To back up a OneNote notebook, first confirm its latest changes have synced, then use the method that fits where it is stored: export a personal OneDrive notebook, or use OneNote’s desktop backup controls where available. Keep desktop backup files on a different drive from the originals, and open a copy to verify it before relying on it.
Choose the right backup method for your notebook
Sync, backup, and export do different jobs. Sync carries changes between devices; a backup gives you a recovery point; export creates a downloadable notebook copy. The notebook’s storage location and the app you use determine which options are available.

Before choosing, identify whether the notebook is in personal OneDrive, work or school OneDrive, SharePoint, or stored locally, and whether you are using Windows, Mac, web, or mobile. Microsoft’s export guidance limits web notebook export to personal OneDrive, while its platform comparison lists different backup controls by app.
Confirm the newest notes have synced
OneNote automatically synchronizes shared notebooks at intervals, but seeing a notebook on another device does not establish that its most recent edit has arrived. Check sync status or open the cloud copy and confirm the specific change you need to protect. Microsoft’s sync instructions describe the available checks.

- In OneNote desktop for Windows, open File > Info > View Sync Status.
- Choose Sync All or select Sync Now for the notebook, then wait for syncing to finish.
- Check that the latest note appears in the cloud notebook before exporting or treating the backup as current.
Export a notebook from personal OneDrive
OneNote for the web can export a notebook stored in a personal OneDrive account. This route does not apply to work or school OneDrive or SharePoint notebooks.
- Open OneNote for the web in a browser and select the notebook.
- Right-click the notebook’s name and choose Export notebook.
- Review the notebook size, confirm the download, and make sure your computer has enough free disk space for the resulting ZIP file.
- Wait for the download to finish. If it fails or is incomplete, inspect any included
errors.txtfile for details. Microsoft notes that large notebooks may fail; it recommends splitting portions into smaller notebooks and trying again.
Verify the downloaded copy rather than assuming a completed download is usable. Microsoft documents extracting the ZIP, checking that the expected OneNote files are present, and opening the Table of Contents file in OneNote for Windows to check that sections and pages are accessible. That inspection workflow is Windows-only and unsupported on iOS; do not assume every client can reopen the package in the same way. See Microsoft’s notebook export instructions.

Use desktop backups and store them separately
Microsoft’s current platform comparison lists automatic and manual backups for Windows and Mac, but the schedules and retention differ. These are documented product settings, not independent reliability statistics.

On supported Windows desktop editions, change the backup folder through File > Options > Save & Backup. Avoid relying on a fixed file-system path: Microsoft’s examples vary by Windows version. By default, OneNote stores backup files on the same hard disk as the original notebook files. Microsoft recommends considering a secondary or external disk, removable storage, or a private network folder so a disk failure does not take out both copies. Selecting another destination is a setup step; simply attaching an external drive does not automatically copy cloud notebooks to it. Details are in Microsoft’s backup-location guidance.

Restore a section or page from a desktop backup
Use the backup to copy only the material you need, and leave the backup copy intact while restoring. Microsoft’s restore instructions describe this process for supported desktop versions.
- Choose File > Info > Open Backups on Windows, or File > Open Backups on Mac.
- Open the relevant notebook folder and then the section containing the material you need.
- Use Move or Copy on the section tab or page tabs, select the destination notebook, and choose Copy.
- Close the backup section after checking the restored material, then return to the original notebook.
The restore dialog disables Move so you do not accidentally remove content from the backup.

Recover a deleted page from a OneDrive notebook
For a recently deleted page, check View > Deleted Notes in OneNote. Right-click the page and use Move or Copy to return it to the notebook. This is separate from restoring a desktop backup; availability and deleted-note retention can differ by client, so use the instructions for the app you have. Microsoft explains the route in Recover deleted notes.
Copy a work or school notebook to a personal account
Do not use the personal-OneDrive web export steps for a work or school OneDrive or SharePoint notebook; Microsoft says that workflow does not support those locations. If you need a personal-account copy, Microsoft describes Windows File > Save a Copy with OneDrive Personal or This PC, and Mac approaches that copy sections between signed-in accounts. Organization policies or administrator restrictions may affect whether account movement is permitted, so this is not a guaranteed path for every tenant. See Microsoft’s account-transfer guidance.
