To preserve family memories, protect the originals, record the people and stories behind them, and make well-labeled digital copies with more than one backup. Start with safe handling, sort items without losing their context, store them in suitable materials and a stable environment, then share copies instead of repeatedly handling or displaying fragile originals.
Start with safe handling
Make a clear work area and keep food and drinks away. Wash and dry your hands before handling materials. The National Archives and Records Administration (NARA) recommends gloves for photographs and negatives because fingerprints can leave permanent stains. Support photographs with both hands and hold them by the edges; do not bend, fold, or force a rolled photograph open. See NARA’s handling guidance.
If an item is brittle, flaking, stuck to another surface, moldy, or actively deteriorating, stop. Do not try to separate, flatten, clean, or repair it with household products. For a valuable item or damage in progress, consult a photograph or paper conservator. Never attach an original photograph with glue or tape.
Sort memories without losing their context
Keep captions, letters, envelopes, album order, names, dates, and locations with the items they explain. A photograph without its context may be difficult for relatives to identify later. When possible, ask family members to identify people and places while they can; record who provided the information and mark uncertainty rather than turning a guess into a fact.

For a practical conversation, ask open questions such as “Who is in this picture?”, “Where was it taken?”, and “What do you remember about that day?” Record names and recollections in a separate document or in the digital file’s metadata. These are useful prompts, not a formal oral-history standard.
Store originals in stable conditions
Choose the coolest, driest stable place available throughout the year. NARA’s family storage guidance advises keeping temperature below 75°F and relative humidity below 65% to discourage mold and insects; humidity below 15% can make materials brittle. These are practical guidance thresholds, not a requirement that every home maintain a uniform archival climate. Avoid damp basements, hot attics, garages, leaks, direct sunlight, and placing collections directly on floors.

Use boxes, folders, albums, and sleeves that suit the material and its condition. Items should lie flat or stand upright without bending, folding, shifting, or slumping. NARA recommends lignin-free, acid-free or buffered paperboard and photographic enclosures that have passed the Photographic Activity Test (PAT). Stable polyester, polypropylene, or polyethylene are appropriate options for clear plastic sleeves. Avoid PVC, unidentified plastics, magnetic self-stick albums, rubber bands, staples, pressure-sensitive tape, and unknown adhesives. Check material specifications rather than relying on a seller’s unsupported “archival” label.

There is no single best enclosure for every photograph. Paper enclosures block light and can be less expensive; stable plastic sleeves let you view a photograph without removing it, but can cost more and add bulk. Some photographic processes, including cyanotypes and blueprints, can be sensitive to alkaline buffered materials and may need neutral, unbuffered housing. - Keep the photos acid free, air free and dustproof
Choose an album or box for how you use the collection
- Use an album when regular viewing is important, but check that its pages and attachment methods are suitable. Do not place originals in magnetic self-stick albums or use adhesive directly on photographs.
- Use a box with folders or sleeves when you want to limit light exposure or store items that are not often viewed. Choose a size that prevents sliding, bending, or pressure from an overfilled container.
- Separate items carefully if photographs are stuck together, brittle, or shedding material. Do not force them apart; get conservator advice when needed.
Digitize photographs for access and backup
Digital copies make photographs easier to view and share, while reducing the need to handle originals. For flat prints, a flatbed scanner is a practical option: place the photograph fully on the scanning surface and make sure the lid does not crush or crease it. Do not feed fragile, weak, bent, or valuable paper through an automatic-feed scanner. For bound materials, use a copy stand and book supports rather than forcing a book flat. NARA explains these precautions in “Digitizing Family Papers and Photographs”.
If you use a digitization service, agree in advance on how originals will be handled and returned. Choose a service arrangement that allows you to keep the physical items; scans are for access, not a substitute for preserving originals.

Give each file a consistent, understandable name and record what you know: who is pictured, what is happening, where the image was made, and when. Put details in file metadata or a companion catalog as well as, or instead of, a filename that could become unwieldy. Label uncertainty plainly, for example, “possibly Aunt June” rather than stating an unconfirmed identification as fact.

Make backups in separate places
NARA recommends the 3-2-1 backup rule: keep three copies of important files on two different types of media, with one copy off-site. For example, you might keep the working collection on a computer, a second copy on an external drive, and another copy in a separate location. The point is to reduce the chance that one device failure, accident, or local disaster destroys every copy; the rule cannot prevent every kind of loss.

Keep the highest-quality version when you have multiple scans or exports, and periodically check that backups still open. As devices and software change, move files to current storage and formats when needed. NARA’s digitizing guidance says: “Keep your originals after you digitize them, because digital files have their own preservation risks and can easily be lost.”

Light can fade, darken, or otherwise change photographs. NARA’s display guidance identifies displaying copies and keeping originals protected as the best protection from light. For gatherings, share scans or prints and return original photographs and documents to their storage after viewing.
If an original must be displayed, use UV-filtering glass or acrylic and keep it out of direct sunlight. Display copies remain the lower-risk choice because they avoid exposing the original to light and repeated handling. NARA conservation specialist Mary Lynn Ritzenthaler also discusses family-photo preservation in “Preserving Family Photos”.

Revisit the collection over time
Preservation is an ongoing routine, not a one-time task. Review stored items and digital copies periodically, especially after a leak, move, or other change in storage conditions. Replace unsuitable enclosures when safe to do so, check that names and stories remain connected to the right items, and confirm that backups are readable. If you discover active mold, flaking, stuck photographs, or other serious deterioration, avoid further handling and seek conservation advice.
