You can reduce or replace your use of Google apps without immediately deleting anything: export one category of data at a time, keep the original archives, import into a suitable destination, and verify important records and workflows before retiring the Google service. An export is a copy—not proof that every label, event detail, document feature, or photo attribute has transferred.
Plan a reversible migration, not a one-click account swap
Google services store different kinds of information in different formats. Email, calendars, contacts, files, Google-native documents, and photo libraries therefore need separate migration plans. A file archive can preserve a copy of data while leaving the destination empty; an import can move visible records while omitting details or behavior you rely on.
The safest approach is to migrate in stages and keep your Google account available during the transition. Google Account Help states that downloading your data does not delete it from Google’s servers. Treat that as a safety net while you check the new setup, not as a reason to skip local backups.
- Inventory what you use. List the Google services you actually depend on, including connected phone apps and third-party accounts.
- Choose a destination for each data type. Do not assume one alternative will import everything or suit every workflow.
- Export and preserve the original. Keep every archive part and an untouched copy of the extracted files.
- Import a category and verify it. Check representative records and the workflows that matter, not just whether an import completed.
- Switch devices and services deliberately. Confirm sync, sharing, and recovery before you stop using the Google version.
- Retire the old service only after you are satisfied. Keep your export and a recovery copy according to your own retention needs.
This order limits the consequences of a partial import. If something is missing, you can return to the original archive or account rather than trying to reconstruct it from memory.

Inventory your Google data and dependencies
Before exporting, make a short list of the data and habits you need to preserve. Think beyond the name of each app: the important part may be how another service, person, or device relies on it.
- Mail: important messages, attachments, labels, and any addresses used to sign in to other accounts.
- Calendars: personal and shared calendars, recurring events, attendees, reminders, and invitation workflows.
- Contacts: phone contacts and any address book shared or synced across devices.
- Files and documents: ordinary files, folder organization, collaborative documents, formulas, comments, sharing arrangements, and editing workflows.
- Photos and videos: albums, dates, location details, and the quality of original videos.
- Devices and apps: phone or desktop sync, apps that sign in through Google, and services that depend on a Google address or account.
Mark what must remain intact and what can be recreated. For example, a contact list may be easy to compare by name, while a recurring event or a spreadsheet with formulas needs a more deliberate check. This inventory is a practical planning aid; the product documentation does not provide a universal checklist for every person’s account.
Export Google data and protect the archive
Google Takeout lets you select supported products and create a downloadable archive. Google lists products such as email, documents, calendars, and photos among the exportable data. Select only the products you need for the migration, or create separate product archives when that makes the work easier to manage.

- Start the archive creation process and wait for Google to make it available.
- Download every part of the archive. If archive creation fails for a large selection, Google recommends considering one product at a time.
- Keep an untouched copy of the downloaded archive. Extract a separate working copy for inspection and imports.
- Open the included
archive_browser.htmlfile for Google’s format-specific guidance on opening exported data.
Do not assume the archive represents a perfectly frozen snapshot of the account. Google warns that changes made while it prepares an archive may not appear in the result. Its examples include some Drive sharing changes and additions or deletions involving Photos and albums. If you continue making important changes during preparation, check those changes in the archive or make a fresh export after activity has settled.
Store the archive somewhere you control, such as existing computer storage, a network storage device, or an external drive if you need one. Choose storage based on the archive’s actual size rather than guessing at a capacity. Keep the untouched archive separate from the files you upload or modify, and make sure you can open the backup before relying on it.

Move Gmail without assuming labels become folders
Mail migration is not only about getting message contents into another mailbox. Gmail labels may be part of how you search and organize messages, and their representation in an export does not guarantee that another mail client will recreate them as folders.
Google’s Takeout guidance says Gmail labels are preserved in an X-Gmail-Labels header. Google also notes that most mail clients do not currently recognize that header. Consequently, messages may be present at the destination while the label organization you see in Gmail is absent or behaves differently.

Google documents an import route through Proton’s Easy Switch for email, calendars, and contacts. Proton is a commercial service, not an open-source replacement; this is a documented migration option rather than evidence that an open-source destination supports the same import. Proton’s Gmail migration guidance also points users to Google Takeout for other data such as Drive and Photos.
After importing mail, spot-check messages from different years and labels. Check attachments and search for several known messages using details you remember. If labels matter, determine whether the destination can interpret or recreate them before treating the migration as complete; do not infer successful label migration from seeing the messages in an inbox.
Transfer calendars and contacts, then test synchronization
Import calendar events
Nextcloud Calendar supports importing calendars in the iCalendar .ics format. Export the calendar in a compatible format, import it into the selected destination, and inspect more than the event count. The documented support for .ics establishes an import path, not identical behavior for every Google Calendar feature.

- Check recurring events, including a few that occur far in the future.
- Inspect event times and dates, attendees, reminders, and any shared calendars you rely on.
- Test how invitations and updates work with people who are not using the new calendar.
These checks matter because importing event records does not by itself confirm that a shared calendar or invitation workflow still works as expected.
Import contacts and connect Android devices
Nextcloud’s groupware migration documentation covers contacts and groups, calendars and events, and settings when moving between Nextcloud instances. It requires the relevant migration and groupware apps to be installed on both instances. That documentation concerns Nextcloud-to-Nextcloud migration; it should not be treated as proof that it directly imports Google data.
For Android calendar and contact synchronization with Nextcloud, Nextcloud’s Android guide describes using DAVx⁵. The guide says that when two-factor authentication is enabled, its setup requires a dedicated app password. Importing contacts or events to a server does not automatically configure the phone, so test that changes made on the device sync back and that server-side changes appear on the device.
Move Drive files and handle Google-native documents carefully
Files and collaborative documents are not interchangeable categories. A folder of ordinary files may upload successfully while a Google-native document’s editing features, comments, formulas, or sharing relationships need separate attention.
Proton Drive documents a Takeout-based upload route: select Drive in Google Takeout, create and download the archive, extract its contents, and upload the extracted files. Proton says the upload retains the folder structure. This is a documented cloud import route, but Proton is not a self-hosted open-source replacement.

