Organize photos in Lightroom by using albums or collections for curated groups, keywords and other metadata to describe what is in each image, and ratings or flags to mark your choices. Use Smart Albums or Smart Collections for groups that should update automatically, then search or filter to retrieve photos later. First check whether you use Lightroom desktop or Lightroom Classic: their organization tools and menus are different.

Choose the Lightroom app you use

Adobe’s current Lightroom organization guide covers Lightroom desktop, which uses albums, folders, Smart Albums, search, and photo metadata. Lightroom Classic uses a catalog-oriented workflow, with folders for file locations and collections for purpose-based groupings. Classic also provides Smart Collections, keyword hierarchies, and the Library Filter bar.

The concepts overlap, but the labels and available controls are not interchangeable. Follow the section for your app when creating groups or setting up an automatic rule.

Curated groups Albums and folders in the Albums area (Adobe Help). Collections and collection sets; folders represent cataloged file locations (Adobe Help).
Groups that update automatically Smart Albums, including albums created from saved searches (Adobe Help). Smart Collections based on catalog criteria (Adobe Help).
Describe image content Keywords and metadata, searchable with text, natural-language descriptions, and facets (Adobe Help). Keywords, including hierarchical keyword lists, plus metadata filters (Adobe Help; Adobe Help).
Group similar frames Stacks are available (Adobe Help). Stacks are scoped to a folder or collection and have top-photo behavior to consider (Adobe Help).

Build a simple structure for projects and events

Use albums or collections for groups you want to curate: a trip, client shoot, family event, portfolio, or set prepared for a slideshow. A single photo can belong to more than one useful group, so you do not need to make duplicate copies just to organize it by both project and purpose.

In Lightroom desktop

  1. Create an album, give it a clear name, and drag selected photos into it. Use folders in the Albums area to group related albums or folders, such as albums organized by year or project.

These are Adobe’s documented album and folder tools; a year/project naming scheme is a practical convention, not a required Lightroom hierarchy (Adobe Help).

In Lightroom Classic

Use the Folders panel when you need to navigate the locations of photos represented in the catalog. Use collections for purpose-based groupings, such as a set for a slideshow or photo book. Collections can be accessed from the Collections panel in different modules; they do not replace the folders that represent file locations (Adobe Help).

Automate groups that follow a rule

A regular album or collection is useful when you choose its members yourself. For recurring groups—such as highly rated images, photos missing keywords, or photos with a particular label—use a rule-based group instead.

Smart Albums in Lightroom desktop

Create a Smart Album by applying a filter to All Photos or starting from the Albums panel, then give the album a title and set one or more rules. You can also save a search as a Smart Album. Its results update as photo information changes or new photos meet the rules (Adobe Help).

Smart Collections in Lightroom Classic

Create a Smart Collection, name it, choose criteria, and specify whether all or any of the criteria must match. Lightroom Classic automatically gathers catalog photos that meet those rules; you do not manually add or remove each matching photo. Adobe documents default examples including Five Stars and Without Keywords. Available criteria include ratings, pick flags, label colors or text, folders, collections, filename, keyword tags, and export status or dates (Adobe Help).

For example, a Smart Collection for images rated highly and marked as picks can help gather selects, while a collection for photos without keywords can expose an unfinished tagging task. The rules are only useful if you apply ratings, flags, and keywords consistently.

Describe photos with keywords and metadata

Keywords let you find images by what they show, even when those images belong to different projects or collections. In Lightroom Classic, you can add keywords to selected photos through the Keywording panel or apply them from keyword lists and sets. Keyword lists can be hierarchical, include synonyms, and control whether a keyword or its containing terms are included on export (Adobe Help).

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Start with a small, repeatable vocabulary that reflects the searches you expect to make—perhaps subject, person, place, and project—then add more specific terms when they help. In Classic, filtering for photos without keywords can help you find images that still need tags (Adobe Help).

Know where Classic stores keyword changes

Lightroom Classic stores keyword changes in its catalog, but they are not saved to the photo files unless Automatically Write Changes Into XMP is selected. You can also save metadata to files manually. If you expect keywords to be available to another application or alongside the image file, check that metadata-writing behavior rather than assuming catalog changes are already embedded in the files (Adobe Help).

Give flags, ratings, and color labels distinct jobs

Use each marker for one kind of decision so that it remains meaningful when you filter later. Adobe describes star ratings as a way to rank image quality, flags as Pick or Reject states, and color labels as flexible markers whose meaning you define (Adobe Help).

  • Flags: Use Pick and Reject during an initial keep-or-discard pass.
  • Star ratings: Reserve these for preference or quality, such as identifying the strongest frames.
  • Color labels: Assign a consistent task meaning, such as needs editing or ready to deliver. The meaning is yours, so record and follow your own convention.

Lightroom desktop supports assigning ratings and flags from the selection context menu and, in Square Grid or Detail, from the grid. Lightroom Classic can filter by ratings, pick flags, and label values, and Smart Collections can use these properties as criteria (Adobe Help; Adobe Help; Adobe Help).

Stack similar frames to reduce clutter

Stacks group near-duplicates or related frames, such as a burst, bracketed exposure series, alternate portrait poses, or virtual copies. In Lightroom Classic, the selected images must be in the same folder or collection. You cannot create stacks while viewing a Smart Collection or published collection (Adobe Help).

A collapsed stack shows its top photo. In Classic, rating, flag, label, and Develop changes made to a collapsed stack affect only that top image—not every photo in the stack. Likewise, adding one selected photo from a stack to a collection adds that photo only. Expand the stack or select the intended frames when you need to act on more than the top image.

Find photos later with search and filters

Search in Lightroom desktop

Lightroom desktop search can use metadata, keywords, natural-language descriptions, and facets; it can also find photos that are not in an album. Adobe lists facets such as keyword, camera, lens, location, rating, flag, orientation, ISO, file type, and focal length. Improved Search may take time to index when used for the first time, so results may not be immediate (Adobe Help).

Filter in Lightroom Classic

  1. Select the source you want to search—such as the catalog, a folder, or a collection—in the Library module.
  2. Open the Library Filter bar and choose Text, Attribute, or Metadata.
  3. Set the criteria you need. Text searches indexed fields; Attribute can narrow by flags, exports, edits, ratings, labels, likes or comments, kind, and stacks; Metadata can filter by dates, file type, keywords, camera, lens, exposure settings, location fields, and more.
  4. Combine criteria to narrow the results. When multiple criteria are selected, Lightroom Classic shows photos that match all of them.

For instance, searching within a project collection for a keyword and a rating can locate a particular kind of strong image without changing the underlying files or group membership. The available filter fields are documented in Adobe’s Library Filter overview and metadata filtering guide.
