You can replace Google apps on an Android phone safely, but not by uninstalling everything at once. Treat the change as a staged migration: identify where each item is stored, make a fresh backup, export data that has a portable format, install and test each replacement, and only then disable synchronization or remove the Google Account. Android backup and the phone-setup transfer tool help, but Google warns that some apps do not back up or restore all data and settings.
What “without losing data” really means
Information associated with a Google app can exist in three different places:
- In your Google Account: mail, cloud documents, calendar data, cloud photos, synchronized contacts and other server-side records.
- Locally on the phone: downloaded files, media in device storage, offline content, locally created contacts and app databases.
- Inside an app’s private storage: preferences, account tokens, reading position, labels, filters, game progress and other settings that may not be exportable.
Those locations have different migration methods. A phone backup is not automatically a portable archive, and an export file is not proof that a replacement app can import every field. The safest order is therefore: inventory, back up, export, install, verify, disconnect, then remove.
Start with an app-and-data inventory
Write down every Google app you plan to replace and the exact information you need to keep. Avoid a vague goal such as “move my Google data”; name the records and behavior that matter.

| Area | Items to identify | Questions before switching |
|---|---|---|
| Messages, attachments, folders or labels, filters, signatures, drafts | Does the destination import messages, preserve labels, and support your filters? | |
| Contacts | Names, multiple numbers, labels, notes, birthdays, photos | Are contacts in Google, on the phone, on the SIM, or in another account? |
| Calendar | Events, recurring rules, reminders, invitations, time zones | Can the destination import the calendar format and recurring events? |
| Photos and video | Original files, edits, albums, favorites, metadata, shared items | Do you have original files locally, or only cloud copies? |
| Files | Documents, PDFs, downloads, offline files, folder structure | Which files are downloaded to the phone and which exist only online? |
| Browser data | Bookmarks, open tabs, history, saved passwords, autofill | Does the replacement browser have a documented import path for each item? |
| App-specific data | Preferences, offline databases, game progress, notification rules | Does the app itself offer backup or export? Android backup may omit it. |
Mark each item as must keep, nice to keep or safe to rebuild. This prevents an account removal from being treated as harmless when a small, locally stored setting is actually important.
Check Android backup before changing anything
On current Android versions, open Settings → Google services → All services → Backup. Manufacturers may rename or move these entries. Open Backup details and inspect what the phone reports rather than assuming every app is covered. If Back up now is available, run it while the phone is connected to power and a reliable network. See Google’s current explanation of backup contents and limits at Android backup and restore help.
Google says a personal Android backup can include apps and app data, call history, contacts, device settings and SMS/MMS. Availability of other categories depends on the apps involved; for example, RCS messages, Phone app settings and photos or videos can depend on particular Google apps. Most importantly, Google states that not every app can back up or restore all of its data or settings.

- Take a screenshot or written note of the Backup details page, including the account and the last backup time.
- Open each high-value app and look for its own export, backup or account-sync status.
- Do not describe the Android backup as an independently portable archive. It is primarily intended to restore an Android device, and support varies by app.
- Keep the original phone untouched until the replacement has been checked. A backup that completed successfully can still omit an app’s private data.
Android-version differences matter. Google warns that restoring a backup made on a newer Android version to an older version can result in an incomplete transfer. Supported settings also vary by phone model and Android version.
Use Android’s phone-to-phone transfer when you are changing devices
During setup of a new Android phone, the copy process can transfer data by cable or Wi-Fi. Google recommends using a cable when possible, although the process can take from minutes to hours depending on the amount of data and the devices. Follow the current instructions at Copy apps and data from an Android device.
The setup tool may copy apps and certain app data, music, photos, videos, contacts stored on the phone or SIM, text messages, many settings, wallpaper and call history. It does not promise a complete clone. Google lists exclusions that include:

- Downloads such as PDFs and other files in download locations.
- Media in hidden folders.
- Apps installed outside Google Play.
- Data from apps that do not use Android backup.
- Accounts other than Google Accounts and the data belonging to those accounts.
- Contacts or calendars synchronized to non-Google services.
- Ringtones and some device settings.
If you use a cable, choose one that supports data and has connectors compatible with both phones. USB-C appearance alone does not establish that a particular cable can transfer data; check the ports and capabilities of both devices. The official setup guidance covers the transfer methods but does not guarantee every cable or every manufacturer’s implementation.

