The dependable way to move Apple Reminders is to add the destination account to your iPhone, enable its Reminders service, create lists owned by that account, and then move or recreate reminders into those lists. Keep iCloud Reminders enabled until you have checked the destination on every device and app you plan to use.
This is an account-to-account workflow, not a guaranteed one-click bulk import. Microsoft Outlook.com and Exchange accounts can synchronize tasks with Apple Reminders and Microsoft To Do. Google’s documented help covers exporting Google Reminders data, but does not document importing Apple Reminders directly. Other providers can work through CalDAV when they supply compatible credentials, although Apple warns that some newer Reminders features are unavailable outside updated iCloud Reminders.
What “move” means in Apple Reminders
A reminder belongs to a list, and the list belongs to an account such as iCloud, an Exchange account, or a CalDAV account. Adding another account does not automatically transfer existing iCloud lists. It makes another place where lists can be created and synchronized.
Recommended Free Tools
There are therefore two different outcomes:
- Ongoing synchronization: The destination account becomes the owner of the list, and compatible changes continue to synchronize through that provider.
- One-time migration: You copy or recreate reminders in destination-owned lists, then eventually stop using the iCloud copies.
Microsoft documents synchronization between Microsoft To Do and Reminders after an Outlook.com or Exchange account is configured. Google’s cited documentation lists export fields for Google Reminders but does not describe a direct Apple Reminders import. For Google or a provider using CalDAV, treat the operation as a compatibility check plus a manual transfer unless the provider explicitly supplies an import tool.

Apple says reminders stay up to date on devices using the same accounts. That means the account selected for each list determines where later edits appear; simply having the same Apple ID on a device does not make a destination account the owner.
Before moving anything: preserve the source and inventory your data
Do not disable iCloud Reminders at the beginning. First make sure every source list is still visible and identify which reminders need special attention.
Keep the source account connected
Leave the iCloud Reminders switch on while you set up and test the destination. If you remove an account from the iPhone, its reminders disappear from that phone, but Apple says the data remains in the underlying internet account and on devices that are still configured for it. Keeping the account connected gives you a recovery copy while you check the new lists.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Record the lists you actually need
- List names and their intended destination account.
- Reminders that are incomplete, completed, overdue, or recurring.
- Notes, URLs, attachments, flags, priorities, tags, location triggers, and subtasks.
- Due dates, specific times, time zones, recurrence rules, and alert settings.
- Smart lists, list colors, and icons that may not exist in the destination service.
For a small collection, a visual checklist is enough. For a large collection, work one source list at a time and mark each list after it has been checked on the destination. Do not assume that a reminder displaying correctly on the iPhone has preserved every field in the provider’s own app.
Add the destination account on iPhone
On current iPhone guidance, the path is Settings > Apps > Reminders > Reminders Accounts > Add Account. Menu labels can vary by iOS release, account type, or a managed-device policy.

- Open Settings.
- Tap Apps, then Reminders.
- Open Reminders Accounts and tap Add Account.
- Choose the provider, authenticate, and complete any security prompts.
- When the account’s services are listed, turn on Reminders.
- Open Reminders and confirm that the account appears in the account or list view before moving data.
If the provider is not listed, choose Other > Add CalDAV Account. Enter the server, username, password, and any other account information supplied by the provider, then turn on Reminders. CalDAV is not a generic workaround for any service: the provider must offer compatible CalDAV credentials and may support only a subset of Apple’s features.
Microsoft Outlook.com or Exchange
Add the Outlook.com or Exchange account through the account picker and enable its Reminders service. Microsoft states that tasks from Microsoft To Do will sync to Reminders and be visible on Apple Watch after this setup. This is ongoing synchronization for that account, not an assertion that all iCloud lists are imported automatically.

A two-way test exposes account or policy problems before you move the full collection.
Google account
Add the Google account if it is offered on the device and enable Reminders when that service is available. Then create a test list, add a simple reminder, and check the Google-side application or web service you intend to use. The presence of a Google account in iOS settings does not by itself prove that every Reminders feature will synchronize.
Google’s documented help page covers exporting or downloading Google Reminders data. It lists fields such as title, created time, active, upcoming, or archived status, expiration date, recurrence information, and creating application. That documentation does not provide a direct import procedure for Apple Reminders, so plan on moving items into Google-compatible lists manually unless Google presents a supported import option in your account.

