Microsoft Teams gives you several ways to invite people, and the right method depends on whether you are planning a meeting, sharing a link, inviting someone to a live call, or scheduling inside a channel. Adding an attendee to the calendar is different from copying a join link: the former sends a calendar invitation and adds the meeting to the person’s Teams calendar, while the latter simply gives them a way to join.
This guide covers Teams on desktop and the web, the mobile app, Outlook, channel meetings, instant meetings, and common problems that can prevent an invite from working as expected.
Send a Teams invite for a new scheduled meeting
Use the Teams calendar when you want attendees to receive a formal invitation, see the meeting on their calendars, and receive updates if the time or details change.
- Open Teams and select Calendar.
- Select an available time slot or select New.
- Enter the meeting title, date, time, and other details.
- Make sure the Teams meeting toggle is turned on.
- Enter people in the Required attendees field.
- Select Send or Save, depending on the calendar view.
People inside your organization can usually be found by name. For an external contact, type the person’s complete email address, such as Joe@example.com. After you send the meeting, Teams sends the invite by email and includes the meeting link.

Add optional attendees
Optional attendees receive the invitation but are not required for the meeting to proceed. The control differs between Teams calendar versions:
- New calendar: select Response options, choose Add optional attendees, and enter names in Invite optional attendees.
- Classic calendar: select Optional + beside the required-attendee field, then enter the people.
Use the optional field for observers, subject-matter experts, or managers who may attend if available. Do not put someone there merely because you are unsure of their email address—the invitation still goes to them.
Add someone to a Teams meeting after scheduling it
You can add an attendee without creating a new meeting.
- Go to Calendar and select the existing meeting.
- Select More options and then Edit.
- Enter the person in Invite required attendees.
- Select Send or Send update.
Adding the person directly to the event sends that person an invitation and places the meeting on their Teams calendar. If you change the time, title, location, or other details, use Send update so existing attendees receive the revised information.
Copying the join link is not a substitute for adding an attendee. A link does not create an attendee entry, send a calendar invitation, or place the event on the recipient’s calendar.
Share a Teams meeting link without adding a calendar attendee
Sharing the link is useful when you want to post the meeting in a chat or channel, send it through another email system, or let people join without maintaining a formal attendee list.
- Open or create the meeting in Calendar.
- At the top of the meeting details, select Share.
- Select Copy join link.
- Paste the link into a Teams chat, channel post, email, or document.
Use a formal calendar invitation when you need attendance tracking or calendar reminders. Use a copied link when distribution is informal or the audience may change.

Invite someone while a Teams meeting is in progress
If the meeting has already started, you can request that another Teams user join it.
- In the meeting controls, select People or Show participants.
- Search for the person.
- Hover over the result and select More options.
- Select Request to join.
The person receives a notification and can join directly from it. This is different from adding the person to the calendar event, so use the calendar method later if the attendee also needs a formal invitation.
Invite someone by telephone during a meeting
Dial-in invitations require the organizer’s Teams account to have an assigned phone number and permission to make external calls.
- Open People.
- Enter the number in Invite someone or dial a number.
- Hover over the number and select More options.
- Select Add phone or Consult and merge.
If these controls are unavailable, the account may not have the required audio-conferencing or external-dialing configuration.

For an immediate meeting from an existing chat, type the exact command /meetnow in the compose box and press Enter or Tab.
After you join, Teams may offer these invitation methods:
- Copy meeting link: copies a link that you can paste elsewhere.
- Add participants: adds people to the live meeting.
- Share via default email: opens your device’s default email application with an automatically generated invitation. You still need to enter recipients and send the email.
In a group-chat instant meeting, use the live meeting indicator and select Ring others to join. Select individual names and choose Ring, or contact everyone who is not already in the meeting with Ring all.

Schedule a meeting in a Teams channel
A channel meeting is appropriate when the discussion belongs to a project, department, or team rather than to a private group of invitees. The meeting is visible in the channel, and members of the team can join from the channel post or feed.
- Open Teams.
- Select the team or channel.
- Select the dropdown arrow beside Meet now.
- Choose Schedule a meeting.
- Enter the meeting details.
- Select Send.
In the Posts layout, use the dropdown arrow beside the channel’s Meet now control. You can also send personal calendar invitations by manually entering people in Add required attendees or turning on Send personal invites.