Export account data with Google Takeout
When a Google service offers an account-level export, use it as a safety copy before changing accounts or synchronization. In Google Takeout, select only the services and data you need, choose the available archive options, create the export and download the resulting archive. Google gives email, documents, calendar and photos as examples of data that can be selected.
Important details about the archive:
- Contacts are exported as vCard files, commonly identified with a
.vcfextension. - Gmail messages retain labels in an
X-Gmail-Labelsheader. A destination must understand that header to reproduce labels automatically. - Changes made after you request an export but before Google creates the archive might not appear in that archive.
- Google recommends downloading and inspecting Takeout archives on a desktop computer.
- Downloading a Takeout archive does not delete the data from Google’s servers.
Takeout creates files; it does not guarantee that a particular replacement app will accept every file, preserve every field or recreate app-specific behavior. Before deleting or disconnecting anything, open the destination service’s current import instructions and confirm the required format.
Move contacts carefully: export first, then change sync
Contacts are one of the easiest categories to verify because Android Contacts can create a VCF file. In the Contacts app, use Fix & manage → Export to file, select the account or accounts to export, and save the resulting .VCF file. The exact button placement can differ by phone, but Google documents the export route in its Contacts export help.
- Open Contacts and inspect the account selector so you know which contacts you are exporting.
- Export each required account or a selected set to a VCF file.
- Copy the VCF file to a computer or other independent storage.
- Open the file or import it into the intended contacts service, then check names, phone numbers, notes and photos.
- Create a new test contact in the destination and verify that it appears on every device where you expect synchronization.
Do not simply switch off Google Contacts synchronization and assume the records remain on the phone. Google explains that turning sync off removes synced contacts from the device. It also warns that device changes that have not synchronized can be lost. Before disabling sync, manually trigger synchronization and wait for pending edits to finish. See Google’s Contacts synchronization guidance.

Install replacements and verify them before disconnecting Google
Install the replacement for one category at a time. Begin with the data you cannot recreate, such as contacts, irreplaceable photos, important mail or work documents. Sign in or import the exported files, then test the functions you actually use.
- Mail: open old and recent messages, inspect attachments, search for a distinctive subject and check whether labels, folders, drafts and filters arrived.
- Calendar: inspect recurring events, invitations, reminders, time zones and shared calendars; create a harmless test event and confirm it synchronizes.
- Photos: open originals and edited versions, check dates and location metadata, and confirm that offline copies exist if you need them without a network.
- Files: open PDFs and documents from the destination, verify folder names and check that downloads were copied separately.
- Browser data: test a few bookmarks and autofill records. Treat passwords as a separate security-sensitive migration and use only the destination’s documented import method.
- App settings: compare notification rules, offline content, shortcuts and accessibility options manually; these are commonly the least portable items.
Keep the old app installed and signed in while you test, unless there is a security or storage reason not to. Running both apps briefly lets you compare counts and search results without relying on memory. Do not promise automatic transfer for bookmarks, passwords, calendars, photos or settings unless the chosen destination explicitly documents it.
Turn off sync only after the destination is complete
Once the replacement contains the data you need, disable synchronization for the Google service you are leaving. The path varies by Android release and manufacturer, so use the account or app settings that display the specific sync switch. Recheck the destination after sync is disabled: a service that looked complete may have been displaying live Google data.
Recommended Free Tools
For contacts, complete the manual synchronization check described above before turning off the switch. If you have made edits while offline, wait until they are uploaded or export those contacts again. Otherwise, the pending changes can disappear when the device copy is removed.
Remove the Google Account only as the final device step
Removing an account is different from deleting the account itself. Android’s account instructions state that removing a Google Account from the phone removes its associated email, contacts and settings from that device. Google’s Takeout help separately explains that downloading your data does not erase the server-side copy. Read the device-level consequences in Google’s account removal guidance.
- Confirm that every must-keep item in your inventory is visible in the intended replacement.
- Confirm that the replacement works with the phone offline if offline access is important.
- Save exports and backups somewhere other than the phone being changed.
- Check that another account, recovery method or local copy can access the data you still need.
- Only then open Android’s account settings, select the Google Account and choose the remove-account action.
- Restart the phone and test the replacement apps again, including notifications and background synchronization.
If the phone is shared, managed by an employer or protected by device administration, account-removal controls may behave differently. Follow the administrator’s policy rather than forcing the change.