Nextcloud’s documented groupware migration covers contacts, calendars, and settings between Nextcloud instances; it does not establish a direct route for all Google Drive files or Google Docs collaboration features. Do not treat a groupware migration tool as a general Drive importer.
For important Google Docs, Sheets, or Slides files, inspect the exported versions and open representative documents in the editor you plan to use. The available documentation here does not establish a universal open-source workflow that preserves every native-document feature. Make an explicit checklist for the files that matter:
- For spreadsheets, verify formulas and representative calculated results.
- For documents, check formatting and comments that are important to your work.
- For shared work, confirm who can access and edit the destination copy.
- For every file type, make sure the destination editor opens the version you imported and that the folder organization is usable.
Keep the original export even if the destination copy appears correct. A successful upload confirms that files arrived; it does not prove that editing, collaboration, or access permissions match the original setup.

Google Takeout provides an archive route for supported Google Photos data. Immich’s quick-start documentation points people with an existing Google Photos collection to Takeout when adding it to an Immich library. That provides a route to work from the export, but you should still compare the resulting library with the source before removing anything.
Nextcloud’s Google integration project describes Photos importing as selection-based rather than a fully automatic transfer of the entire library. It warns that location data may not be provided and that imported videos may be lower quality than the originals. Those are concrete reasons to inspect more than the number of visible photos.

- IP65 RATING AND UP TO 3M DROP PROTECTION(3) – protects against spills and drops.
- POCKET-SIZED – fits easily in pockets and small bags.
- SPACE TO OWN YOUR AI CONTENT – speed and capacity to download your high-res clips and photo edits.
- 256-BIT AES ENCRYPTION(4) – helps keep private files secure with password protection.
- Export the supported Photos data with Takeout and retain the original archive.
- Import into the selected photo destination using that project’s documented workflow.
- Compare dates and albums, and inspect location details where they matter to you.
- Open representative videos and compare their quality with the source files you care about.
- Only consider removing the Google copy after those checks and after confirming that your backup is usable.
For a self-hosted Immich library, the project’s backup guide covers both photo and video assets and the database. A directory of visible media alone may not preserve the application’s catalog metadata and stored paths. Follow the backup and restore guidance that applies to your Immich version, and make sure you can restore the library rather than assuming that a copy of the media folder is sufficient.
Choose alternatives by data type and responsibility
There is no evidence here for a single open-source service that replaces every Google app and preserves every feature. The documented examples cover particular workflows, so choose based on what you need to move and who will operate the destination.
| Option | Documented migration use | What to verify | Open-source or hosting distinction |
|---|---|---|---|
| Nextcloud Calendar | Imports iCalendar .ics files. |
Recurring events, attendees, reminders, sharing, and invitation behavior. | An open-source-oriented calendar option; the cited import support does not promise identical Google Calendar behavior. |
| Nextcloud groupware migration | Moves contacts/groups, calendars/events, and settings between Nextcloud instances when the required apps are installed on both. | Confirm both instances have the needed apps and check migrated records. | Instance-to-instance migration, not a general Google Drive import. |
| Immich | Its quick-start documentation points to Takeout for an existing Google Photos collection. | Dates, albums, metadata, representative videos, and a restorable database-plus-assets backup. | A self-hosted photo-library option; the operator is responsible for backups and restore planning. |
| Proton Easy Switch / Drive import | Proton documents transfers for email, calendars, and contacts, and a Takeout-based Drive file upload. | Mail labels, document features, and any details beyond the documented categories. | Commercial service, not open-source software; included as a documented migration route, not an open-source recommendation. |
Before deciding, consider whether you want to administer a server or use a managed account, how much collaboration and sharing you need, which devices must sync, and how backups and restores will work. Self-hosting can give you control over the service, but it also makes reliable storage and recovery your responsibility. A managed service shifts some operation to its provider, but it is not automatically open source and still needs to meet your portability requirements.
Verify the migration before deleting or abandoning anything
Use a verification checklist tied to your inventory. An import notification is not a substitute for checking the records and workflows you identified in advance.
- Coverage: compare important folders, calendars, contact groups, albums, or message samples with the source.
- Content: open attachments and files, inspect event details, and test representative spreadsheet calculations.
- Organization: confirm that the labels, folders, albums, or shared groupings you depend on are usable at the destination.
- Access: test collaboration, sharing, invitations, and sign-in dependencies with the people or services that rely on them.
- Devices: check that phone and desktop synchronization works in both directions where needed.
- Recovery: preserve the original export and confirm the destination’s backup can be restored.
Resolve failures while the source account and export are still available. For a missing record, first determine whether it was absent from the archive or simply failed to import; those are different problems and need different remedies. Re-exporting may help if the archive missed changes made during preparation, while a destination-specific import issue may require a different supported route or manual handling.
Only after the essential checks pass should you decide whether to stop using the old service. If you do, retain the export and any backups for as long as you need a recovery path. Nextcloud warns that a deleted calendar cannot be restored without a local backup, which is a useful reminder that data visible in an app and data recoverable after deletion are not the same thing.
