Plan travel and overnight stays as part of the tech fest itself, not as an afterthought. Start by fixing the campus, venue, dates, hours, attendance, attendee origins, lodging demand and budget. Then map the complete journey—parking or transit, drop-off, accessible entrances, rooms, dining and restrooms—before choosing a bus, public transport, rideshare plan or lodging arrangement. Publish those decisions in registration, collect access and dietary requests early, and confirm every provider shortly before the event.
Because no city, campus, dates or headcount are specified here, this is a decision guide rather than a local itinerary. It does not assume a hotel, route, price, booking window or transport schedule.
1. Establish the inputs before you book anything
Travel and accommodation decisions are only meaningful when tied to a particular campus and event. Create one planning sheet with the following fields and assign an owner to keep each value current.
| Input | What to record | Why it changes the plan |
|---|---|---|
| Campus and venue | Building names, room locations, entrances and the exact event address | Determines routes, parking, drop-off, wayfinding and travel time |
| Dates and hours | Event start, finish, setup, teardown and any evening programme | Sets transport service hours and the nights that require lodging |
| Attendance | Expected total, confirmed registrations and likely day visitors | Determines vehicle capacity, room demand and staffing |
| Attendee origins | Home cities, campuses or regions, plus likely arrival times | Shows whether a group vehicle, public transport information or lodging is useful |
| Overnight demand | Who needs a room, for which nights and whether a companion may attend | Guides room-block size or an independent-booking model |
| Access and dietary needs | Mobility, hearing, vision, sensory, communication, medical and dietary requests | Changes vehicles, routes, rooms, meals and staff responsibilities |
| Budget and payment rules | Total ceiling, what the organiser pays and what attendees pay directly | Prevents an attractive option from creating an unfunded commitment |
Do not fill unknown cells with estimates presented as facts. Mark them “to confirm,” identify the person responsible and set a review date. The official Georgia Institute of Technology accessible-event guidance, University of Connecticut accessible-event guidance and Cornell accessibility information all treat advance planning and attendee information as core event work, not optional extras.

