To keep business payments running through a bank acquisition, account conversion, or voluntary move, confirm the bank’s dates and instructions, map every incoming and outgoing payment, update the people and services that use your banking details, and keep the old account active until its transactions clear. Close it only after reconciling activity and saving the records your business needs.

First, find out exactly what is changing

Do not assume that a bank acquisition and a voluntary switch follow the same process. A merger, a failed-bank acquisition, a system conversion, a branch change, and a move your business initiates can each involve different account details, deadlines, and services. Ask the bank to identify which event applies to your account and provide the instructions in writing.

Confirm the effective dates, whether your account or routing number will change, which services will migrate automatically, any planned downtime, and whom to contact if a payment or access method fails. Public guidance cannot establish the conversion details for your particular bank, so use the bank’s notice and account-specific instructions as the operational source of truth.

Map every way money enters and leaves the business

Make one inventory of recurring, scheduled, and occasional activity tied to the account. For each item, record the responsible person, the banking details that must change, the deadline, and how you will verify that the change worked.

  • Money coming in: customer ACH and wire payments, card settlement, e-commerce payouts, and deposits arranged through payroll or other platforms.
  • Money going out: payroll and payroll taxes, tax payments, vendors, rent, utilities, insurance, loan payments, automatic debits, and scheduled transfers.
  • Banking tools and records: bill pay, checks, debit or credit cards, accounting software bank feeds, payment processors, statements, alerts, and treasury services.

Include less frequent items, such as refunds, returned payments, and annual insurance or tax debits. A list limited to monthly bills can miss transactions that arrive after you think the old account is finished.

Prepare the destination account and its users

Before redirecting cash flows, make sure the receiving account is ready for the way the business operates. Confirm the legal account ownership and authorized signers, user permissions, transaction limits, access tokens, statement delivery, and alerts. Check that the people responsible for payments can sign in and have the permissions they need.

If your company is choosing a new bank, compare services against actual transaction needs—not just an introductory offer. Consider payment continuity, fees and rates, account limits and permissions, branch or cash access, digital banking, accounting and processor integrations, customer support, and the bank’s experience serving your industry. A lower fee or short-term promotion may not compensate for a missing service your business depends on.

Update incoming payments, outgoing instructions, and integrations

Use the inventory to contact each person or service that sends money to or withdraws money from the account. Give new banking details only through the recipient’s verified update process, and ask when the change will take effect. Do not assume a payment instruction has changed merely because you submitted a form.

  • Review bill pay, saved payees, payment templates, and any treasury or wire instructions that may require separate changes.

For an acquisition or conversion, ask the bank which of these details it will transfer and which remain your responsibility. A bank’s system migration does not necessarily update the banking details held by outside companies.

Keep an overlap period and monitor both accounts

Where the bank’s process allows it, keep both accounts available while changes take effect. Retain enough money in the old account to cover uncleared checks, card activity, automatic payments, withdrawals, fees, and other pending items. Moving the full balance too early can leave a valid payment without funds to clear.

Keep the statements and transaction records your accountant or bookkeeper needs. The FDIC notes that a separate business checking account can make tax-time recordkeeping easier; preserving the old account’s history helps maintain that separation across the transition.

Review merger notices, loan terms, and deposit protection

Read notices about deposit-account terms, loan servicing and payment addresses, treasury products, wires, and deposit-insurance coverage. In a merger, the FDIC says acquired loans remain subject to their loan contracts. Deposit-account terms may change when the contract permits it and required notice is given. A failed-bank acquisition can involve a new deposit contract, so confirm which situation applies and review your own agreements rather than assuming every merger changes terms in the same way.

The FDIC’s general guidance says deposits transferred after a merger are insured separately from deposits already held at the assuming bank for at least six months, subject to ownership-category rules. This general rule does not determine coverage for a particular company’s balances or ownership structure. Ask the bank or FDIC to assess your specific accounts and categories.
