Plan a private restaurant event as a written sequence: send a complete inquiry, obtain a proposal and contract, verify every charge, pay the required deposit, meet the menu and guest-count deadlines, agree on how attendance changes are billed, and confirm the event-day closeout process. There is no universal deposit, cancellation window, minimum, or final-payment rule. The restaurant’s current written proposal and signed contract control.
The policies used as examples here came from individual restaurant event pages accessed October 13, 2026. They illustrate questions to ask, not industry averages or legal standards. Recheck all terms for your chosen venue before paying.
1. Start with an inquiry the restaurant can act on
Your first message should let the events team check availability and suggest an appropriate room or service format without a long back-and-forth. Include the facts that affect capacity, staffing, menu design, and pricing.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsInformation to include
- Preferred date and acceptable alternate dates.
- Arrival time, meal or reception start time, and desired end time.
- Estimated attendance, including whether children, vendors, or staff will eat.
- Purpose and tone of the event, such as a rehearsal dinner, business meal, birthday, or client reception.
- Whether you need a fully private room, a semi-private area, a patio, or a buyout.
- Menu style: plated courses, family-style service, buffet, cocktail reception, or a combination.
- Bar expectations, including hosted drinks, a cash bar, wine service, or a limited package.
- Dietary restrictions, allergies, religious requirements, and likely vegetarian or vegan counts.
- Accessibility needs, including step-free access, accessible restrooms, seating requirements, and space for mobility devices.
- Presentation, music, décor, cake, signage, or audiovisual requirements.
Questions to ask in the first message
- Which spaces are available for the date, time, and estimated group size?
- What are each room’s seated and reception capacities?
- Is the format private or semi-private, and what areas will be shared?
- Does the venue charge a room fee, a food-and-beverage minimum, or both?
- What service formats and menu packages are available?
- Which accessibility, décor, outside-food, and audiovisual rules apply?
- Who handles event planning, and when can you expect a written proposal?
Restaurant event pages commonly direct prospective hosts to an inquiry or event contact, but there is no standard industry inquiry form. Use the venue’s requested channel, then keep a copy of your message and all replies.

2. Treat the proposal and contract as the real booking step
An available date is not necessarily a secured date. Before describing the event as booked, find out exactly what confirms it. The examples reviewed from Cattlemens, Piatti La Jolla, and Waterbar each require written contract terms and a deposit or payment authorization to guarantee the date and space.
What the written proposal should identify
- Event date, start and end times, setup access, and departure time.
- Named room or rooms, privacy level, capacity, seating plan, and any weather backup.
- Menu, beverage arrangement, service style, and estimated quantities.
- Food-and-beverage minimum, room or event fee, service charge, gratuity, tax, and other mandatory charges.
- Deposit amount, due date, whether it is credited to the final bill, and payment method.
- Cancellation and rescheduling rules, including the required notice method.
- Deadlines for menu selections, dietary details, guaranteed attendance, and final changes.
- Rules for overtime, extra guests, no-shows, outside desserts, corkage, décor, entertainment, and other add-ons.
- Who may authorize changes and who will receive the final invoice.
Before you sign
- Read every attachment, banquet menu, fee schedule, and policy page referenced by the proposal.
- Mark any sentence that uses terms such as “minimum,” “guarantee,” “non-refundable,” “service charge,” or “additional.” Ask for a plain-language explanation.
- Ask the venue to correct discrepancies between the proposal, menu, email estimates, and contract.
- Confirm that the person signing has authority to commit the host or organization.
- Save the signed version, payment receipt, and a dated copy of the final terms.
If the restaurant will not state what secures the date, do not assume that an email hold or verbal promise is sufficient. Ask for the venue’s written confirmation process.
3. Understand what the quoted price actually covers
A headline per-person menu price rarely tells you the final amount. Ask for an itemized estimate that separates included items from percentages, fixed fees, and possible extras.

| Cost element | Question to ask |
|---|---|
| Food | Which courses, portions, children’s meals, vendor meals, and dietary substitutions are included? |
| Beverages | Is the bar hosted, limited, consumption-based, or priced per person? Are nonalcoholic drinks included? |
| Food-and-beverage minimum | Does the minimum apply before or after service charge and tax? What happens if spending falls short? |
| Room or event fee | Is this a separate charge, and does it include setup, staffing, furniture, or equipment? |
| Service charge | What percentage is charged, and is it distinct from a discretionary gratuity? |
| Gratuity | Is gratuity included, optional, or added to particular services? |
| Taxes | Which sales or local taxes apply, and are they calculated on fees as well as food and drinks? |
| Extras | What are the charges for corkage, outside desserts, cake cutting, special décor, overtime, security, or audiovisual equipment? |
Cattlemens states that its total includes food, beverage, related charges, sales tax, and service charge. That is a venue-specific description, not a promise that every restaurant bundles charges the same way. Piatti La Jolla describes an event services fee and identifies possible corkage and dessert fees. Ask your venue to show each applicable line in writing.
Clarify minimums and overages
Ask whether an unmet food-and-beverage minimum is billed as a shortfall, whether room fees count toward that minimum, and whether tax or service charge is calculated before or after the minimum adjustment. Also ask how overtime, extra courses, additional bartending time, late-night food, and extra guests are priced. A written example using your estimated attendance is more useful than a verbal assurance.

