For a small business, setting up AI-powered email phishing protection means layering the strongest filtering and impersonation controls included with your email plan with SPF, DKIM, DMARC, multifactor authentication (MFA), and a clear way for staff to report suspicious messages. There is no universal “AI protection” switch: features and settings vary by provider and subscription, and the right DNS records depend on every service that sends email for your domain.
How do I stop phishing emails at my small business?
Use email filtering as one layer, not as a guarantee. A provider may offer baseline anti-spoofing and filtering, while advanced impersonation detection and other protections may require a particular subscription. Combine the controls your plan includes with authenticated domain mail, MFA, and a routine for reviewing reports and quarantined messages.
SPF, DKIM, and DMARC help receiving systems verify messages claiming to come from your business domain. They do not stop every email sent from a lookalike domain, nor do they protect a mailbox after an attacker takes over a legitimate account.

Confirm whether your business uses Microsoft 365, Google Workspace, or another hosted email service. Identify the people who can administer email security and change DNS records for your domain. Check your subscription before relying on advanced AI/ML detection, impersonation protection, Safe Links, or similar features.

Microsoft 365
Review the built-in cloud mailbox protections and the anti-phishing policy settings in your organization’s security console. Microsoft documents baseline spoof-related protection for cloud mailboxes, while advanced protections—including user and domain impersonation features—depend on Defender for Office 365 entitlement. Where available, Standard or Strict preset security policies can be a starting point; review their effects and coverage before applying them. A default anti-phishing policy applies to recipients, but that does not mean every advanced feature is included in every plan. Google Workspace
Review the administrator security checklist and account-protection settings for your organization. Google’s checklist is aimed in part at small businesses without a dedicated IT administrator and includes protections against phishing and spoofing. Consult the Google Workspace security checklist.
2. Inventory every service that sends mail as your domain
Before editing DNS, list the main mailbox provider and all other services that send messages using your business domain. Typical sources include website contact forms, invoicing or CRM systems, marketing platforms, scanners, and business applications. Confirm each source with its vendor or the person responsible for it.

This inventory matters because SPF must account for legitimate senders. An incomplete record or an enforcement policy applied too early can cause real business email to fail authentication or be rejected. Google’s SPF setup guidance specifically recommends identifying all sending sources, including third-party services, before preparing a record.
3. Set up SPF and DKIM, then roll out DMARC gradually
Follow the current setup instructions from your mail provider and DNS host. SPF identifies authorized sending sources; DKIM lets receiving systems check a signature associated with your domain. DMARC tells receivers how to handle messages that fail authentication and can provide reports to help you spot unknown or misconfigured senders.
Do not copy a generic DNS record without checking it against your provider and sender inventory. Record values depend on your configuration, and an incorrect or incomplete setup can disrupt legitimate mail. The FTC notes that “It takes some expertise to configure these tools so they work as intended and don’t block legitimate emails.” See the FTC’s Cybersecurity for Small Business guidance.

Move DMARC from monitoring toward enforcement
- Publish a monitoring policy. Begin with a policy that lets you receive DMARC reports without asking receivers to quarantine or reject failing mail.
- Review the reports. Match legitimate sending sources to your inventory, then correct SPF or DKIM configuration for sources that should be authorized.
- Test limited enforcement. Once legitimate mail is passing, Google recommends moving to quarantine for a small percentage and checking the effect.
- Increase enforcement as confidence grows. Raise the policy gradually, based on the accuracy of your sender inventory and the reliability of your mail flows.
Google’s DMARC setup guidance describes this monitoring-first approach. The appropriate pace depends on your mail volume and how confidently you can identify every sender.

4. Enable provider anti-phishing and impersonation controls
In your provider’s security console, verify that anti-phishing protections cover every business mailbox. If your plan supports it, configure impersonation protection for your domain and for high-risk people, such as executives or employees who approve payments. Review available first-contact notices, spoof intelligence, quarantine behavior, and employee reporting controls.
Microsoft documents spoof-related protections in its cloud mailbox baseline and additional impersonation protections and enhanced detection with Defender for Office 365. If a legitimate message is blocked, investigate the reason and fix authentication or routing where appropriate. Avoid broadly allow-listing your own domain as a workaround: Microsoft warns that doing so can let malicious messages bypass filtering. 5. Require MFA and make suspicious emails easy to report
Require MFA for business email accounts where the provider supports it. If you must phase in enrollment, start with administrator, finance, and executive accounts. Prefer phishing-resistant methods—such as a compatible passkey or security key—when the provider, account configuration, and employee devices support them. Google describes security keys as its most secure form of 2-Step Verification and says they protect against phishing; see Google’s security key guidance.
A FIDO2-compatible hardware security key can be one option for compatible accounts and devices. It is an account sign-in safeguard, not an email filter, and it does not replace domain authentication or provider security settings.

6. Review the setup when mail sources or accounts change
Review authentication reports for new or forgotten senders, check phishing detections and false positives, and confirm that protection still covers all mailboxes. Revisit the setup when you add a business application, change email providers, or change DNS. Also check who has administrator access and whether MFA enrollment remains active. The exact reporting views and review schedule depend on your provider.
When should a small business get help?
Ask a qualified email or IT administrator for help if you cannot identify all services sending as your domain, administer DNS, interpret DMARC reports, or safely move DMARC toward enforcement. A mistake can block legitimate business mail, and the FTC notes that configuring these tools correctly can require expertise. Choose support for the specific work you need—sender inventory, SPF/DKIM/DMARC configuration, or report interpretation—rather than assuming a security product alone will complete the setup.