Other providers through CalDAV
Use CalDAV only with credentials and server details supplied by the provider. After signing in, create one test list and verify a create, edit, complete, and delete cycle. If any operation fails, do not transfer the rest of your reminders; the account may allow calendar synchronization but not compatible task synchronization.
Create destination-owned lists
Adding an account is not enough. A reminder remains associated with its original list until you place it in a list owned by the destination account.
- Open Reminders and display the account or list sidebar.
- Choose Add List or the equivalent new-list command.
- Enter a name that identifies the destination, such as “Personal — Google” or “Work — Exchange,” if that helps prevent mistakes.
- When asked for the account, select the newly added destination rather than iCloud.
- Repeat for each source list you intend to preserve.
Keep the hierarchy simple during migration. A provider may not understand Apple-specific groups, smart lists, tags, or nested structures. You can reorganize after the basic reminders and their essential dates have been verified.
Move or recreate reminders, one list at a time
For each source list, work in a fixed order so that an overlooked item is easy to identify.
- Open the source list and note its item count, including completed items if you want to retain them.
- Select a reminder and use the list-move command to choose the destination-owned list, when the destination account appears as an available list.
- If moving is unavailable, create a new reminder in the destination list and copy the title and notes.
- Re-enter the due date, time, recurrence, priority, and completion state.
- Reattach files or links only after confirming that the destination provider accepts them.
- Recreate subtasks, tags, location triggers, and other advanced fields only if the destination exposes an equivalent feature.
- Compare the source and destination counts before proceeding to the next list.
Moving an item between lists is different from copying it. If you need a temporary safety copy, duplicate or recreate the item deliberately and label the copy; otherwise you can end up with two active reminders that later diverge.

Fields that usually deserve manual verification
| Field | What to check | Why it matters |
|---|---|---|
| Title and notes | Spelling, line breaks, links, and any text copied from the source | These are the core contents and are easiest to compare side by side. |
| List membership | The destination account and list name | A correctly copied reminder in an iCloud list is not a migration. |
| Due date and time | Date, clock time, and time-zone behavior | A date-only task can become a timed alert or lose its alert time. |
| Recurrence | Interval, end condition, and next occurrence | Providers implement repeating tasks differently. |
| Completion state | Whether completed items remain completed | Some workflows recreate only active items unless you intentionally include history. |
| Priority and flags | Visual priority markers or flags | These may have no equivalent outside iCloud. |
| Subtasks | Parent-child order and completion state | Subtasks are not guaranteed to survive as a hierarchy. |
| Attachments | Images, files, scans, and embedded links | Storage permissions and attachment support vary by provider. |
| Tags, locations, and smart lists | Whether the destination can represent the rule | These are among the features most likely to be unavailable. |
What transfers cleanly—and what may not
Basic task data is the safest part of a migration: titles, ordinary notes, due dates, completion state, and membership in a standard list can generally be checked and recreated. “Generally” is not a guarantee of automatic preservation; verify each destination list.
Apple explicitly warns that some Reminders features are unavailable when using accounts other than updated iCloud Reminders. Expect differences in attachments, flags, list colors and icons, subtasks, smart lists, tags, location-based triggers, and advanced recurrence. A destination may display a reminder while silently dropping a field it does not understand.
- Attachments: Open each important attachment from the destination app. If it cannot be opened, retain the original iCloud item until you have stored the file elsewhere.
- Location triggers: Treat them as unsupported until a destination test proves otherwise. A due-date alert is not an equivalent replacement for arrival or departure automation.
- Smart lists: Rebuild the filtering logic manually if the provider offers filters; otherwise use ordinary lists and naming conventions.
- Recurring items: Test one daily, weekly, or custom recurring reminder and confirm the next occurrence after completing it.
- Subtasks: Verify both hierarchy and state. If the destination supports only flat tasks, preserve parent context in notes or separate list names.
Destination comparison
| Destination | iPhone account support | Sync model | Feature coverage | Non-Apple access | Export or backup information |
|---|---|---|---|---|---|
| iCloud | Native and fullest Apple Reminders feature set when using updated reminders | Ongoing synchronization across devices using the same iCloud account | Apple’s reference feature set | Primarily Apple-device access; confirm any additional client separately | No bulk iCloud export procedure is established in the cited guidance |
| Outlook.com or Exchange | Add the account in Reminders settings and enable Reminders | Ongoing synchronization with compatible Microsoft To Do tasks; Microsoft also states visibility on Apple Watch | Depends on the account and task feature supported by Microsoft and Apple; test advanced fields | Use the provider’s supported Microsoft To Do or Exchange clients; confirm your organization’s policy | Not stated in the cited Microsoft synchronization guidance |
| Add the account if the iPhone offers Reminders for it, then test the service | Do not assume an iCloud-to-Google bulk import; manual recreation may be required | Verify each field; Google’s cited page does not document Apple import or feature parity | Check the Google app or web service you intend to use | Google documents export fields including title, created time, active/upcoming/archived status, expiration date, recurrence, and creating application | |
| Other CalDAV provider | Use Other > Add CalDAV Account with provider-supplied credentials | Potentially ongoing synchronization, subject to the server’s implementation | Apple warns some features are unavailable with other accounts | Depends on the provider’s own applications and web access | Not stated; ask the provider about export before relying on the account as your only copy |
Verification before you retire the iCloud copy
Do not turn off or remove iCloud Reminders until the destination has passed practical tests. A list appearing in the iPhone sidebar proves only that the account is connected; it does not prove that all fields or other clients are synchronized.
- Check every destination list. Compare names and item counts with the source inventory.
- Open representative items. Include a plain task, a task with notes, a completed task, a timed task, and a recurring task.
- Test both directions. Edit a test reminder in Reminders and verify the provider-side app or web interface. Then edit it there and verify the iPhone.
- Check another device. Use each phone, tablet, computer, Apple Watch, or web app that you expect to rely on.
- Wait for synchronization. Give the account time to settle, especially after moving a large list or when the provider applies server-side processing.
- Resolve exceptions. Keep a short list of reminders with missing attachments, recurrence, locations, or subtasks and decide whether to preserve them in iCloud.
- Only then clean up. Turn off Reminders for the source account or remove the account from the iPhone after you are satisfied with the destination.
Removing iCloud from the iPhone hides its reminders there; it does not by itself erase the account’s underlying data. Devices that remain configured for iCloud can continue to show those reminders. That behavior makes removal reversible at the device level, but it is not a substitute for a deliberate backup or export.

