The most reliable preparation is simple: give the assistant a clean, labeled table, define the business meaning of every important field, identify the exact sheet or range, ask one concrete question, and verify the result against the source rows. A visually attractive report with merged headings, blank spacer rows, unexplained abbreviations, and hidden data may look clear to a person but leave an AI assistant guessing.
The steps below work across spreadsheet assistants. Excel Copilot, Google Sheets features, ChatGPT data analysis, and Power BI have different context limits and controls, so the product-specific sections explain where the general method needs adjustment.
What an AI assistant needs from a spreadsheet
An assistant interprets a workbook from its structure, labels, values, formulas, selected context, and your instructions. It does not reliably infer every convention that a colleague might know from a report’s appearance. The safest design is therefore machine-readable first and presentation-ready second.

A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11For ordinary tabular analysis, treat the data as a set of records. Each record occupies one row, each field has one column, and the first row contains descriptive headers. Keep report titles, explanatory notes, charts, and decorative elements outside the data range. This arrangement matches the structured-data guidance in OpenAI’s data-analysis documentation and Microsoft’s worksheet-organizing guidance.

- One row: one order, customer, ticket, shipment, employee, or other clearly defined record.
- One column: one type of fact, such as
Order date,Region,Units, orNet sales. - One header row: labels that describe the values below them without relying on color or position.
- One table or entity: keep unrelated record types in separate, well-labeled tables.
This does not mean every workbook must be reduced to one sheet. Separate tables are appropriate when they represent different entities, such as an Orders table and a Products table. The important point is that each table has a consistent schema and that you tell the assistant how the tables relate.
Reshape the data into an analysis-ready table
Use a single, unambiguous header row
Headers such as Order date, Customer ID, Ship country, Units, and Net sales (USD) are more useful than Date, Cust, Country, Qty, and Amt. If an abbreviation is unavoidable, define it in a data dictionary or workbook note. Avoid two-level headings in which a merged label applies to several columns; create separate, explicit labels instead.
Keep records in rows and fields in columns
Do not insert a subtotal after every region, a blank line between months, or a second header halfway down the list. Those features divide one logical range into visual sections that an assistant may treat as separate records or missing values. Put summaries on another sheet or below the table with a clear boundary outside the source range.
Keep values consistent within a column
A column should not mix numbers, text representations of numbers, and symbols. For example, use numeric values in Units and a separate Unit status field for values that are estimated. Store dates as dates rather than a mixture of date serials, text strings, and phrases such as last Friday. If a column contains percentages, state whether 0.15 means 15 percent or whether the cells contain the displayed value 15.
Use a native table when the spreadsheet tool supports it
Microsoft’s worksheet guidance recommends Excel tables for related data. A table gives the range a name, keeps headers distinct, and expands more predictably when rows are added. It is helpful for Copilot in Excel, but a native table is not a universal requirement: a correctly structured range can still be analyzed by other tools. Confirm the current assistant’s supported formats and import behavior before relying on table-specific features.
Make the meaning of every field explicit
Describe units, currency, and scale
Put units in headers or in a nearby definition: Net sales (USD), Weight (kg), or Duration (hours). State whether a value is gross or net, nominal or inflation-adjusted, and whether thousands or millions are implied. If one sheet uses USD and another uses EUR, record the currency per table and specify whether conversion has already occurred.

Define date logic
Many apparently simple questions depend on which date is used. Distinguish Order date, Ship date, Invoice date, and Cancel date. State the time zone when timestamps cross regions. Explain whether a month means calendar month, fiscal month, a trailing 30-day period, or a reporting period. Without that definition, an assistant can produce a mathematically correct grouping that answers the wrong business question.

Explain metrics and exclusions
Document terms such as active customer, conversion rate, net sales, or on-time delivery. A useful definition identifies the numerator, denominator, filters, and exclusions. For example: net sales equals shipped item value minus discounts and refunds; canceled orders are excluded; values are in USD. Put the definition in a data dictionary, a notes sheet, or the prompt itself.
Document codes and statuses
Codes such as A, N/A, closed, or 0 can have several meanings. State whether N/A means not applicable, not collected, or unknown. Explain whether a zero is a measured zero or a missing observation represented as zero. If statuses are case-sensitive or have an allowed sequence, list the definitions explicitly.
Give blanks a declared meaning
There is no universal missing-value policy in the cited documentation. Choose one that fits the data and describe it. A blank shipping date might mean an order has not shipped; a blank discount might mean no discount; a blank survey answer might mean the respondent skipped the question. Do not make the assistant infer those distinctions from context.
Do not encode meaning only through appearance
Color, bold text, indentation, and cell position can support human scanning, but they should not be the only indication that a number is a target, subtotal, forecast, or exception. Add a label or field such as Record type, Scenario, or Is forecast. Conditional formatting can remain as a visual aid after the semantic information is present in the cells.
Make workbook structure visible and predictable
Separate source tables from presentation
Keep dashboards, charts, pivot summaries, and narrative notes on presentation sheets. Keep the underlying records in dedicated tables with stable headers. If a report must contain a title or explanatory paragraph above a table, select or name the table range explicitly when asking the assistant to analyze it.

