To route website form leads into a CRM, use a native form or workflow when it supports your required fields and routing. Otherwise, post to a webhook or CRM form handler and map the fields deliberately. Then test the complete path: confirm the form recorded the submission, inspect the integration’s result, and verify the created or updated CRM record and its values. A browser success message or HTTP acknowledgement alone does not prove that the lead was processed correctly.

Choose a route from the form to the CRM

There are three common paths. The right choice depends on the exact form and CRM, required transformations, who will maintain the connection, and what evidence you need when something fails.

Route Best fit What to account for
CRM-native form or workflow The CRM can capture the needed fields and route leads to the intended owner or process. Confirm workflow permissions, field coverage, routing logic, and how executions and failures are inspected. HubSpot documents contact-based workflow webhooks that can post contact data to another system after a site form submission. HubSpot workflow webhook guide.
Webhook to an endpoint or automation layer You need a custom endpoint or an intermediary to transform and pass submission data. Check support for the exact form trigger and CRM action, field transformations, authentication, retries, execution history, and replay. A webhook POST and a 2xx response establish endpoint acknowledgement, not correct downstream CRM writes. HubSpot developer webhook guide.
External form to CRM form handler Your website form remains external, while the CRM accepts submissions through a configured handler. Match external field names to the handler’s configured names and check types and required fields. Salesforce Account Engagement lists field-mapping mismatches among common failure causes. Salesforce troubleshooting.

Do not assume one route is universally more reliable. A native integration can reduce custom components; a webhook or handler can provide control but makes mapping, endpoint ownership, and diagnostics your responsibility. Compare the exact features and plan limits for your account before choosing.

Map fields and identity rules before going live

Make a field-by-field mapping between the form and CRM. Include field names, expected data types, required status, transformations, and destination fields. For a form handler, check the actual HTML name attributes against the handler configuration; a label visible to the visitor is not necessarily the submitted field name.

  • Check required fields and whether blank or malformed values are rejected.
  • Confirm data types and encoding, especially for values that may contain punctuation or non-ASCII characters.
  • Decide how identity and deduplication work. A submission can update an existing contact rather than create a new one.
  • Confirm ownership and routing outcomes, not just whether a record exists.
  • Send only personal data needed for the CRM process, and protect webhook endpoints with the provider’s documented authentication or signature-verification method.

Test the complete form-to-CRM path

  1. Submit a controlled test lead. Use clearly identifiable values that are safe for testing, through the published form.
  2. Check the source form’s submission record. Confirm the form captured the values. If the form is embedded and the result is unclear, test an isolated form page to separate form behavior from issues on the embedding page. HubSpot’s form troubleshooting guide recommends test submissions and checking the submission record.
  3. Inspect the integration execution or request. Record its time, status, response, and any available error body. For HubSpot connected apps, request monitoring can filter webhook response and status details. See HubSpot app monitoring documentation.
  4. Find the destination record. Confirm the expected fields, values, and owner or routing outcome in the CRM. A 2xx response only confirms receipt at the endpoint level; it does not establish that the downstream record was written correctly.
  5. Correlate the evidence. Use a unique test value and submission time to connect the source event, integration run, and destination record. Avoid relying on a success screen as the sole proof.

If no new CRM contact appears

Search for an existing contact using the submitted identity value before concluding that delivery failed. In HubSpot, repeated submissions with the same email may leave one contact while retaining multiple submission events; the default Email field also affects contact creation. Check both the contact and form submissions in the HubSpot form troubleshooting guide.

If neither a new nor updated record is present, compare the submitted field names, types, and required values against the destination configuration, then inspect the integration execution for an error or rejected request.

What happens when a webhook fails?

Retry policies are specific to the product and feature. For HubSpot’s documented workflow webhook, failed requests are retried for up to three days: the first retry starts one minute after failure, intervals increase, and later attempts are no more than eight hours apart. That guide says 4xx responses are not retried except 429 rate-limit responses, which retry and can respect Retry-After. These rules apply to that HubSpot workflow feature, not to webhooks generally. See the HubSpot workflow webhook guide.

HubSpot’s connected-app monitoring documentation describes request-history filters for webhook response, status (including success, retry, or failure), subscription, time, attempt, batch, event, or account. It also describes exporting event data for up to 30 days when relevant events exist. Consult the monitoring documentation for the applicable view and details.

Salesforce Account Engagement does not retain logs of failed form-handler submissions, according to its troubleshooting page. For this route, capture diagnostics at the external form or integration layer. Check field names, required fields, data types, encoding, and submission method.

Keep evidence across the entire delivery path

A dependable confirmation is a chain of evidence, not a single green status. Keep the source submission, the integration request or workflow outcome, and the final CRM record linked by a unique test value or other suitable correlation data. This makes it possible to distinguish a form-capture problem from transport acknowledgement, processing failure, incorrect mapping, or an update to an existing record.