The destination account does not appear in Reminders
- Return to Settings > Apps > Reminders > Reminders Accounts and confirm the account is signed in.
- Make sure the Reminders service switch is enabled for that account, not only Mail, Contacts, or Calendars.
- Restart Reminders and check the account or list sidebar again.
- If the phone is managed by an employer or school, an administrator may have disabled account services.
The provider is listed, but no destination list can be created
The account may support mail or calendars without supporting tasks. Confirm that the provider actually offers Reminders or task synchronization for the account type you added. For an unlisted service, use CalDAV only when the provider supplies task-compatible server details.

Items appear on the iPhone but not in the provider’s app
Check that the list is owned by the destination account rather than merely displayed alongside it. Create a new test list under the destination, add one plain reminder, and test synchronization before moving more data. If the test fails, leave the iCloud source intact and contact the provider about account or server support.
Advanced fields disappeared
This is usually a feature-coverage issue rather than a failed sign-in. Compare the missing field with Apple’s warning that some features are unavailable on other accounts. Preserve the original item in iCloud, copy the essential information into notes, or recreate it using the destination’s closest supported feature.
Duplicate reminders were created
Stop editing both copies. Select one account as the authoritative version, compare its title, notes, dates, recurrence, and completion state with the other, then archive or delete the duplicate only after verifying the authoritative item on every required device. Keep the iCloud copy until the comparison is complete.
CalDAV authentication fails
- Re-enter the exact server address and credentials supplied by the provider.
- Check whether the provider requires an app-specific password or separate CalDAV username.
- Confirm that the account permits task synchronization, not just calendar access.
- Ask the provider whether its server supports the Reminders features you need.
A recurring reminder behaves differently
Complete a disposable test reminder and observe the next occurrence in both systems. If the interval or end date changes, recreate the recurrence using the destination’s controls and retain the original until the result is correct. Do not assume that a displayed recurrence rule has identical semantics across providers.
Backup and export considerations
The available evidence does not establish a universal Apple Reminders bulk-export file that can be imported into Google, Microsoft, or every CalDAV service. For a migration, the practical protection is to retain the source account while verifying the destination and to preserve important attachments or notes separately when the destination cannot represent them.
Google’s documented export data is useful when moving information out of Google: it includes the reminder title, creation time, active, upcoming, or archived status, expiration date, recurrence information, and the application that created the reminder. Those fields describe Google’s export; they are not evidence of an Apple Reminders import format.
For Microsoft and other providers, export and retention options depend on the account type and administrator policy. Check the provider’s own documentation before deleting the source or treating synchronization as a backup. Synchronization mirrors changes; it is not automatically an independent historical archive.
A safe decision rule
- Choose Microsoft Outlook.com or Exchange when you want documented synchronization with Microsoft To Do and are prepared to test feature differences.
- Choose Google only after a small test confirms that the Google account and the specific Google task service available to you can receive and display the reminders you need; plan for manual recreation because direct Apple import is not documented.
- Choose CalDAV when the provider supplies compatible credentials and you accept that advanced Apple features may not be available.
- Keep iCloud as the working source when you depend on Apple-specific features such as location triggers, smart lists, rich subtasks, or advanced recurrence and the destination cannot reproduce them.
The reliable sequence is: add the account, enable Reminders, create lists owned by that account, move or recreate items with field-by-field checks, test synchronization on the devices and apps that matter, and only then hide or remove the iCloud account from the iPhone.
