Microsoft Teams can record who attended a meeting, when each person joined, when they left, and—in supported meeting reports—some engagement details such as reactions, raised hands, and cameras turned on. For a standard Teams meeting, the organizer or an eligible co-organizer can download the result as a .csv file.
The most reliable workflow is to enable Allow attendance report before the meeting, then download the report from the meeting chat after it ends. You can also enable it while the meeting is running or download a current participant list before the meeting finishes.
What Teams attendance reports contain
A standard attendance report can show:
- Names or identities of participants
- Join and leave times
- Attendance duration
- Total reactions
- Raised hands
- Whether cameras were turned on
The exact information displayed can vary with the meeting type, participant settings, and Teams version. Microsoft supports attendance reports in Microsoft Teams, Teams for Education, and Teams small business.
Enable attendance reporting before a Teams meeting
Turn on the report when scheduling or editing the event. This is the best option because the setting is already active when attendees arrive.

- Open Teams and select Calendar.
- Select the meeting event.
- Select View event.
- Select Options.
- Under Participation, turn on Allow attendance report.
- Select Apply.
If you do not see the option, check that you are the meeting organizer or have the required organizer permissions. Attendance reports are controlled by the meeting and are not available to every participant.
Turn on attendance reporting during the meeting
You do not necessarily have to enable the report in advance. The current Teams interface also lets the organizer enable it after the meeting has started.
- Start or join the Teams meeting as the organizer.
- In the meeting controls, select Controls and then View more options.
- Under Participation, turn on Allow attendance report.
- Select Apply.
Enabling the setting during a meeting may not recover attendance information from before the feature was enabled. For complete tracking, switch it on before attendees begin joining.

Download the attendance report after the meeting
For a standard Teams meeting, the report is available through the past meeting chat. Organizers and eligible co-organizers generally see it about five minutes after the event ends.
- Select Chat in Teams.
- Open the chat for the past meeting or event.
- Select the Attendance tab.
- Select Download.
Teams downloads the report as a .csv file. You can open it in Excel, Google Sheets, LibreOffice Calc, or another spreadsheet application.

Each occurrence of a recurring meeting has its own attendance report. If you need attendance for four weekly sessions, download and process four separate reports rather than expecting one combined file.
Download a participant list while the meeting is running
If you need a quick record before the meeting ends—for example, to confirm who has joined—download the current attendance list from the Participants pane.

- In the meeting controls, select People or Show participants.
- In the Participants pane, select More actions.
- Select Download attendance list.
This live download is not always the final report. For meetings with more than 120 participants, the list downloaded during the meeting may contain only some attendees. The post-meeting report contains all attendees.
Who can view or download the report?

Access is also affected by the meeting type and organizational settings. A person who attended the meeting but was not the organizer should not assume they can download the file.

Participants can control whether Teams identifies them in attendance reports.

On desktop or the web
- Select Settings and more (…) and then Settings.
- Select Privacy.
- Turn Identify me in attendance reports on or off.
On mobile
- Tap your profile picture.
- Tap Settings and then Privacy.
- Tap Attendance report data.
- Turn Identify me in attendance reports on or off.
When identity protection is enabled, the report may not show the participant’s usual identifying information. This is important when using the CSV for compliance, training, or payroll-related tracking.
How to use the CSV for efficient tracking
- Keep the original file. Save the downloaded CSV with the meeting date, such as
2026-04-08-Project-Review-attendance.csv. - Open a working copy. Make edits or add formulas in a separate copy so the source remains unchanged.
- Check the time zone. Confirm how Teams displays the join and leave times before comparing them with a schedule.
- Look for multiple sessions. A participant who reconnects may have more than one join or leave event or otherwise require interpretation.
- Record exceptions separately. Note approved absences, late arrivals, technical problems, and people who were invited but never admitted.
Attendance data is evidence of a connection to the meeting, not necessarily proof that someone was actively watching. Use engagement fields carefully and apply your organization’s privacy and retention rules.
Important Teams attendance-report limitations