How to evaluate a replacement app or service
The official Android guidance does not establish a universal list of third-party replacements or their current import compatibility. Compare each candidate against the data you identified instead of choosing solely by interface.
| Decision area | What to verify in the destination’s documentation |
|---|---|
| Import formats | Whether it accepts VCF, calendar files, mail archives, photo folders or other files you can actually export. |
| Field preservation | Whether labels, notes, recurring rules, metadata, attachments and edits survive import. |
| Synchronization | Which devices and operating systems synchronize, how conflicts are handled and whether sync is continuous or manual. |
| Offline access | What remains readable or editable without a connection and how offline changes are reconciled. |
| Account requirements | Whether a new account, subscription or phone-number verification is required. |
| Privacy and security | Encryption, authentication options, export availability, retention policy and recovery process. |
| Settings portability | Which preferences, filters, shortcuts, notification rules and app-specific metadata can be imported. |
A service that imports the main records but loses labels or recurring-event rules may still be unsuitable for your workflow. Perform a small trial import first when the destination allows it.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Common failure modes and recovery steps
The backup says it completed, but an app is empty
Check the app’s own account and backup settings, then consult its documentation. Android backup does not require every app to restore every database or preference. If an export exists, create one from the original device and import it manually. Do not wipe the old phone until the missing information is recovered.
The new phone is missing downloads or hidden media
Those locations are explicit exclusions in Google’s setup-transfer guidance. Use a file manager or computer to copy the download folder and any supported media folders separately. Check hidden folders carefully and verify file counts and sample files on the new phone.
Contacts vanished after sync was disabled
Do not create additional edits on the affected device. Check whether the contacts still exist in the Google Account or in your VCF export. Restore or import from the verified copy, then enable only the synchronization required by the destination. Unsynchronized device edits may not be recoverable.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesThe transfer works in one direction but not after a downgrade
Google warns that restoring from a newer Android version to an older one can be incomplete. Update the receiving phone where possible, or use explicit exports for contacts, files, photos and other critical categories instead of relying solely on device restore.

The replacement imports records but not settings
Separate content migration from configuration migration. Recreate notification rules, filters, shortcuts and offline choices manually, and document the old settings before disconnecting the source account. An app icon appearing on the new phone does not prove that its private preferences transferred.
The Takeout archive is missing recent changes
Google notes that changes made after the export request and before archive creation may not be included. Make another export after the final edits, compare the archive dates and inspect representative records before treating the archive as final.
A practical go/no-go checklist
- Every Google app being replaced is listed with its must-keep data.
- Backup details were reviewed and a fresh backup was completed.
- Contacts, files, photos and other irreplaceable data have an independent export or copy.
- The destination’s import formats and limitations were checked.
- Replacement apps were installed, signed in and tested with real records.
- Offline access, notifications and synchronization were tested where relevant.
- Pending contact and other account edits were synchronized before switches were changed.
- The old phone or original apps remain available until verification is finished.
- You understand that removing the Google Account removes associated data from this device.
When to stop and postpone the migration
Pause if you cannot identify where a must-keep item is stored, if an export is still processing, if the destination cannot open a test file, or if the only copy exists inside an app whose backup behavior is unknown. Keeping the original account connected for another day is safer than removing it and discovering that a local database, unsynchronized contact edit or app preference was never copied.

Does removing my Google Account delete my data everywhere?
No. Android removes the account’s associated email, contacts and settings from that device. That device-level action is different from deleting the account’s server-side data; a downloaded Google Takeout archive also does not delete the server copy.
Can Android backup restore every Google-app setting?
No. Google says Android backup can include several broad categories, but individual apps may not back up or restore all of their data or settings. Check Backup details and the app’s own documentation.
Is a VCF file enough to preserve all contact information?
A VCF export is a portable contact copy, but the destination may not support every field, photo or label. Import a test file and inspect representative contacts before disabling the original synchronization.