2. Inspect the entire journey and venue
A venue can be close to campus yet difficult to reach. Evaluate the route from the surrounding street or transit stop through parking or drop-off, the entrance, registration desk, event rooms, dining areas and restrooms. Georgia Tech’s accessible-event guide specifically calls for checking ease of travel, accessible entrances and exits, parking, drop-off areas, route signage, ramps and elevators.
Map each arrival stage
- Approach: Record the campus address, the nearest practical transit stops and the vehicle approach that does not require a complicated turn or unsafe crossing.
- Parking: Identify general parking, accessible spaces, payment or permit rules, walking routes and an alternative if the primary lot fills.
- Drop-off: Select a legal, well-marked point close to an accessible entrance. Decide who will supervise unloading and where a vehicle can wait without blocking emergency access.
- Wayfinding: Prepare signs from the approach, lot and drop-off to registration. Use consistent building, room and floor names in every message.
- Entrance: Verify that the entrance will be open during arrival and that the route has the required ramps, elevators, door widths and low-barrier surfaces.
- Interior movement: Walk the route to registration, stages, workshops, food service and restrooms. Check elevator locations, door operation, seating choices and places to pause.
- Departure: Plan how attendees return to parking, transit, a shuttle or lodging after the closing session, including the route for anyone who cannot use stairs.
Do this inspection at the times attendees will actually arrive and leave. A route that works during a quiet daytime visit may fail when a gate is locked, an elevator is unavailable or evening lighting is poor. Record a primary route and a backup route, and give volunteers a simple map with both.
Turn the inspection into an access checklist
- Accessible entrance and exit locations are confirmed with venue staff.
- Ramps and elevators are working, unlocked and included in the signs.
- Parking and drop-off instructions distinguish accessible and general options without exposing anyone’s private information.
- Registration, seating, restrooms and food areas are reachable without an avoidable barrier.
- A named accessibility contact can resolve a problem on the day.
- Environmental conditions that may affect participation—such as outdoor exposure, lighting, noise or weather—are described in advance.
3. Choose a transport model that fits the actual group
Only compare transport that serves your campus on your dates and during your event hours. The American University Faculty & Staff-Led Group Travel Planning Guidebook, revised March 11, 2025, identifies contracted buses, public transportation, rideshare, group size, reliability and nighttime road travel as planning considerations. Use those axes instead of choosing a mode because it is familiar.
| Mode | Works best when | Questions to answer | Typical risk to manage |
|---|---|---|---|
| Contracted bus or coach | Many attendees share a similar origin, arrival time or lodging location | Capacity, pickup points, driver contact, accessible vehicle, loading time, service hours and backup vehicle | One late or unavailable vehicle affects the whole group |
| Public transportation | Frequent service reaches campus and attendees can navigate the final connection | Stop locations, service hours, fare or pass process, step-free route and disruption information | Delays, closures or an inaccessible segment can strand attendees |
| Rideshare or taxis | Demand is dispersed or attendees arrive independently | Pickup zone, cost responsibility, late-night availability and accessible-vehicle request process | Vehicles may arrive separately and accessible supply may be limited |
| Private cars | Attendees already have a driver and parking capacity is known | Permits, lot location, accessible spaces, walking route and overflow plan | Congestion or a full lot causes late arrivals and unsafe drop-offs |
Request accessible transport explicitly
Never infer accessibility from the word “bus,” “shuttle” or “vehicle.” Tell the provider the boarding and seating features required, the number of riders, pickup and drop-off locations, and whether a mobility device will remain with the passenger. Cornell’s event-planning accessibility guidance advises requesting a wheelchair-accessible bus in advance; advance notice also gives the provider time to confirm the specific vehicle rather than offering a last-minute substitute.
Ask for the vehicle identification, driver or dispatcher contact, boarding procedure and a contingency contact. Confirm where the lift or ramp will deploy and whether the selected stop has enough space. Share only the information the provider needs to deliver the service, and keep individual medical details with the designated accessibility contact.

Compare transport on a single scorecard
For each feasible option, record:
- Capacity: seats, standing rules if applicable and space for mobility devices.
- Coverage: pickup and drop-off points, including lodging-to-campus movement.
- Timing: earliest arrival, latest departure and buffer before the programme starts.
- Reliability: past or contractually stated service commitments and a practical backup.
- Safety: driver arrangements, lighting, road conditions and whether any segment occurs at night.
- Accessibility: vehicle boarding, route surfaces, stop design and communication support.
- Cost responsibility: organiser payment, attendee payment or a split, with the payment deadline stated.
A cheap option that arrives after registration closes is not cheaper for the event. Choose the option that meets the required access, safety and timing constraints first, then compare cost among the remaining choices.
4. Decide whether to coordinate overnight stays
There are three workable models. Select one deliberately and explain it plainly to attendees.
| Model | Organiser responsibility | Attendee responsibility | Best fit |
|---|---|---|---|
| Organiser-coordinated room block | Negotiate inventory, dates, payment and cancellation terms; publish booking instructions; monitor uptake | Book by the stated deadline and pay any personal share | Demand is concentrated and the team can manage a formal reservation |
| Independent booking | Publish the venue area, distance, access questions and transport information without promising inventory | Choose, book and pay for a property directly | Demand is uncertain or attendees have varied budgets and preferences |
| Campus accommodation | Confirm campus inventory, rules, check-in, access and transport to the event | Follow residence policies and meet the payment or check-in requirements | The institution offers suitable rooms during the event dates |
No model is automatically superior. A room block can simplify coordination but may create an obligation if rooms are not used. Independent booking reduces organiser liability but requires clearer attendee guidance. Campus accommodation may shorten the journey while imposing residence rules. Make the choice only after you know likely demand, dates, budget and the provider’s terms.
Confirm lodging terms before announcing it
Ask the actual property or campus provider to confirm:
- Available room types, accessible rooms and the nights they can be held.
- Distance and realistic travel route to the venue.
- Transport options between lodging and campus, including early or late departures.
- Check-in and check-out times, identification requirements and payment responsibility.
- Cancellation, attrition, deposit and no-show terms.
- Whether meeting spaces, common areas, entrances, lifts and restrooms meet the needs of your attendees.
- A contact who can answer specific access questions rather than relying on a generic listing.
Emory University’s accessible-event guidance recommends consulting lodging providers about access in guest rooms, meeting spaces and common areas. Do not label a property “accessible” from a general listing alone; confirm the features relevant to the people who will use them.