4. Read deposit, cancellation, and rescheduling language before paying
“Deposit” does not have one universal meaning. It may secure the room, be credited toward the event bill, become non-refundable on a stated date, or be subject to separate cancellation and rescheduling rules. The contract must answer those questions.
Questions that determine your financial exposure
- How much is due now, and when is the remainder due?
- Is the deposit applied to food, beverages, fees, or the final total?
- When does the deposit become non-refundable?
- Must cancellation be sent by email, through a portal, by letter, or by another method?
- Is the effective date when you send notice or when the restaurant receives it?
- Does rescheduling preserve the deposit, require a new deposit, or count as cancellation?
- Are force-majeure, weather, illness, or government-restriction provisions included?
- What happens if the restaurant cannot provide the agreed room or date?
Why examples cannot be generalized
Sinigual states that a deposit is refundable when written cancellation arrives within 72 hours of payment. Waterbar states that its deposit is refundable at least 45 days before the event and non-refundable 44 days or less before it. Those windows differ substantially and are examples of individual policies, not a standard rule. Check the selected restaurant’s current contract rather than relying on another venue’s timeline.

Save the payment confirmation with the contract so you can establish when the payment and any notice were made.
5. Put menu and guest-count deadlines on a calendar
Restaurants use deadlines to order ingredients, schedule staff, print menus, and prepare seating. A menu deadline and a final attendance deadline may not be the same day.
Deadlines in the reviewed venue policies
| Venue example | Menu or detail deadline | Final attendance rule |
|---|---|---|
| Sinigual | Menus must be finalized within seven days, according to its event terms. | Guaranteed number is due seven days before the event. |
| Piatti La Jolla | Menu selections and other details are due seven days before the event. | Final guest count is due 72 hours before the event. |
| Cattlemens | Not stated in the cited summary. | Final guest count is due seven days before the event. |
The table shows why copying a deadline from another restaurant is risky. Put the actual dates from your signed proposal into a calendar with reminders for the host, co-hosts, and anyone collecting dietary information.

Information to submit with the guarantee
- Total guaranteed attendance and a separate count of children or vendor meals.
- Named dietary and allergy requirements, including severity and cross-contact concerns.
- Final menu, beverage package, seating plan, place cards, and accessibility notes.
- Arrival timing for speakers, entertainers, photographers, or other vendors.
- Any approved changes to room layout, décor, signage, or equipment.
Ask for written acknowledgment that the restaurant received the guarantee and menu. If the venue has not acknowledged a material submission, follow up before its deadline passes.
6. Agree in advance how attendance changes affect the bill
Late changes are common, but the contract may protect the restaurant’s guaranteed revenue even when fewer people attend. It may also price additions differently from shortfalls.
Rules shown by the examples
Sinigual says billing uses the greater of the contract’s guaranteed number or actual attendance. Piatti La Jolla says that if fewer guests arrive than the confirmed count, the confirmed count is still charged; if more arrive, actual attendance is charged. These are different formulations of a common risk for hosts: a lower turnout may not reduce the bill after the guarantee deadline.
Questions to settle before the deadline
- Can the restaurant accept guests above the guaranteed count, and is advance notice required?
- Are additional guests charged at the contracted per-person rate or a different rate?
- Can late additions receive the full menu and beverage package?
- Is a no-show charged at the guaranteed rate?
- Can the host reduce the guarantee before the deadline, and must the change be in writing?
- Does an increased count raise a food-and-beverage minimum or require a different room?
Do not promise invitees that seats remain available until the restaurant confirms capacity. Give the venue one named contact for count changes so conflicting instructions do not reach the events team.
7. Compare venues on terms, not just atmosphere
When two restaurants appear suitable, compare their written commitments side by side. A lower menu price can be outweighed by a room fee, stricter minimum, shorter cancellation window, or less flexible attendance policy.

