For an India GST audit or assessment, assemble the source documents behind your books and returns, reconcile them to the figures and claims reported, and keep records in a readable, recoverable format. Under section 36 of the CGST Act, the ordinary retention period is 72 months from the due date for furnishing the annual return for the relevant year—not from the end of the tax period. Certain records connected with proceedings or specified investigations must be kept longer.
How long do you need to keep GST records?
Section 36 of the Central Goods and Services Tax Act, 2017 sets the ordinary retention period at 72 months from the due date for furnishing the annual return for the year to which the records relate. The due date is the starting point; do not calculate the period from the close of the financial or tax year. See the CBIC-hosted CGST Act.
There is an extension for records relating to an appeal, revision, other proceeding, or a covered investigation. Keep those records until one year after final disposal or until the ordinary retention period ends, whichever is later. Before destroying records, identify the relevant year and registrations, and check for pending matters that may concern them. The applicable amendments and the facts of a particular case can affect what is required.

The Accounts and Records Rules provide a baseline. Which categories apply depends on the taxpayer’s activities and transactions. Preserve the evidence that supports the entries in the books and the figures, adjustments, and claims in the returns.
#1 Best Overall
Transactions, tax and returns
- Filed returns and statements, books of account, and records supporting tax payable, collected, and paid, as well as input tax and input tax credit claimed.
- Tax invoices, bills of supply, credit notes, debit notes, delivery challans, and relevant receipt, payment, and refund vouchers.
- Payment and ledger evidence that connects reported liabilities and credits to the underlying transactions.
Activity-specific records
- Documents for imports, exports, and supplies attracting reverse charge, where applicable; retain the related invoices, bills of supply, challans, notes, vouchers, and e-way bills as relevant.
- Stock accounts where applicable, including opening balance, receipts, supplies, losses, theft, destruction, write-offs, gifts or free samples, and closing balance. Account for raw materials, finished goods, scrap, and wastage as relevant.
- Records kept separately by activity where required, and records of advances received, paid, and adjusted.
The official CGST Accounts and Records Rules set out the recordkeeping requirements. The Tax Invoice, Credit and Debit Notes Rules address those document types. Adapt the checklist to the period, business activities, registrations, and records actually requested.
How to prepare records for an audit or assessment
Use the communication you received to establish the period, registrations, scope, requested records, officer, and response deadline. Do not assume every assessment, inquiry, or audit follows the same procedure; the notice and its legal basis determine what is being requested.
- Define the scope. Record the periods, GST registrations, transactions, claims, and documents named in the notice. Keep the notice and related correspondence with the response file.
- Collect the source material. Bring together the relevant books, filed returns and statements, tax-payment and ledger evidence, and supporting documents. Include transaction-specific records from the lists above where they apply.
- Reconcile reported positions. Link outward and inward supplies, turnover, tax rates, exemptions and deductions, input tax credit availed and used, and refund claims to their supporting records. Note differences and corrections, and explain them in a traceable way rather than silently altering historical entries.
- Build an index. Map each requested item to its file or record, ledger entry, return period, and relevant claim. For electronic submissions, retain a copy of exactly what was provided and when.
- Preserve a working copy. Keep the original records intact and use a separate, controlled copy for sorting or response preparation. For digital material, confirm that files open and remain readable after export.
- Check retention before disposal. Apply the statutory calculation to each relevant year and extend retention for subject records when the proceeding or investigation rule applies.
How should you preserve electronic GST records?
The Accounts and Records Rules address electronic record integrity, backups, audit trails, and production on demand. Electronic records must have proper backups so information can be restored within a reasonable period after accidental or natural destruction. A backup is useful only if authorized staff can retrieve it and the data can still be understood.

- Test restoration from backups periodically and keep a recoverable copy separate from the primary system.
- Retain source documents and the links between them and financial accounts, so a reported figure can be traced to its underlying evidence.
- Keep record layouts, data dictionaries, code explanations, record counts, and sample documents needed to interpret exported records.
- Preserve audit-trail information and inter-linkages. The rules restrict erasing, effacing, or overwriting entries and call for an edit or deletion log for electronically maintained records.
- Keep credentials and explanations secure, with access available to authorized staff who may need to retrieve records.
On demand, relevant records must be capable of production in authenticated hard copy or a readable electronic format. The Accounts and Records Rules provide the detailed requirements.
What happens during a CGST officer-led audit?
Section 65 of the CGST Act provides for an audit by the Commissioner or an authorized officer. In the reviewed Act text, the registered person is to be informed by notice at least 15 working days before the audit. The stated completion framework is three months from commencement, with an extension of up to a further six months for recorded reasons. Commencement is tied to the later of the records being made available or the audit being instituted at the place of business. Check the currently applicable text and the actual notice before relying on these procedural details.
The Assessment and Audit Rules describe examination of the documents underlying books and returns, including turnover, exemptions and deductions, tax rates, input tax credit availed and utilized, refunds, and other relevant matters. They also describe communicating discrepancies, considering the registered person’s reply, finalizing findings, and communicating those findings.
Rank #4
An officer-led audit is not interchangeable with every assessment or inquiry. For any communication, follow its cited provision, scope, period, and requested information. If a tax position is disputed, penalties may be involved, the deadline is short, or a proceeding is already underway, consider getting advice from a qualified Indian GST professional familiar with the matter.
Paper files and recordkeeping systems
Paper folders or binders can help organize paper invoices and supporting documents, but they are optional organizers, not a legal requirement or a substitute for complete records. Businesses using digital systems should assess whether they can preserve and export readable source data, restore backups, show audit trails and links to source documents, cover relevant transactions and registrations, and produce authenticated records with the explanations needed to interpret them. These are practical selection criteria, not a product ranking or an endorsement of any particular system.
