The reliable way to prepare for a college technology festival is to work backward from that event’s current rulebook—not from a generic showcase checklist. Confirm the required format, poster size, presentation time, equipment, judging criteria, submission process, and safety limits first. Then build one clear story around the problem, solution, method, evidence, feasibility, and impact; rehearse the exact demonstration; and pack offline backups for every component you cannot replace at the venue.

1. Turn the event rules into a control sheet

College festivals use different formats. One showcase may require an A0 portrait poster and a six-minute presentation; another may allow a poster, laptop presentation, live demonstration, or another visual format; a third may specify a slide deck and prototype while making a poster optional. Treat the organizer’s current page or rulebook as the controlling document. Examples include VisionX’s Project Showcasing Track Guidelines, Iconeect 2026’s exhibition guidance, and the University of Calcutta IIC SIH 2026 instructions.

Make a one-page control sheet as soon as your team registers. Record the following fields exactly as the organizer states them:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Registration deadline, final submission deadline, upload location, required file names, and accepted file formats.
  • Team-size limit, attendance requirement, assigned presentation or judging slot, and whether every member must be present.
  • Poster dimensions, orientation, print or upload requirements, mounting method, and poster deadline.
  • Presentation length, question-and-answer arrangement, slide template, slide-count limit, and whether the deck must be submitted in advance.
  • Demo requirements, setup and teardown time, booth or table dimensions, display screen, projector, outlets, power strips, Wi-Fi, and permitted network access.
  • Judging criteria, scoring weights, required abstract or proposal, and any QR code or student-ID check-in.
  • Safety rules for batteries, voltage, heat, chemicals, pressure, sharp tools, exposed mechanisms, and visitor access.

Ask the organizer about every blank field early. In particular, confirm whether you must supply extension boards, adapters, mounting materials, a display, a power supply, or a network connection. Written clarification prevents a technically sound project from failing because a booth lacks an outlet or a poster cannot be hung.

2. Choose a presentation format that fits the event

Do not prepare every possible format by default. Match your effort to what the event accepts and to the part of your project that can be shown most reliably.

Format Best when Checks before choosing
Poster-led display The festival is an exhibition, judges circulate among booths, or a poster is mandatory. Required dimensions and orientation, print deadline, mounting method, booth-stay rules, and whether the organizer supplies clips, boards, or easels.
Slide presentation The event assigns a timed pitch or requires a submitted deck. Template, file type, slide limit, projector or screen, presentation computer, advance-upload rule, and question time.
Live demonstration The core function can be shown quickly, safely, and repeatably. Power, network, setup time, physical space, safety approval, sensor or data availability, and the permitted fallback if the live system fails.
Poster, slides, and demo together The rules permit several formats and the team can make each one serve a different purpose. Avoid duplicating dense text. Let the poster orient visitors, the slides explain the argument, and the demo prove the central task.

The formats accepted by cited events are not universal. Iconeect allows a poster, laptop presentation, live demo, or another suitable visual format. VisionX requires a demonstration, a specified poster, and a timed presentation. The University of Calcutta guidance calls for a slide deck and prototype demonstration where applicable, with a poster optional. Verify your own edition before designing.

3. Build the explanation around the judging rubric

Judges generally need to understand significance, innovation, feasibility, impact, technical merit, organization, clarity, and delivery. Penn State Hazleton’s STEM Research Fair judging criteria explicitly assess visual and oral communication, logical organization, the balance of visuals and text, demonstration organization, and technical method. Use those dimensions to order your explanation, while following any event-specific template first.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Problem: define the need and the user

Open with the person, setting, or process that experiences the problem. State what currently goes wrong, who is affected, and what evidence establishes that the need is real. A short observation, measurement, user interview result, or documented constraint is more persuasive than a broad claim such as “this affects everyone.”

Solution: state the useful or novel idea

Describe what your project does in one sentence before explaining its internals. Identify the part that is new, cheaper, faster, safer, more accessible, or otherwise useful. Distinguish a working feature from a proposed future feature.

How it works: show the architecture at audience level

Use a simple block diagram or numbered flow: input, processing, decision, and output. Name the important design choices and why you made them. Keep implementation details that do not affect a judge’s decision in backup material rather than putting them in tiny poster text.

Evidence: separate results from plans

Show test results, a working workflow, user evaluation, or another reproducible observation. Label sample size, test conditions, and limitations where they affect interpretation. Never describe an intended experiment as a completed result. If a feature is unfinished, say so and demonstrate the functioning portion.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Feasibility and impact: explain what happens next

Tell judges what resources the project requires, who could deploy it, what constraints remain, and what the next engineering or research step is. Include cost or maintainability considerations when they are relevant to adoption, without claiming savings you have not measured.

Demo and close: make the takeaway memorable

Show the main task working, state the result in one sentence, and invite questions. A close should answer “Why does this matter?” rather than repeat the project title.