Remove or explain merged cells and multi-row headers
Merged headings and visual positioning can be meaningful to a person but ambiguous to a general-purpose model. Convert them into a flat header row for analysis, or provide a separate explanation of how the headings map to columns. Preserve the original report as a presentation copy if needed.
Check hidden rows, columns, and filters
Before requesting edits or totals, display the rows and columns that matter and inspect active filters. Microsoft’s worksheet guidance warns that hidden data can be deleted inadvertently when changes are made. Tell the assistant whether filtered-out rows should be excluded or included; do not assume it will know why they are hidden.
Use stable names and relationships
Name sheets and tables for their contents, such as Orders_2025, Customer master, or Returns. Avoid names such as Sheet3 when several tabs are available. If two tables are related, identify the key, for example Orders[Customer ID] joins to Customers[Customer ID], and explain whether the relationship is one-to-one or one-to-many.
Point the assistant at the intended context
Never assume that an assistant automatically reads every tab, linked workbook, or file in your account. In your request, name the workbook area, table, range, columns, and relevant date window. If the product offers a range selector, select the range as well as naming it.
Google’s AI function for Sheets is a particularly clear example of a context boundary: it uses the supplied range context and does not access the entire spreadsheet or other Drive files. Other features may use a selected range, an uploaded file, or a connected semantic model. Check the current product documentation for file, plan, language, and rollout requirements.

Recommended Free Tools
Ask a concrete question instead of uploading a vague workbook
A strong request specifies the operation, fields, filters, grouping, comparison, and output format. OpenAI’s data-analysis guidance and Microsoft’s Copilot guidance both recommend identifying columns and the calculation or chart you want. Start with one well-defined task, then refine it after inspecting the result.
Prompt pattern
In [table or range], calculate [metric] using [columns]. Filter to [date, status, or geography]. Group by [field] and compare [period or category]. Return [table, bullets, formula, or chart]. Explain assumptions and flag missing or ambiguous values.
The bracketed notation above is a template, not text to paste literally. Replace each item with the actual name used in your workbook.
Example: grouped comparison
In the Orders table, compare net sales by Region for calendar year 2025 using Order date and Net sales (USD). Exclude canceled orders. Return a table with each region's total, order count, and share of the year total. Flag rows with a missing date or region.
Example: diagnostic question
In the SupportTickets table, find the five categories with the largest increase in median resolution time from Q1 to Q2 2025. Use Created date, Category, and Resolution hours. Treat blank Resolution hours as missing, not zero, and show the row counts used for each median.
Refine broad requests in stages
For a large workbook, first ask the assistant to describe the tables, columns, row counts, date ranges, and missing-value patterns. Then request the calculation. Microsoft’s Copilot tips recommend naming columns or ranges and refining prompts; a staged approach also makes it easier to catch a wrong interpretation before a complex answer is produced.
Product-specific differences to check
The general preparation rules are portable, but the following tools expose different context and instruction mechanisms. Capabilities and eligibility can change by plan, account, region, language, model, and rollout; verify the current documentation for the edition you use.

A step-by-step preparation workflow
- Make a working copy. Preserve the original file before changing headers, formulas, visibility, or ranges. This gives you a recovery point if an assistant proposes unwanted edits.
- Inventory the workbook. List each sheet, table, entity, date span, and key relationship. Identify which area answers the question you intend to ask.
- Choose the source table. Keep one record per row and one meaning per column. Move summaries and decorative report elements outside the source range.
- Flatten the headers. Replace cryptic labels, merged headings, and repeated header rows with one descriptive header row. Add units where useful.
- Normalize values. Standardize dates, category spelling, status codes, numeric types, decimal conventions, and currency. Decide how blanks and non-applicable values are represented.
- Add definitions. Create a short data dictionary or notes sheet for metrics, codes, units, date logic, exclusions, and relationships. Keep the definitions close enough that you can include them in the request.
- Inspect hidden content. Clear accidental filters and reveal rows or columns that affect the calculation. Confirm that excluded records are excluded intentionally.
- Select the context. Name the sheet, table, range, and columns. If the assistant only sees an uploaded file or supplied range, ensure every required field is inside it.
- Write the request. State the operation, filters, grouping, comparison, expected output, and any assumptions the assistant must follow.
- Run a small test. Ask for row counts, sample records, or a simple total before requesting a complex forecast, chart, or edit. A small test exposes context errors early.
- Verify the result. Recalculate important totals, inspect representative source rows, check date and status filters, and confirm units and denominators.
- Review edits separately. For proposed formulas, formatting, or row changes, use preview and undo controls when available and retain the untouched copy until the result is accepted.
Verify calculations, explanations, and edits
Microsoft’s support guidance states that AI-generated content should be reviewed, edited, and verified. Treat that as a required control, not a cosmetic final step.

