Move Google Workspace to Microsoft 365 in stages, treating email, calendars and contacts as one workload and Google Drive as another. Prepare the Microsoft tenant, users, domain and mail routing first; migrate and validate each workload; then switch incoming mail and retire Google services only after the move is confirmed. The tools do not create a perfect one-to-one copy, so plan time to check exceptions.
Choose the migration path for each workload
Microsoft’s organizational Google Workspace migration tools cover mailbox content, calendars and contacts. Drive files use a separate path: Migration Manager moves personal Drive content to OneDrive and shared Drive content to SharePoint. Moving mail does not move Drive files.
| Path | What it moves | Key distinction |
|---|---|---|
| Exchange Google Workspace migration | Email, rules, calendars and contacts | Supports moving users all at once or in batches. Microsoft Learn |
| Migration Manager | Personal Drive content to OneDrive; shared Drive content to SharePoint team sites | Separate from mailbox migration. Microsoft Learn |
| Consumer Gmail IMAP migration | Email only | Does not migrate calendar or contact information; it is not the organizational Workspace route. Microsoft Learn |
Microsoft’s consolidated guidance describes Simplified Gmail Migration for organizations with up to 1,000 users and a separate large-tenant experience above that threshold. That guidance was last updated in 2024; confirm current eligibility and workflow in the Microsoft 365 admin center before choosing a route. Microsoft Learn
For the Exchange path, Microsoft recommends automated migration in its small-business guidance because it completes several setup tasks in Google Admin. Manual and PowerShell methods are also documented. The appropriate route depends on organization size, permissions and the scope of the move; no single method fits every tenant. Microsoft Learn

Prepare the tenant, domain and administrators
Before copying data, establish the Microsoft 365 tenant and assign the licenses users will need. If the business domain is not ready to be attached and verified, stage the tenant with a temporary domain or another planned interim setup. Microsoft’s setup guidance includes domain verification, user provisioning and mail-routing preparation. Microsoft Learn
- Verify the business domain in Microsoft 365 and create or provision the destination users before building migration batches.
- Confirm Google administrator access and complete the application and service-account prerequisites required by the selected Microsoft migration workflow.
- Plan mail routing on both sides, including how messages will be handled while users are moving in stages.
- Decide which users and, where applicable, folders or labels are in scope, and how long both environments must remain available.
Batch migration requires destination users or mail-enabled users to be provisioned and a user list for each batch. Microsoft describes staged work as a way to move users in phases while both environments remain active. Microsoft Learn
Migrate mail, calendars and contacts in batches
- Build a pilot batch. Select a small group that represents the mailbox sizes, calendar use and account types in the organization. Confirm that every account exists in Microsoft 365 and that the required Google administrator setup is complete.
- Start the Exchange migration. Use the chosen Microsoft workflow to connect the Google Workspace source and submit the batch’s user list. Expand to additional batches only after the pilot has been checked.
- Keep the source available during staged migration. Set expectations about where users should work during the transition, and avoid retiring Google accounts while later batches or validation remain outstanding.
- Review migrated content and rules. Check representative mail, calendars and contacts, and inspect migrated rules before users enable them: rules are off by default.
Microsoft states that administrators can migrate batches of users from Google Workspace to Microsoft 365 or Office 365, allowing a project to be completed in stages. Microsoft Learn

Account for items that may not transfer exactly
Do not treat a successful migration status as proof that every Google feature has a direct Microsoft equivalent. Microsoft lists these items among those that do not migrate:
- Vacation or automatic-reply settings.
- Meeting-room bookings and shared calendars.
- Calendar event colors.
- Gmail tags, contact URLs and custom tags.
Microsoft also says that a maximum of three email addresses per contact are migrated. Its automated migration overview gives a default single-message limit of 35 MB and says it can be configured up to 150 MB. Check the applicable workflow and tenant settings before relying on those limits for a particular migration. Microsoft Learn Microsoft Learn
Contact migration throughput can depend on Google Workspace service-account quota limits. Treat exceptions as reconciliation work: identify what matters to the affected users, recreate settings that must be retained, and document anything that has no equivalent destination feature.

Validate the mail migration before changing routing
Compare migrated results against what users actually need, rather than relying only on a completion indicator. Use a pilot and then sample each batch for:
Recommended Free Tools
- Recent and older messages, including messages with attachments near the configured size limit.
- Calendar events and contacts, paying particular attention to shared calendars, room bookings and contact details with more than three email addresses.
- Rules, which arrive disabled and should be checked before activation.
- Any folders or labels intentionally excluded from migration.
Messaging Records Management (MRM) and archive policies can affect verification. Microsoft warns that policy behavior may make messages appear missing in migration checks even when the migration is not the cause. Review retention, archive and MRM behavior before treating apparent gaps as data loss. Microsoft Learn
Move Drive content separately
Use Microsoft Migration Manager for Drive content after defining where files should live. The planned mapping is personal Google Drive content to users’ OneDrive accounts and shared Drive content to SharePoint team sites. Set destination ownership and access expectations as part of the mapping, then validate representative files and shared content independently from mailbox checks. Microsoft Learn
Switch mail routing and retire Google only when ready
Once the relevant users and workloads have been migrated and checked, switch email routing so new messages reach Microsoft 365. Verify delivery using real test messages and confirm that users can access their destination mailboxes. In a staged rollout, coordinate the routing change with the batches and coexistence plan rather than assuming the mailbox copy itself changes where new mail is delivered. Keep Google Workspace available until all in-scope users, Drive content and exceptions have been accounted for; retire it only after the organization has verified the completed move. Microsoft Learn