5. Connect lodging to the event-day route
A bed does not solve travel unless attendees can move between lodging and the venue. Draw the lodging-to-campus route as carefully as the arrival route. Note pickup points, walking surfaces, crossings, lighting, vehicle loading, elevator access and the final entrance. If a shuttle is planned, publish its operating window, boarding location, capacity and accessible-vehicle arrangements.

State who pays for that alternative. If the route includes public transport or rideshare, explain where to board and where to be dropped off; do not assume visitors know the campus layout.
6. Collect access and dietary needs early
Registration should collect the information needed to make the plan usable without asking for unnecessary personal detail. Georgia Tech recommends accessible promotion, an accommodation contact and a registration field for accommodation or dietary concerns. UConn’s accessible-event guidance says comprehensive pre-registration details help participants assess what accommodations they may need.
Include these registration fields
- Arrival mode and, if relevant, planned arrival time.
- Whether lodging is needed, for which nights and whether the attendee is booking through a room block.
- Accommodation request, with an instruction to describe the practical feature needed rather than a diagnosis.
- Dietary requirements and severity information needed for safe meal service.
- Permission to contact the attendee about a request, plus a preferred contact method.
- Emergency or day-of accessibility contact details for the organiser.
Set a response deadline that gives your team time to speak with the venue and providers. A deadline is useful only if you continue to accept late requests through the named contact and explain what can still be arranged. Keep request records restricted to the staff who need them, and give vendors only the operational details necessary to fulfil each request.
Publish a travel information page
Put the same information in event announcements, confirmation messages and the on-site guide:

- Available transport, pickup points, service hours and payment responsibility.
- Lodging model, booking instructions, dates, distance and transport connection.

- Accommodation and dietary-request process, contact name and contact method.
- A map or written route from arrival points to registration and from the venue to departure points.
Use identical names for buildings, rooms and pickup points everywhere. Inconsistent labels create avoidable missed connections.
7. Build a responsibility and confirmation schedule
Work backward from the event date without inventing a universal booking window. The correct timing depends on campus demand, dates, attendance and provider terms.
- Set the planning inputs: approve the venue, dates, hours, attendance range, origins, lodging demand and budget.
- Inspect the site: walk arrival, interior and departure routes; document barriers and backups.
- Request quotes or availability: ask transport and lodging providers for capacity, access features, terms and contacts in writing.
- Choose the model: compare transport and lodging on capacity, timing, reliability, safety, accessibility, cost and cancellation exposure.
- Open registration: publish travel, lodging and accommodation information while collecting needs.
- Reconcile demand: compare registrations with reserved seats, rooms and accessible capacity; adjust before penalties apply.
- Brief staff: give drivers, venue staff, lodging contacts and volunteers the same route map, schedule and escalation contacts.
- Confirm shortly before the event: recheck every reservation, vehicle, route, entrance, lift, room and contact because local availability can change.
- Run a day-of check: verify that signs are placed, drop-off is clear, transport is present and the accessible route is open before attendees arrive.
8. Budget access and travel as event costs
Cornell’s accessibility information treats access costs as part of overall event expenses and encourages advance planning. Create budget lines for transport, accessible vehicle requirements, parking or permits, lodging commitments, venue access measures, signage, staff coverage and contingency travel. No current local prices are established here; obtain current local figures from the chosen providers.
For each line, record who pays, when payment is due, whether the amount is refundable and what happens if attendance changes. Separate committed costs from estimates. If attendees pay directly, state that clearly before registration; if the organiser subsidises a service, specify eligibility and the process for claiming it.