Check the data scope
- Does the answer use the intended sheet, table, or range?
- Are the start and end dates correct, including time zone and fiscal-calendar rules?
- Were filtered, hidden, canceled, duplicate, or test rows included or excluded as intended?
- Did the assistant use the correct currency, unit, and percentage representation?
Recalculate a sample independently
Pick several source rows and reproduce the arithmetic with a spreadsheet formula or calculator. For grouped totals, reconcile the groups to the grand total. For rates, inspect both numerator and denominator. For medians or percentiles, verify that the row count and missing-value treatment match your definition.
Inspect the evidence
When the product exposes formulas, analysis steps, source references, or cited rows, inspect them. If it gives only a narrative answer, ask it to show the fields, filters, and intermediate totals used. A confident explanation without traceable inputs is not sufficient for a consequential decision.
Review proposed workbook changes
Compare edited cells with the working copy. Check that formulas point to the intended ranges, that newly inserted rows did not shift references, and that formatting changes did not hide data. Keep a recoverable original and use preview or undo controls where the feature provides them.

Diagnose common misreadings
| Symptom | Likely cause | Correction |
|---|---|---|
| The assistant treats a subtotal as a normal record. | Summary rows are mixed into the source range. | Move summaries to a separate area or add an explicit record-type field and select only detail rows. |
| Dates are grouped in the wrong month or year. | Mixed text and date values, ambiguous formats, or an undefined fiscal calendar. | Convert the column to a consistent date type and state the calendar and time zone. |
| A percentage is off by a factor of 100. | The workbook stores fractions while the prompt describes whole percentages, or vice versa. | State the storage convention and display convention in the header or request. |
| Missing observations are counted as zero. | Blank, zero, and not-applicable meanings were not documented. | Define each state and ask the assistant to report missing counts separately. |
| The answer ignores another tab. | The feature sees only a selected range, supplied range, or uploaded file. | Include the needed fields in the accessible context and name the exact range. |
| Categories split into duplicates such as North, north, and N. | Inconsistent spelling, capitalization, or codes. | Normalize the category values or provide a mapping table before analysis. |
| An edit removes records or changes unexpected cells. | Hidden rows, filters, or an overly broad selected range. | Reveal relevant data, inspect the selection, work from a copy, and review the proposed edit before accepting it. |
| The assistant gives a plausible but irrelevant summary. | The request names a topic but not a calculation, fields, filter, grouping, or output. | Rewrite the prompt using the operation-and-context pattern and ask for assumptions to be listed. |
When a workbook contains several related tables
Do not flatten every entity into one enormous sheet merely to satisfy an assistant. Customers, orders, products, and returns have different grains: one customer can have many orders, and one order can contain several products. Preserve those relationships in separate tables when they are part of the real data model.
Instead, document the grain and join keys. State which table supplies the measure, which table supplies the grouping label, and whether unmatched keys should be dropped or reported. For example: use Orders[Customer ID] to join to Customers[Customer ID]; calculate revenue from order rows; group by the customer’s segment; flag orders whose customer key has no match. If the assistant cannot access both tables, provide a prepared analysis table or include the necessary lookup fields in the selected range.
Use workbook rules and data dictionaries carefully
A short rules sheet can reduce repeated explanations when a product supports workbook-level instructions. Copilot in Excel uses a visible sheet named .Rules with rules in column A. Microsoft says these rules are fully supported only in English and that model behavior may change. Keep one rule or definition per cell, use concise wording, and avoid conflicting instructions.
For a general assistant, a plain data dictionary is more portable. Include field name, meaning, type, unit, allowed values, missing-value convention, and example. A dictionary does not force exact compliance: instructions and labels provide context but cannot guarantee that a model will follow every rule. Verification remains necessary.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsA compact preflight checklist
- Is there one clear header row for each table?
- Does each row represent one defined record?
- Does each column contain one kind of fact?
- Are units, currencies, percentages, and date rules explicit?
- Are metric definitions, exclusions, codes, and blank values documented?
- Are merged headings, spacer rows, subtotals, and decorative elements outside the analysis range?
- Are hidden rows, columns, and filters understood?
- Are table names, sheet names, and join keys unambiguous?
- Does the assistant actually have access to the range or file you are naming?
- Does the prompt specify fields, filters, grouping, comparison, and output?
- Will you independently check important totals and proposed edits?
Bottom line
Prepare the spreadsheet as a clearly labeled data model, not as a visual puzzle. Give the assistant a stable table, define the meaning of fields and metrics, point it to the exact context it can access, ask a narrowly specified question, and verify the result against source data. That workflow remains useful even as individual assistants change their file limits, instruction features, and editing controls.
