To capture an email that extends beyond the screen, use Outlook’s Print command and save the output as a PDF. A normal screenshot—Windows+Shift+S, Print Screen, or Alt+Print Screen—captures only what is currently displayed (or the selected screen area). If you specifically need an image, capture the message in sections or use a browser-based capture tool; Outlook does not provide a built-in command that turns a long email into one continuous, tall screenshot.

Microsoft describes the Windows Snipping Tool as capturing “all or part of your PC screen” in its screen-copying guidance. Microsoft’s Outlook help separately documents printing an entire message, which is the reliable way to preserve a long email.

Capture the visible part as an image in Windows

  1. Open the message in Outlook and arrange the window so the section you need is visible. Expand the reading pane or open the message in its own window if that gives you a clearer view.
  2. Press Windows logo key+Shift+S. The screen dims and the Snipping Tool capture bar appears.
  3. Choose a mode: rectangular snip for a selected area, window snip for an Outlook window, or full-screen snip for every monitor.
  4. Drag over the email content. For a window snip, select the Outlook window when it is highlighted.
  5. Select the Snipping Tool notification to edit the capture, then save it. You can also paste the clipboard image into Paint, Word, Teams, or another application.

For a quick full-screen copy, press Print Screen; Windows places the image on the clipboard. To copy only the active Outlook window, press Alt+Print Screen. These shortcuts are also listed by Microsoft in the same support article.

When the email is longer than the display

Snipping Tool does not automatically scroll through an Outlook reading pane to create one long image. Capture several overlapping sections if an image is mandatory, or use the print-to-PDF procedure below to retain the complete message in a single file. Labeling the sections (for example, “1 of 4”) makes a multi-image record easier to follow.

Save the entire Outlook email as a PDF

Printing is Outlook’s documented whole-message workflow. The labels differ between classic Outlook, new Outlook, and Outlook on the web, so use the section that matches your interface. Microsoft’s overview is Print messages, calendars, or other Outlook items; its save instructions are in Save an Outlook message as a .eml file, a PDF file, or as a draft.

Classic Outlook for Windows

  1. Open the email in its own message window (double-click it if it is in the reading pane).
  2. Select File > Print. Microsoft’s print-email instructions identify this as the route for printing an entire message.
  3. Choose Microsoft Print to PDF in the printer list.
  4. Review the preview. Set the required printer options and page range; selecting all pages preserves the complete message.
  5. Select Print, choose a folder and filename, and save the PDF.

New Outlook for Windows

  1. Select the message so it is open in the reading view.
  2. Use the message’s Print action (often in the three-dot … menu). If the command is not visible, open the message in its own window and check that window’s toolbar.
  3. In the Windows print dialog, choose Microsoft Print to PDF, check the preview and page range, then select Print.
  4. Name the file and choose where to save it.

New Outlook’s menu is revised more frequently than classic Outlook’s. If these labels do not match, Microsoft advises that you may be using classic Outlook; use its File > Print path instead.

Outlook on the web

  1. Open the message at Outlook on the web.
  2. Select the message’s Print command, usually from the … menu.
  3. When the browser or Windows print dialog opens, select Microsoft Print to PDF where it is available.
  4. Check the preview and page range, print, and save the resulting PDF.

The exact dialog depends on your browser and operating system. Microsoft’s save guidance does not list PDF as a default “Save as type” in every new Outlook or web flow; selecting a PDF printer is the Windows method that creates the file.

Print only part of a message (classic Outlook)

For a selected section rather than the entire email, Microsoft documents a specialised classic-Outlook route:

  1. Open the message and choose View in Browser.
  2. In the browser, select the text or section you need.
  3. Open the browser’s print command.
  4. Choose the Selection page-range option if your browser exposes it, then print or save to PDF.

This is not a universal instruction for new Outlook or Outlook on the web; browser print dialogs vary.

Protected messages and blocked captures

Some Outlook on the web messages are configured with screen-capture protection. In that case, the browser window may refuse screenshots. Microsoft explains this behavior in Open encrypted and protected messages. Follow your organisation’s policy rather than attempting to bypass protection. Microsoft says that refreshing the page re-enables screen capture; that does not remove the message’s underlying access restrictions, and it may not be available in every managed environment.

What Outlook mobile can—and cannot—do

The mobile support material covered by Microsoft describes taking and inserting a photo while composing a message, not making a scrolling screenshot of an open email. Do not treat the camera feature as a full-message capture method on iOS or Android. For a complete record, use Outlook’s print or export capabilities on a supported desktop or web setup, subject to your organisation’s permissions.

Troubleshooting

Print is missing

  • Open the message in its own window and check the File menu (classic Outlook) or the … message menu (new Outlook/web).
  • Make sure the message, rather than the folder list or conversation header, has focus.
  • If your organisation has customised Outlook, ask the administrator whether printing is disabled.

The PDF contains only one screen

You used a screen-capture command instead of printing. Return to the message’s Print action and select a PDF printer. A screenshot cannot include content that was never displayed.

Images or remote content are absent

Outlook may require you to download external pictures or open the message in a browser before printing. Confirm that the content is permitted by your organisation, then review the print preview. A missing image can also be a property of the email itself, not a screenshot error.

The preview has unexpected page breaks

PDF output follows print layout, paper size, margins, and Outlook’s message formatting. Adjust those print settings or select a different page range. A paginated PDF is expected; it is not evidence that the email was truncated.

Windows+Shift+S does nothing

  • Press the keys together while the Outlook window is active.
  • Try opening Snipping Tool from the Start menu and selecting New.
  • On a managed PC, a policy may restrict screen capture; contact your administrator.

If the email is available at a URL you are authorised to capture, ScreenshotNeo can return a PNG, JPEG, WebP, or PDF from one request. It accepts consent banners before capture and removes more than 60 known consent platforms, newsletter popups, and chat widgets; each cleanup step can be disabled. Bot checks, CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed, and response headers identify the page verdict and billing result. Its MCP server provides take_screenshot, get_page_info, and capture_pdf tools for Claude, Cursor, and other MCP clients.

FAQ

Can Outlook make one tall PNG of an entire email?

Not with its built-in Windows and Outlook commands. Use print-to-PDF for the complete message, or capture visible sections as separate images.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does saving as PDF prove the email was never altered?

No. A PDF preserves the rendered print output at the time you created it; it is not a cryptographic authenticity record.

Why does my Outlook look different from the instructions?

Microsoft maintains separate interfaces for classic Outlook, new Outlook, and Outlook on the web. Their print commands and dialogs are not identical.

Frequently Asked Questions

Can Outlook make one tall PNG of an entire email?

No built-in Windows or Outlook command creates a single scrolling PNG. Print the message to PDF for a complete record, or capture multiple visible sections.

Can I screenshot a protected Outlook on the web message?

Screen-capture protection may block the browser window. Follow your organisation’s permissions; Microsoft says refreshing the page re-enables capture in the documented protected-message flow.