Choose the channel carefully before sending. Teams does not let you add or change the channel after the invitation has been sent. If you select the wrong channel, create and send a new invitation with the correct one.
Send a Teams invite from the mobile app
The current mobile workflow is:
- Open the Teams app and select Calendar.
- Tap New event.
- Enter a title.
- Tap Add participants and add the invitees.
- Enter the remaining meeting details.
- Tap Done.
To make it a channel meeting while creating it, use Share to a channel. To edit it later, open Calendar, tap the meeting, select Edit, make the changes, and tap Done. Tapping Done sends the updates.
Create a Teams meeting in Outlook
Outlook can create the invitation while Teams supplies the online meeting details.

New Outlook and Outlook on the web
- Create a new calendar event.
- Turn on the Teams meeting toggle.
- Enter the attendees and meeting details.
- Select Send.
Teams join details are added to the invitation after you select Send. Selecting Save as draft creates a calendar draft without Teams join details, so a draft is not yet a complete Teams invitation.
Classic Outlook desktop
For an unsent meeting, remove the online meeting option through More commands → Don’t Host Online. Teams cannot be removed after the invitation has been sent.

For recurring meetings, add people to the meeting series rather than only to one occurrence if they need to appear consistently in Teams Meeting options. An attendee added only to an individual occurrence may not appear there. Also select Send Update after adding invitees; the web view of Meeting options may not show them until the update is sent.
Forward a meeting you did not organize
If the organizer permits forwarding, you can send a meeting request to another person.
- Open Calendar and select the meeting.
- Select View event.
- For one occurrence, choose Forward → Forward this event.
- For a series, choose View series → Forward → All events in the series.
- Enter recipients in To, add a message if needed, and select Send.
The forwarded request appears to come from the original organizer, and Teams notifies that organizer that the meeting was forwarded. If Forward is unavailable, the organizer has likely disabled Allow forwarding under Response options.
Can external people join a Teams invitation?
Yes. A recipient does not necessarily need a Teams account. From the meeting link, they can select Continue on this browser or Join on the Teams app.
Organization policies can require verification or block anonymous access. Depending on the policy, an external attendee may need to enter an email address and either sign in with a Microsoft account or select Send code to receive a one-time verification code.
Unverified or anonymous attendees may wait in the lobby. If nobody admits a lobby participant within 30 minutes, Teams removes that person from the lobby. Their label can indicate their status: Unverified when no email verification was provided, Email verified after a one-time code, or External when they join with an external Microsoft account.

Meeting size and telephone details
A Teams meeting supports up to 1,000 invitees who can join and participate. Once a meeting has 1,000 participants, it can support up to 10,000 additional view-only attendees.

A telephone number and conference ID appear in the invitation only when dial-in conferencing is available. If those details are missing, copying the join link cannot create them. The participant should contact the organization’s IT administrator.
Recent change to Teams meeting links
For meetings scheduled after January 20, 2026—or after January 8, 2026, in some regions—the invitation displays the full meeting-link URL. Older meetings may still display a Join meeting now link instead. This is a format change, not a different invitation method.
Quick troubleshooting checklist
- The person did not receive a calendar invitation: verify that you entered the full external email address and selected Send or Send update.
- The meeting is missing from the recipient’s calendar: you probably shared a link rather than adding the person to the event.
- An external attendee cannot join: check whether your organization requires email verification or blocks anonymous participants.
- The attendee is stuck in the lobby: an organizer or presenter must admit them; otherwise Teams removes them after 30 minutes.
- There is no dial-in number: audio conferencing is not enabled for the meeting or organizer account.
- The channel is wrong: create a new invitation; the channel cannot be changed after sending.
- A recurring invitee is missing from Meeting options: add that person to the series, not just one occurrence, and send the update.
- Outlook shows no Teams link in a draft: send the event; Teams join details are added after Send, not merely after saving a draft.

Can I invite someone who does not have a Teams account?
