Protect your tax information during an IRS dispute by confirming the notice and response channel are genuine, sending only relevant records through the verified route, securing copies, and keeping a dated record of every exchange. You still need to answer a valid notice and provide information the law requires; privacy rights are not permission to ignore a deadline or withhold relevant records.
Verify the notice before responding
Start with the notice itself. Confirm the tax year, issue, requested records, response method, and deadline stated in the letter. If the notice is unclear or you are unsure how to respond, contact the IRS using details verified through IRS.gov rather than relying on an unexpected caller, email, text, social-media message, or link.
The IRS says it does not initiate contact through email or social media to request personal or financial information. Treat an unexpected message making that request as suspicious, and do not click its links or open attachments. See the IRS guidance on identity protection tips.

Share only relevant records through the confirmed channel
Gather documents that address the issue identified in the notice. Keep your originals and send copies unless the IRS specifically instructs otherwise. Before submitting anything, verify both the recipient and the method of delivery.
Limit unrelated personal information that is not requested or relevant. If you are unsure whether a document falls within the request, ask the assigned IRS employee or your authorized representative rather than guessing. The IRS recognizes a right to expect that an inquiry or enforcement action will be no more intrusive than necessary, while retaining authority to request relevant information. Read the Taxpayer Bill of Rights and IRS privacy guidance about tax information and taxpayer rights.
Privacy does not mean the IRS can never ask about financial or personal circumstances. The IRS privacy guidance says that during an audit, if there is no reasonable indication of unreported income, it will not seek intrusive and extraneous information about a taxpayer’s lifestyle. That policy is not a guarantee that an audit will never involve questions about finances or circumstances.

Secure paper and digital records
Paper documents
Keep notices, filed returns, and supporting records in a secure place, especially anything displaying an SSN. Limit access to people who need the information. A lockable document box or pouch is one possible storage choice, but the IRS recommends safe storage generally and does not endorse a particular product.

Digital copies and accounts
Use a unique, strong password for your IRS Online Account, keep your device and security software updated, and avoid shared or public computers for sensitive tax work. The IRS recommends basic protections such as firewalls, antivirus software, security updates, and strong passwords in its identity protection tips and identity theft guide for individuals.
Store digital copies where access is limited to people handling the dispute, and make sure you can retrieve them if the IRS or your representative needs them. Do not assume that a convenient cloud folder, email inbox, or shared device is appropriate for sensitive records without considering who can access it.
Keep a case file and a contact log
Keep a copy of the notice, everything you send, proof of delivery or submission, and notes of conversations. For each call or other contact, record the date, who you spoke with, the number or channel used, the issue discussed, and any promised next step. The IRS specifically recommends keeping records of letters, calls, and emails when dealing with identity theft in its identity theft guide.
There is no universal number of years that applies to every individual’s dispute file. How long to retain records can depend on the tax year, issue, amended returns, assets or carryovers, extensions, and whether an appeal, litigation, or collection matter remains open. IRS retention guidance for certain business machine-sensible records is not a blanket deadline for individual tax dispute documents; see business recordkeeping guidance for its limited scope.

Know which privacy rights apply—and their limits
The Taxpayer Bill of Rights includes privacy, confidentiality, representation, and appeal rights. The IRS says information provided by a taxpayer should not be disclosed unless the taxpayer authorizes it or the law allows it. These protections address how the IRS handles information; they do not erase a valid notice’s response requirements.
A Privacy Act request is not the general way to obtain or correct a federal tax return record. The IRS says federal tax records are exempt from access or amendment under that process. To correct a filed individual return, the applicable route is generally Form 1040-X or another tax-specific procedure. If you are working directly with an IRS employee on an open case file, the IRS says you may request information from that employee. See IRS Privacy Act information.
If your information may have been compromised
- Stop engaging with the suspicious contact. Do not reply, click links, open attachments, or use contact details supplied in the message.
- Secure your account. Change the IRS Online Account password using the official IRS site and review the account’s security options. The IRS describes multifactor authentication for its Online Account on its identity theft guide.
- Follow the real notice or official identity-theft process. Use the instructions in a verified letter or the IRS’s guide for individuals to report suspected tax-related identity theft and determine next steps.
- Consider an Identity Protection PIN (IP PIN). The IRS offers an IP PIN process; consult its IP PIN information for current eligibility and enrollment steps.
- Preserve evidence. Keep suspicious messages, letters, and a dated log of contacts and actions taken, while avoiding further disclosure of sensitive information.
When a tax professional can help
You have the right to retain an authorized representative. A qualified tax attorney, certified public accountant, or enrolled agent may be useful when a notice raises a complex issue, a substantial amount, a possible fraud allegation, a collection action, or a deadline you may not be able to meet. Verify that the person is authorized to represent you before sharing records, and agree on a secure way to exchange sensitive documents. The IRS explains representation rights in the Taxpayer Bill of Rights.
