTTLS. Treat those as examples only: the values in Virtualmin’s client-settings view take precedence.
Configure the mailbox in classic Outlook for Windows
The following procedure applies to classic Outlook for Windows, where Microsoft exposes a manual IMAP setup path. Menu wording can vary slightly by Outlook build, but the sequence is the same.
- Open Outlook and choose File followed by Add Account.
- In the account dialog, select Advanced options.
- Turn on Let me set up my account manually, then continue.
- Choose IMAP. Select POP3 only if you intentionally want download-oriented mail and Virtualmin provides POP3 settings for the mailbox.
- Enter the incoming server hostname exactly as Virtualmin displays it. Do not substitute the bare domain unless that is the published value.
- Enter the outgoing SMTP server hostname exactly as displayed.
- Provide the full mailbox username when Virtualmin shows one, for example
user@domain.tld, and enter the mailbox password. This is the mailbox password, not necessarily the Virtualmin administrator password. - Open the advanced account settings for incoming and outgoing mail. Set the IMAP or POP3 port and encryption type to the values from Virtualmin. For the common encrypted example, IMAP uses port
993with implicit TLS and SMTP submission uses port587with STARTTLS. - Enable My outgoing server (SMTP) requires authentication when the Virtualmin settings require authenticated submission. In the authentication choices, use the same username and password as the incoming mailbox unless your administrator has explicitly configured another method.
- Save the account and run Outlook’s Test Account Settings.
Microsoft’s manual setup flow is intended for cases where you must enter specific incoming and outgoing server names, port numbers, or SSL settings. If Outlook fills values automatically, compare them with Virtualmin before accepting them; auto-filled values are not authoritative for a customized VPS.

Verify the result with Outlook’s test
Use Test Account Settings after saving the account. Green checks indicate that Outlook completed the corresponding connection or authentication test. A red marker means at least one value or prerequisite is wrong; it is not proof that the mailbox itself is damaged.
- Check the exact username, including the domain portion.
- Re-enter the mailbox password and verify that the mailbox is not locked or disabled.
- Compare both hostnames, both ports, and both encryption selectors with Virtualmin’s displayed settings.
- Confirm that SMTP authentication is enabled when sending requires it.
- Check DNS resolution, certificate coverage, and VPS firewall reachability.
Test receiving and sending separately. A successful IMAP check does not prove that SMTP submission is configured, and a successful SMTP login does not prove that the domain’s MX record directs new mail to this VPS.
Why Outlook keeps asking for the password
The username is incomplete
The most frequent cause is entering user when the server expects user@domain.tld. Copy the username from Show Email Client Settings rather than deriving it from the address.
The wrong password or mailbox scope
Use the mailbox’s password. If it has been changed, reset it in Virtualmin and update Outlook’s saved credential. A Virtualmin administrator login, hosting-panel password, or unrelated system account will not authenticate a mailbox unless the server has been configured to make it so.

Ensure the incoming server is the IMAP host and the outgoing server is the SMTP host shown by Virtualmin. A password loop can occur when Outlook reaches a service that does not accept the selected authentication method or when SMTP authentication is disabled in the account settings.

Fix certificate and hostname warnings
A certificate warning means the name Outlook used does not match the certificate, the certificate is not trusted, or the certificate is expired. Do not permanently bypass the warning for a production mailbox.
- Return to Virtualmin’s client settings and copy its recommended mail hostname.
- Check that the hostname resolves to the VPS rather than an old address or a different provider.
- Use that exact hostname for both incoming and outgoing connections if Virtualmin publishes it for both services.
- Have the administrator obtain or renew a trusted certificate containing the hostname. Virtualmin can request a real certificate when DNS and port reachability requirements are met.
- Restart or reload the mail services if the administrator’s certificate process requires it, then test again in Outlook.
Using an IP address, an unqualified server name, or a convenient alias may avoid a typo but will usually create a certificate mismatch. The certificate name, DNS record, and Outlook server field must describe the same endpoint.

This pattern isolates the problem to SMTP submission or outbound policy rather than IMAP.
- Open the account’s outgoing-server settings and turn on My outgoing server (SMTP) requires authentication when required.
- Use the SMTP submission port and encryption mode shown by Virtualmin. Port
587with STARTTLS is common, but it is not universal. - Confirm that the SMTP username is the complete mailbox username and that the password is current.
- Check VPS and provider firewall rules for the submission port and for outbound connections.
- Verify that the hostname in the SMTP field is covered by the certificate.
- Check the server’s mail-service logs for an authentication rejection, TLS negotiation failure, or policy block if you administer the VPS.
Do not switch to an arbitrary alternative port merely because a network blocks one port. Ask the VPS administrator which submission service is enabled and use its published settings.

- Confirm that the domain’s MX record points to the intended mail host and that the host resolves to this VPS.
- Check that the IMAP port and encryption mode in Outlook match Virtualmin’s settings.
- Verify that the VPS firewall allows the IMAP service from your network.
- Confirm that Dovecot is running and that the mailbox is enabled.
- Use webmail or another known client, if available, to distinguish an Outlook-only problem from a server-side problem.
If external senders are still delivering to an old provider, the MX record or its DNS delegation has not been corrected. If only Outlook fails while webmail works, focus on the Outlook hostname, port, encryption, and cached credentials.

What to do when Outlook cannot autodiscover the account
Autodiscover is optional. Virtualmin may provide an Outlook auto-configuration option, but customized VPS installations do not always publish every record Outlook expects. Enable the auto-configuration option in Virtualmin when it is available and appropriate for your domain. Otherwise, use the manual IMAP procedure above and enter the values from Show Email Client Settings.
Manual setup is often more reliable for a single VPS mailbox because it exposes the exact port and TLS choices instead of hiding them behind provider autodiscovery.
Classic Outlook versus New Outlook
The steps above describe classic Outlook for Windows. New Outlook has different screens and its provider support and manual-account options can differ by release. If New Outlook does not expose the IMAP fields or the advanced encryption controls you need, use its account-management documentation for your build or complete the setup in classic Outlook. The underlying requirements do not change: the mailbox credentials, DNS, hostname, certificate, ports, and TLS mode must agree with Virtualmin.
Operational checks after setup
Confirm folder synchronization
After the first successful login, create a small test folder or message in Outlook and verify that it appears in webmail or another IMAP client. This confirms that you configured IMAP rather than an unintended local-only data path.
Send a controlled test
Send a message to an address you control and inspect the result. Check that it leaves Outlook, reaches the recipient, and is not rejected for authentication or domain-policy reasons. SPF, DKIM, and DMARC records support trust, but they cannot correct a wrong SMTP password, an invalid certificate, or a blocked submission port.
Keep a record of the working values
Save the hostname, username format, ports, and encryption modes shown by Virtualmin in your administrator documentation. Recheck them after changing the server hostname, renewing certificates, moving DNS, or altering firewall rules.

Security practices for a VPS mailbox
- Prefer encrypted IMAP and authenticated SMTP submission; never select an unencrypted mode simply to silence an error.
- Use a unique, strong mailbox password and update it wherever Outlook stores the account.
- Keep the certificate trusted and renew it before expiration.
- Limit firewall exposure to the services and ports your users need.
- Review SPF, DKIM, and DMARC records after DNS or mail-host changes.
- Remove obsolete Outlook profiles or saved credentials when a mailbox is decommissioned.
There is no universal Virtualmin port or hostname. The dependable method is to make Outlook reproduce the per-mailbox settings Virtualmin publishes, then validate the surrounding DNS, certificate, mail-service, and firewall conditions.