4. Design a poster that communicates without a speech

First obey the event’s dimensions, orientation, file type, and print or upload deadline. VisionX, for example, specifies an A0 portrait poster measuring 84.1 × 118.9 cm (33.1 × 46.8 in) and asks it to highlight the problem, objectives, methodology, AI use, outcomes, and impact. That is a VisionX requirement, not a general festival standard.

Use a scan-friendly information hierarchy

  • Title and team: Use a specific title, member names, department, adviser, and contact or QR code only if permitted.
  • Problem and objectives: State the user need and the measurable goals.
  • Method or architecture: Combine a concise process diagram with the few technical choices a visitor needs to understand.
  • Results or outcomes: Give the central measurement, comparison, prototype output, or evaluation. Label figures and units.
  • Conclusion and impact: Explain what the evidence supports, who benefits, and the next step.

Use headings, short paragraphs, bullets, labeled figures, and enough empty space for the main result. Penn State’s criteria favor a logical organization and an appropriate mix of visuals and text; decorative graphics should not compete with the evidence. Check the poster at its intended viewing distance, proofread names and units, and export both a print-ready file and an offline copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Plan mounting and printing as logistics

Ask whether the venue provides boards, clips, tape, easels, or other mounting materials. If it does not, pack only materials allowed by the rules. Print early enough to correct a broken font, wrong orientation, spelling error, or cropped figure. Keep the source file and a PDF in two locations so a last-minute correction does not depend on one laptop.

5. Build slides for the actual time limit

Time limits in the cited guidance differ: examples include five minutes with questions, six minutes, and five to ten minutes. They are examples, not a universal range. Time your deck to the exact slot assigned to your team, including any required transition or question period.

A practical short-pitch sequence

  1. Opening: Name the problem, user, and consequence.
  2. Objective: State what the project set out to achieve.
  3. Solution: Show the core idea and what is distinctive about it.
  4. Method: Use one architecture or workflow diagram.
  5. Implementation: Identify the key hardware, software, model, or design decisions.
  6. Evidence: Present the most important result or evaluation.
  7. Feasibility: Explain resources, constraints, and practical deployment.
  8. Impact: Connect the result to the intended user or setting.
  9. Demo: Show the central task or a concise sequence of outputs.
  10. Close: State the supported takeaway and invite questions.

The sequence is a useful editorial structure, not a mandatory universal order. If your organizer supplies a template, use its labels and slide count. The University of Calcutta IIC SIH 2026 instructions specify a ten-slide format; teams entering that event should map their content to the required ten slides rather than assume another count is acceptable.

Keep a presentation PDF as well as the editable deck. Embed fonts and media where possible, remove animations that are not essential, and place detailed test tables or code diagrams in backup slides for questions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Engineer a dependable demonstration

Rehearse the complete path

  1. Start from the state the judges will see: device powered off or application closed.
  2. Connect the exact cables, sensors, power supplies, and peripherals used at the event.
  3. Launch software from local storage where possible and load the approved demo data.
  4. Perform the shortest sequence that proves the core function.
  5. Record the time to the key result, then repeat the sequence until it is consistent.
  6. Stop safely, reset the system, and repeat after a short interruption to simulate a second judge.

Test the whole path, not just individual components. Check startup after a battery change, loss of Wi-Fi, an unplugged sensor, a missing file, and a projector or screen with a different resolution. Keep the critical assets on the laptop or device; treat cloud storage and live data as optional enhancements.

Prepare an honest fallback

If the event permits it, prepare clearly labeled screenshots or a recording of a feature that cannot run at the booth. Explain that it is a recording, identify what is being shown, and demonstrate the live portion separately. Do not present a recording as proof that the live feature worked during the festival. A printed workflow, static prototype, or captured output can preserve the explanation when a network or sensor is unavailable.

Keep the demo consistent with the submission

The University of Calcutta guidance requires the presentation, prototype, and demonstration to remain consistent with the submitted proposal and asks teams to test equipment before their slot. Do not add an untested feature, change the claimed objective, or show a different prototype at the booth without explaining the change. Keep the proposal, poster, deck, and demo labels synchronized.

7. Assign roles and practice questions

Decide roles before the event and write them on the run sheet:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Opening speaker: introduces the problem, user, and objective.
  • Technical speaker: explains the method, architecture, and evidence.
  • Demo operator: handles hardware, software, reset, and safe shutdown.
  • Slide operator: advances the deck and watches the clock.
  • Question lead: directs each question to the member best able to answer it.

Small teams can combine roles, but every member should know the full story and the recovery plan. Rehearse standing at the booth or in a room with the same physical constraints. Record one timed run, remove explanations that do not help a judge decide, and practice stopping cleanly when time expires.

Prepare concise, evidence-based answers to questions about:

  • Why this problem matters and how you know users experience it.
  • Why you selected this method or architecture instead of an obvious alternative.
  • What was measured, under which conditions, and what remains uncertain.
  • How the project could be deployed, maintained, or made cost-effective.
  • What the principal limitation is and what experiment or engineering step comes next.