| Problem | Immediate response | Preventive preparation |
|---|---|---|
| Vehicle is late or unavailable | Contact the dispatcher, notify attendees at the published pickup point and activate the backup route | Keep a dispatcher number, arrival buffer and alternative transport information |
| Accessible vehicle or route is not available | Pause the affected movement and contact the accessibility lead; do not force an unsafe boarding route | Confirm the specific vehicle and route in advance and budget an alternative |
| Parking lot is full | Direct drivers to the published overflow option and keep accessible spaces protected | Verify capacity and place signs before opening |
| Elevator or entrance is closed | Use the verified alternate route and station a volunteer at the decision point | Check operation shortly before arrival and publish the alternate |
| Room block is underused or oversubscribed | Reconcile inventory with the provider and communicate payment or cancellation consequences | Set a response deadline and monitor uptake instead of assuming demand |
| Attendee makes a late request | Route it to the named contact, identify what can be arranged and explain any limit honestly | Keep a small contingency budget and maintain provider contacts |
Never make a last-minute accessibility promise that a provider has not confirmed. Explain the available option, its timing and any limitation so the attendee can make an informed decision.
10. Run the event with a simple travel desk
Designate a travel or access desk during arrival and departure. Staff it with someone who has the current route map, transport contacts, lodging information, attendee-facing instructions and authority to escalate. The desk should be able to answer where to park, where to board, how to reach an accessible entrance, whom to call about a room and what to do if a scheduled service changes.
Place volunteers at the points where people can make a wrong turn: parking exits, drop-off, registration, elevator junctions and transport pickup. Give them a short script that directs questions to the appropriate contact without asking attendees to disclose private medical information in public.
11. Make the final choice with a documented decision matrix
When two or more options remain, score each against the constraints that matter for this fest. A simple worksheet can use “meets,” “partly meets” and “does not meet” rather than invented numerical precision.
| Criterion | Transport question | Lodging question |
|---|---|---|
| Capacity | Can every intended rider travel within the planned departures? | Can required room types be held for the required nights? |
| Access | Are boarding, vehicle, stops and final route suitable for known requests? | Are guest rooms, entrances, common areas, lifts and meeting spaces suitable? |
| Timing | Does service cover arrival, programme hours and departure? | Can guests reach the venue for opening and return after closing? |
| Reliability | Is there a provider contact and workable contingency? | Are inventory, check-in and cancellation terms confirmed? |
| Safety | Are pickup points, drivers, lighting and nighttime travel acceptable? | Is the route between property and campus practical at the times used? |
| Cost and responsibility | Who pays, when, and what happens if demand changes? | Who pays rooms, deposits, transport and cancellation charges? |
| Information quality | Can attendees receive clear, consistent instructions? | Can a named contact answer specific access and booking questions? |
Reject any option that fails a non-negotiable safety or access requirement. Among the options that meet those requirements, select the one the organising team can communicate and operate reliably.
12. What the official guidance supports—and what it does not
Georgia Tech’s accessible-event materials support evaluating travel ease, parking, drop-off, routes, entrances, registration and an accommodation contact. UConn’s guidance supports providing location, parking, transportation, lodging and accommodation information before registration. Cornell highlights advance accessible-bus requests and budgeting access costs. American University’s March 11, 2025 group-travel guide highlights group size, contracted buses, public transportation, rideshare, reliability and nighttime road travel. Emory advises checking access in lodging guest rooms, meeting spaces and common areas.
These recommendations do not establish a particular city’s prices, transport schedules, hotel inventory, booking deadline or attendee demand. Resolve those facts with the selected campus, dates and providers before publishing a local promise.
