An email API can accept a request without proving that a recipient’s mail server received the message—or showing what your application sent. To get a trustworthy picture, trace each sending path, capture provider events, correlate them to application workflows, and verify whether the provider exposes the message content you need.
Start by mapping every way your SaaS can send email
Before adding another email service, inventory the paths that already exist. A message may originate from application code, a scheduled job, a framework integration, a vendor, or a direct SMTP connection. These are audit targets, not assumptions that every system uses all of them.
- List sending domains, provider accounts, API keys, and SMTP credentials, including who owns each one.
- Search application configuration and deployment environments for provider credentials and sender identities.
- Check scheduled jobs, framework plugins, background workers, and third-party services that can send on your behalf.
- Record which environment and product workflow each path serves.
Keep the inventory alongside the logs you collect. If you cannot account for a credential or sending identity, your provider dashboard may describe only part of your outbound mail.

“What did the application submit?” and “Did the recipient’s mail server receive it?” are different questions. A successful API call answers the first only in part; it does not, on its own, establish delivery.

Amazon SES defines a Send event as a successful request for which SES will attempt delivery. It reports Delivery separately. SES may also report bounce, complaint, rejection, and delay events. A send can count even when account-level or global suppression prevents delivery. Amazon SES: Monitoring your sending activity.
Cloudflare Email Service logs distinguish messages sent or queued, delivered to the recipient mail server, delivery failures, suppression rejections, and failures caused by configuration or authentication. These are provider-specific event definitions, so read the status labels in the context of the service that emitted them. Cloudflare: Email logs.
Capture records for the sending path you actually use
Amazon SES: CloudTrail and event publishing cover different evidence
Amazon SES CloudTrail data events are disabled by default, do not appear in CloudTrail Event history, and may incur additional charges. They record supported SES API activity, not SMTP-interface activity: AWS explicitly says, “Email sending activity via SES SMTP Interface is not logged to CloudTrail events.” CloudTrail alone therefore cannot establish a complete record if your system also sends through SES SMTP. For sending outcomes, SES event publishing can route events to services including CloudWatch, Data Firehose, SNS, or EventBridge. It requires a configuration set and messages must be associated with that configuration set. Check both conditions before relying on the resulting event stream. Amazon SES: Event publishing.
Other provider logs can answer different questions
Mailgun documents an API for querying and filtering inbound and outbound message event logs. Its documentation does not establish a retention duration or guarantee that raw message content is included, so treat it as an event-log query path rather than proof of content access. Mailgun: Logs API.
Azure Communication Services email logs can include send-request records, message- and recipient-level status, correlation IDs, SMTP status codes, sender domains, and recipient addresses. Microsoft warns that the service is introducing breaking changes and that some services are being retired; verify that the documented functionality applies to your current deployment before depending on it. Give each message a useful correlation trail
A provider message ID is valuable, but it may not tell an engineer which product action or template caused the send. Add stable application identifiers or tags so a record can be tied to a workflow, tenant, template, and environment without relying on a person to infer the connection.

SES supports name/value message tags and configuration-set event publishing. Its auto-tags can include caller IAM identity, from-domain, outgoing IP, source IP, and TLS version. Azure Communication Services logs expose correlation IDs mapped to message IDs. Together, these fields can connect application logs to provider events and recipient-level outcomes. At minimum, make it possible to search by an application-generated correlation ID and then find the provider’s message ID and final status. Avoid putting sensitive message content or personal data into tags merely to make searches convenient.

Check whether logs can show the actual message
Event records can show that a message was accepted, delivered, or rejected without revealing its headers, body, attachments, or raw source. If an investigation depends on exact content, confirm that the provider exposes those fields and that the relevant feature was enabled when the message was sent.
Cloudflare’s optional Email preview can expose HTML and text, headers, attachments, and raw message source for previewable messages. Cloudflare says previews are retained for about seven days, and previewability depends on enabling Email preview. Its Activity log can filter a time range from 30 minutes to 30 days; these windows are product-specific details in Cloudflare’s documentation last updated July 17, 2026. Cloudflare: Email logs.
Do not assume that an event-log API includes a full message just because it identifies a message. Confirm what is retained, for how long, and whether the content view was enabled before the event you are investigating.
Run an investigation from request to recipient outcome
- Choose a specific message. Start with a suspected workflow, recipient, or time range, then identify the application event or request that initiated the send.
- Find the sending path. Use the inventory to identify the code path, job, integration, vendor, or SMTP connection and the credential or sending identity it uses.
- Query application and provider records together. Search with the application correlation ID, provider message ID, recipient, or time. Mailgun, for example, documents querying and filtering event logs through its API.
- Follow the event sequence. Distinguish request acceptance from delivery and from later outcomes such as bounce, complaint, rejection, or delay. Where available, check recipient-level status and SMTP response codes.
- Inspect content only through a documented content view. Verify that previews or raw messages are available for that provider, were enabled for the relevant message, and remain within the retention window.
- Record the evidence and its coverage. Note which path and logs were checked, what identifiers matched, and what those records do not cover.
Interpret missing records carefully
A missing event is not proof that no email was sent. It may indicate that the message used a path outside the logs you queried, that logging was not enabled, or that the provider does not capture that interface. SES’s default-off data events and its SMTP CloudTrail exclusion are concrete examples of why coverage must be checked before drawing conclusions. Amazon SES CloudTrail logging documentation.
Build a small coverage map for each sending path: what produces a request record, what records provider events, whether recipient-level outcomes are available, and whether message content can be inspected. That map makes “we found no log” a useful finding about observability rather than an unsupported claim that nothing happened.