8. Pack for the venue, not for an imaginary venue

Event provisions vary sharply. VisionX describes Wi-Fi, a table, power strips, and mounting materials, while other instructions tell teams to bring laptops, chargers, power supplies, extension boards, and project-specific accessories. Georgia Tech’s Capstone Design Expo student guidance advises requesting outlets during registration when needed and bringing fully charged laptops or tablets or backup devices.

Core documents and files

  • Registration confirmation, student ID, assigned slot, venue map, and any required QR code.
  • Presentation deck, PDF export, poster PDF, proposal or abstract, and judging forms if supplied.
  • Offline demo assets, installers, configuration files, sample data, and a short reset guide.
  • A second copy on a separate device or approved storage medium.

Hardware and power

  • Laptop or tablet, charger, video adapters, required cables, and a project-specific power supply.
  • Prototype, sensors, spare cables, batteries, fasteners, and only the tools permitted by the rules.
  • Extension board or power strip if the organizer does not provide one and allows it.
  • Fully charged backup device when the demo depends on a single computer.
  • Phone charger and, if useful, a compatible power bank. The UM iFEST presenter checklist explicitly names both.

Do not assume a phone power bank can run a laptop, a high-current prototype, or any other device. Check voltage, connector, wattage, capacity, and the organizer’s power rules. Bring water and any event-required personal protective or safety equipment.

9. Complete a safety and intellectual-property review

Read the written safety rules and obtain approval for unusual hardware before arrival. Iconeect’s guidance prohibits exposed high-voltage terminals, hazardous chemicals or materials, unsecured batteries, and dangerous moving mechanisms; it also allows organizers to prohibit demonstrations considered unsafe and reminds participants to avoid third-party intellectual-property infringement. Those are Iconeect’s stated rules, so check whether your event is stricter or different.

Ask a faculty adviser or organizer to review projects involving high voltage, heat, pressurized parts, chemicals, sharp tools, autonomous movement, or batteries. Secure the display, cover or isolate energized parts, route cables away from visitors, and keep moving mechanisms behind a barrier. If live operation is not approved, prepare a safe static display, controlled video, or printed result instead.

Audit every external image, dataset, library, model, logo, music track, and hardware design used in the poster, slides, code, or demo. Keep attribution and license information available, and do not imply ownership of material your team did not create.

10. Use a day-of runbook

  1. Arrive early enough to check registration, locate the booth, and identify the nearest approved outlet or presentation room.
  2. Inspect the table, poster board, screen, projector, lighting, and network before unpacking the prototype.
  3. Mount the poster safely and place the central result where a passing judge can see it immediately.
  4. Power the system using the approved supply, then run the complete demo once before judges arrive.
  5. Confirm that the deck opens from local storage, the correct aspect ratio is selected, and the timer is visible to the speaker.
  6. Keep the booth clear of loose cables, tools, packaging, and unapproved materials.
  7. Follow the assigned rotation so a knowledgeable team member is present whenever judges may visit.
  8. After the session, shut down safely, collect every adapter and prototype part, and verify that no personal or confidential data remains on a shared computer.

11. Troubleshoot the failures that matter most

The venue has no usable network

Switch to local files and preloaded data. Use a recorded or screenshot fallback only if permitted, label it honestly, and explain which live portion remains demonstrable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The display or projector shows the wrong layout

Use the PDF export, check the adapter and resolution, and keep a copy of the deck on the presentation computer and your own device. A simplified, high-contrast slide is safer than tiny text that becomes unreadable.

A sensor, cable, or battery fails

Stop safely, identify the failed component without improvising a hazardous repair, and move to the approved fallback. Carry a tested spare only when the event allows it and your team knows how to install it.

The demo runs longer than the slot

Cut optional setup and show the shortest path to the key result. Keep technical detail in backup slides and answer questions after the required conclusion.

The project differs from the submitted proposal

Explain the change precisely, update labels where allowed, and do not claim results for features that were not tested. If the rules require consistency, ask the organizer before presenting the changed version.

12. Final readiness checklist

  • Current rules, deadlines, slot, team requirements, judging rubric, and safety approval are recorded.
  • Poster dimensions, orientation, file type, mounting plan, and print deadline are confirmed.
  • Slides match the required template, count, and time limit; PDF and editable copies open correctly.
  • Problem, solution, method, evidence, feasibility, impact, and limitations are clear in the same order across materials.
  • Demo assets are local, the reset sequence is tested, and the fallback is labeled and permitted.
  • Every member knows the speaking, operating, timing, and question roles.
  • Power, outlets, Wi-Fi, adapters, chargers, extension equipment, and project accessories are confirmed rather than assumed.
  • Prototype hazards, visitor separation, batteries, moving parts, chemicals, voltage, and third-party rights have been reviewed.
  • At least one timed rehearsal has been completed under conditions close to the event.

A strong festival entry is not merely a finished prototype. It is a controlled presentation in which the rules are satisfied, the evidence is honest, the demonstration survives ordinary venue failures, and a judge can understand the project’s value before the clock runs out.
