Before you travel, make a simple backup plan: check official operator and weather or traffic updates, note an alternative route or time, pack essentials for a delay, and tell someone where you are going and when you expect to arrive. If disruption occurs, use official information and prioritize safety over reaching your destination quickly.

What to put in your travel backup plan

Keep a short plan you can access without an internet connection. Transport for NSW recommends naming a travel support person and an in-case-of-emergency (ICE) contact, and carrying a copy of your backup plan (Transport for NSW backup-plan guidance).

  • Journey: origin, destination, booked services or route, and expected arrival time.
  • Updates: operator contact details and the official alert channel to check.
  • Alternative: another route, service or departure time, if one is available and safe.
  • Contacts: the person who should know your itinerary and receive updates, plus an emergency contact. Keep numbers on your phone and written down.
  • Offline essentials: tickets and booking references, important contacts, and relevant medical or accessibility information.

Tell your contact when you expect to arrive and let them know if the plan changes. Avoid storing sensitive information where someone who finds your phone or bag can easily access it.

How to prepare before departure

  1. Check conditions: review the transport operator’s latest service information, as well as relevant weather and traffic advice. The UK Prepare campaign recommends considering whether nonessential travel can be postponed when disruption is expected (UK Prepare: Transport disruption and delays).
  2. Choose whether to travel: if the trip cannot wait, allow extra time and identify a backup route or time. Confirm that an alternative actually runs and suits your needs rather than assuming a replacement will be available.
  3. Prepare your phone and supplies: charge your phone and, if useful, bring a charger or power bank. Pack regular medication, water, food, and clothing suited to the likely weather. Keep essentials where you can reach them during a delay.
  4. Share the plan: give your support person your destination and expected arrival, and agree how you will update them if service or connectivity changes.

What to do when a journey is disrupted

  1. Check the operator’s official updates and listen to staff, emergency services or local authorities. Follow instructions specific to the disruption.
  2. Tell your contact that your timing or route has changed. If you cannot get through, try again when it is safe and service is available.
  3. Assess alternatives for safety, availability, accessibility, time and cost. Do not take an unfamiliar or risky route simply to keep moving.
  4. For public transport delays or stranding, UK Prepare says it is usually safer to stay where you are and wait for assistance. Follow staff or emergency instructions if they direct you elsewhere.

Do not assume the operator will provide a particular replacement service, refund, hotel or meal. Check the operator’s current notices and terms for your specific trip.

Adjust the plan to your mode of travel

Public transport

Check the operator before setting out, including alternative routes or departure times. During disruption, use official alerts, follow staff instructions and report safety concerns to staff or the relevant authority. Confirm arrangements directly rather than relying on assumptions about replacement transport.

Driving

Check the route, weather and traffic, and make sure the vehicle is in suitable condition with enough fuel. UK Prepare lists possible vehicle-kit items such as a torch, in-car charger or power bank, warm clothes or blankets, high-visibility clothing, jump leads, food and drink, a first-aid kit, and a shovel. Choose items for your vehicle, season and route. Never drive through floodwater.

Walking, cycling or wheeling

Adapt the route and equipment to the conditions and local advice. Wear visible or reflective clothing, carry water, and take breaks if you feel unwell or overheated.

Plan for accessibility and other support needs

Include any mobility, communication, medical, cognitive or other assistance needs in your planning. Contact the operator or relevant local authority before travel to ask how assistance and accessible alternatives are handled during disruption, and identify someone who can help if arrangements change. U.S. Department of Transportation preparedness resources address people with disabilities, older adults and others who depend on transportation, but available services are local and operator-specific (U.S. Department of Transportation: Emergency Preparedness).

Prepare differently for an overseas crisis

For a major emergency abroad, keep emergency contacts with you, consider how you will communicate if networks fail, monitor local media and follow local authorities. Learn the safety and emergency procedures at your accommodation, identify possible routes to safety, and consult your carrier about transport-disaster instructions.

The U.S. Department of State advises U.S. travelers to use commercial transportation when safe and available. It also cautions that U.S. government assistance often cannot provide transport within a country (U.S. Department of State: Crisis Response and Evacuations). This describes U.S. crisis assistance abroad; it is not a guarantee or rule for travelers of every nationality.

Check insurance and passenger terms before you rely on them

Insurance coverage depends on the policy. The U.S. Department of State distinguishes travel health, medical evacuation and trip cancellation insurance, and recommends checking destination, trip duration, medical conditions, activities, trip and lodging costs, and whether a 24-hour help line is available. Trip cancellation coverage may help with certain cancellations or changes, but it does not guarantee reimbursement for every disruption or extra expense (U.S. Department of State: Travel Insurance).

Refunds, rerouting, meals, accommodation and compensation depend on the route, transport mode, jurisdiction, ticket and cause of disruption. Check the operator and the passenger-rights authority relevant to your trip; rules cannot be assumed to be the same everywhere.