| Instant channel meeting | Attendance reports are not supported. |
| Two meetings in one channel conversation | If one meeting is already running, the report is available only for the second meeting started in that conversation. |
| Organizer leaves the organization | The reports are permanently deleted and cannot be retrieved. |
For the complete report data, use Teams on desktop or the web. The mobile app may not display all available information.
Record attendance for a Teams webinar
Webinars use a different management page from ordinary meetings. To view or download a webinar attendance report:
- Select Calendar in Teams.
- Select the webinar.
- Select View event.
- Select Manage event.
- Open the Attendance tab.
- Select Download to save the report.
Webinar reports can include the event start and end time, total duration, attendee count, attendee roles, first-join and last-leave times, and the amount of time each attendee stayed.

Registration is separate from attendance. Before or after the webinar, go to Manage event > Registration > Attendee status. After the webinar, registration-related information is also available under Manage event > Reports. Someone can register without attending, so do not use the registration list as the attendance record.
What about Teams live events?
For an existing Teams live event, the attendee engagement report had to be enabled during scheduling. In the scheduling flow, go to Calendar > New meeting > Live event, then select the Attendee engagement report checkbox under How will you produce your live event?. If it was not selected, Teams does not generate the report.
After the event, download the .CSV file from the download icon beside Attendee engagement report in Live event resources. Fields can include Session Id, Participant Id, Full Name, UserAgent, UTC Event Timestamp, Action, and Role. The Action value indicates whether a person joined or left.
Live-event reports do not include people who watched the recording or watched on demand. Anonymous presenters may not be included, and Participant ID or Full Name can be blank depending on event settings. Microsoft says the Teams live event experience retires on June 30, 2026 and directs customers toward Teams town halls for newer event features.

- The setting was never enabled: Open the meeting options and confirm that Allow attendance report was on, or enable it during the meeting when possible.
- You are checking too soon: Wait approximately five minutes after a standard event ends, then reopen the meeting chat.
- You are using the wrong chat: Select the chat belonging to the past meeting, not a general team or channel conversation.
- The event type is unsupported: Instant channel meetings do not support attendance reports.
- You are not an eligible viewer: Standard reports are restricted to the organizer and supported co-organizers; webinar reports are organizer-only.
- You are using mobile: Switch to Teams desktop or the web when the Attendance tab or report details are incomplete.
Teams Premium is not a general prerequisite for downloading standard meeting attendance reports. Premium features may apply to particular engagement-report capabilities, but standard attendance reporting is documented for Teams, Teams for Education, and Teams small business.

FAQ
Can I record attendance if I forgot to enable the report before the meeting?
Often, yes. During the meeting, use Controls > View more options > Participation, turn on Allow attendance report, and select Apply. For future meetings, enable it before attendees join for the most complete record.
How long does a Teams attendance report take to appear?
For a standard meeting, Microsoft says organizers and eligible co-organizers generally see the report in the event chat about five minutes after the event ends.
Does Teams record people who waited in the lobby?
No. A person who remains in the lobby and is never admitted is not included in the attendance report.

Co-organizers can access reports for supported standard Teams events, but there are exceptions. They cannot access reports for channel meetings, and webinar reports are currently available only to the organizer. Events scheduled in Outlook also have different co-organizer access behavior.
Are Teams attendance reports available for recurring meetings?
Yes, each occurrence has its own report. Download the report from the chat for the specific meeting occurrence you need.
Is a Teams attendance report the same as a meeting recording?
No. The attendance report is a CSV containing participation information. It does not record the meeting’s audio, video, or shared screen.
The Bottom Line
For a standard Teams meeting, enable Allow attendance report under Calendar > meeting > View event > Options > Participation. After the meeting, open its chat, select Attendance, and download the CSV. If you need a live snapshot, download the attendance list from People > More actions while the meeting is running—but use the post-meeting report as the authoritative record, especially for large meetings.