Request the same information from every finalist. The cited restaurant pages establish that terms vary, but they do not provide a comprehensive market comparison or a legal standard.
8. Prepare for event-day changes and charges
Assign one host representative to work with the restaurant manager. That person should know the contract, approved menu, guarantee, and spending authority.
At setup and arrival
- Confirm the room, seating, accessibility arrangements, signage, and agreed setup.
- Verify the bar package, opening time, and any consumption limits.
- Tell the manager about late arrivals, approved vendors, dietary guests, and authorized substitutions.
During service
- Ask the manager before approving extra courses, bottles, hours, equipment, or guests.
- Record any change and its quoted cost. A text or email confirmation is preferable to relying on memory.
- Keep receipts for approved outside items and note who authorized each charge.
Before guests leave
- Ask for a preliminary check or itemized review if the venue allows it.
- Verify guest count, beverage consumption, overtime, corkage, dessert, and other add-on lines.
- Resolve disputed items with the manager before the card or other payment is processed.
9. Know when and how the balance is paid
Final-payment timing is a contract term, not an assumption. Cattlemens says additional charges are collected on the day of the event. Piatti La Jolla requires payment immediately at the conclusion. Waterbar states: “Full payment is due at the conclusion of your event.”
Before the event, ask who receives payment, which cards or other methods are accepted, whether a deposit or preauthorization is already on file, and whether a separate invoice will be issued. Confirm whether the host can split payment, whether the restaurant adds a processing fee, and how refunds or post-event corrections are handled.
Recommended Free Tools
Use a closeout checklist
- Compare the final guest count and menu to the guaranteed terms.
- Check food, beverage, service charge, gratuity, tax, room fee, minimum adjustment, overtime, and add-on lines.
- Ask the manager to explain any line that was not in the proposal or approved during the event.
- Pay using the agreed method and obtain a receipt showing the amount and date.
- Save the final invoice, receipt, and written resolution of any disputed or corrected charge.
10. A practical planning timeline
When you first contact venues
- Send the date, time, attendance estimate, purpose, format, menu, beverage, access, and room requirements.
- Request availability, capacities, minimums, fees, and a written proposal.
Before signing
- Compare itemized estimates and room terms.
- Confirm deposit, refund, cancellation, rescheduling, guarantee, and payment clauses.
- Identify one authorized host contact and one venue contact.
After signing
- Pay the required deposit and save proof.
- Place every venue deadline on a calendar.
- Collect dietary, accessibility, seating, and vendor information.
Seven days or more before the event
- Meet the restaurant’s menu and detail deadline.
- Submit the guaranteed attendance if that is the venue’s deadline.
- Confirm room layout, arrival schedule, signage, and approved extras.
Seventy-two hours or other final-count deadline
- Send the final count in the venue’s required format.
- Obtain written acknowledgment and ask how additions will be handled.
Event day
- Review the room and service plan with the manager.
- Authorize changes deliberately and record costs.
- Review, pay, and collect the final invoice or receipt at closeout.
11. Common planning failures and fixes
Assuming a date is held
Symptom: You have an email conversation but no signed agreement or payment confirmation. Fix: Ask what the venue requires to guarantee the date and obtain written confirmation after completing it.

- What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.
Budgeting from the menu price alone
Symptom: The final estimate is materially higher than the per-person figure. Fix: Request separate lines for minimums, room fees, service charge, gratuity, tax, and extras.
Using another restaurant’s deadline
Symptom: Your guest-count or menu date is based on a web article or a different venue. Fix: Use only the dates in your current proposal and calendar them as soon as you sign.
Expecting a lower bill after a late drop in attendance
Symptom: Several guests cancel after the guarantee deadline. Fix: Re-read the guarantee clause; the confirmed count may remain billable even when actual attendance is lower.
Approving extras without a record
Symptom: The closing invoice contains charges no one remembers authorizing. Fix: Route all changes through one host representative and obtain a written price or note before approving them.
Leaving payment logistics until guests are departing
Symptom: The host does not know the accepted payment method or who can settle the account. Fix: Confirm closeout procedures with the venue before the event and bring the appropriate card or authorization.
12. The essential questions to send with your proposal request
Copy these questions into your inquiry and remove any that do not apply:
- Is the requested date and time available, and which private or semi-private rooms fit the group?
- What are the room capacity, privacy, setup, accessibility, and end-time rules?
- Is there a room fee, food-and-beverage minimum, or both?
- What does the estimate include for food, beverages, service charge, gratuity, tax, and staffing?
- Which extras may apply, including corkage, dessert, cake service, décor, equipment, overtime, or security?
- What payment secures the date, and is it credited or refundable under any conditions?
- What cancellation and rescheduling notice is required, and how must notice be delivered?
- When are menu selections, dietary details, and final guaranteed attendance due?
- How are no-shows, lower attendance, and additional guests billed?
- When is the balance due, who may approve event-day charges, and which payment methods are accepted?
Once the restaurant answers, compare the written terms rather than relying on impressions from a tour or phone call. A successful booking is one where the room, price basis, deadlines, attendance rules, and payment process are all clear before the deposit is paid.
