To migrate email, contacts, calendars, and files out of Google, first identify where each type of data will go, then use the destination’s supported import method and verify the result. Google Takeout creates an archive; it does not import that data into another provider. Keep your Google account available, retain an untouched copy of the export, and do not change mail routing or close the account until the destination has been checked.
The right process depends on whether you have a personal Gmail account or a Google Workspace organization. Email, contacts, calendar, and Drive files may also need different migration routes—even when they are all moving to the same destination.
Choose a migration route for each type of Google data
Start by treating email, contacts, calendars, and files as separate migration jobs. A destination may accept contacts as a standard file but require a service-to-service process for email. A Takeout archive is useful as a backup or as input to a compatible import process, but the fact that you can download it does not mean your new provider can ingest it.

Personal Gmail accounts
For personal Gmail, follow the destination provider’s current Gmail import or IMAP instructions for email. Use its documented contact and calendar import options, and check its specific procedure for files. Microsoft Support, for example, lists Outlook guidance for importing Gmail, Google Calendar, contacts, and PST files. That is one destination’s set of options, not a requirement to move to Microsoft or a universal method for other providers.
Google Workspace organizations
Organizations moving business mail from Google Workspace to Microsoft 365 have a separate, administrator-led migration route. Microsoft documents automated and manual Exchange admin center batch migration methods, as well as a PowerShell method. Automated batches allow users to move in stages while both environments remain active during the transition. This path requires advance preparation, including verified domains and mail-routing setup; it should not be confused with importing a personal Gmail account through Outlook.
Microsoft recommends automated batch migration over the manual batch method in its business guidance. If your team is not comfortable with administrator roles, domain verification, DNS, and routing changes, plan for qualified migration help. Microsoft also notes that a very small business with only a few users may use another method, such as importing through Outlook with a PST file.

Before exporting, make an inventory of the source accounts and what each person or team relies on. Identify whether each account is personal Gmail or part of Google Workspace, and decide the destination separately for email, contacts, calendars, and files. They do not all have to move to one provider.
- List Google accounts, users, and any custom domains or aliases that receive mail.
- Identify shared calendars, shared Drive folders, and who owns or administers them.
- Note files created in Google Docs, Sheets, or Slides, since native Google formats may need conversion or a destination-specific import step.
- Check whether the destination supports the formats and data you need, including email labels, contact fields, recurring events, and file permissions.
- Record what must continue working during the transition, such as incoming mail, calendar sharing, and access to shared files.
This inventory helps you choose an import method before you commit to an archive format. It also provides a basis for checking whether the destination contains the expected information later.

Create and protect a Google Takeout archive
Google Takeout lets you choose Google products and data to include, select a delivery method and archive settings, and create an export. Use it to make an independent copy of data, or as a source for a destination import only if that destination supports the exported format. An archive is not proof that a migration has completed.
- Select data: In Google Takeout, choose the products and data you want to export. Include the relevant Google data for your migration rather than assuming one selection covers every account or shared resource you need.
- Choose delivery and archive settings: Set how Google will deliver the export and choose an archive size limit. Google says archives larger than the selected limit are split into multiple parts. Choosing a 50 GB limit can reduce the chance of splitting an archive; it does not guarantee a single file.
- Create the export and wait for delivery: Recent changes made after the request may not be included in the resulting archive, according to Google. For that reason, do not treat the archive as a live, continuously updated sync.
- Download and retain the original: Google recommends downloading and viewing Takeout exports on a desktop computer rather than a mobile device. Keep the original archive untouched as a backup, and unpack or convert a separate working copy.
- Store it securely: Use storage with enough free space for the archive and any extracted copy. A portable external hard drive is optional if local storage is insufficient; choose capacity based on the actual export size. Keep the archive private. If it is delivered to a non-Google cloud provider, that provider’s terms govern it after delivery.
Google Account Help says Takeout archives expire in about seven days and each archive can be downloaded five times. Plan the download and keep a separate safe copy rather than relying on the delivery link as long-term storage. If an export fails or is too large to handle, Google suggests selecting fewer products or making smaller exports.

Migrate email
Choose the email method based on account type and destination. A file format that can preserve messages is not automatically a format a mail service can import. Before starting, check whether the destination accepts direct Gmail transfer, IMAP-based import, PST, MBOX, or another method, and how it maps labels and folders.
Personal Gmail to another provider
Use the destination provider’s current instructions for importing Gmail or connecting through IMAP. Microsoft Support’s Outlook import and export guidance includes an “Import Gmail to Outlook” route and PST import options. For another destination, follow that service’s own current procedure rather than assuming Outlook’s instructions apply.
Google Takeout can export Gmail data as an MBOX archive, but do not assume that an MBOX file is universally importable into another mailbox or cloud service. Confirm accepted formats and what the importer does with folders or labels before relying on it. Google says Takeout preserves Gmail labels in an X-Gmail-Labels header, but most mail clients do not recognize that header. A successful message import therefore does not necessarily recreate the original label organization.

Google Workspace to Microsoft 365
For a Workspace organization, Microsoft’s migration documentation describes automated or manual Exchange admin center batch migration and a PowerShell method. The automated batch approach can move users in stages while both services remain active. It is a business migration with prerequisites and routing work, not a shortcut for a personal Gmail mailbox.
Microsoft’s documented Workspace migration configuration has a default maximum single email message size of 35 MB. The Microsoft Learn page describing the migration was last updated on August 8, 2024; check current Microsoft requirements and your organization’s configuration before scheduling a batch. Microsoft also documents policy-related caveats, so administrators should review the supported features and limitations rather than assuming every message or mailbox detail will transfer unchanged.
Move contacts
Contacts are comparatively portable. Google says Takeout exports contacts as vCard, a common format used by email providers. Export contacts from Google Contacts in a format accepted by the destination, then use that destination’s import process. For Outlook, Microsoft also documents exporting Google contacts as Outlook CSV and importing the CSV there.
After import, inspect representative records rather than checking only the total count. Compare names, multiple email addresses, phone numbers, groups or labels, and any custom fields you depend on. Field support can vary by importer, so a contact count alone cannot confirm that every detail survived.
Move calendars
Use the destination calendar’s current import instructions; calendar migration is not standardized across providers. Microsoft Support lists a Google Calendar import path for Outlook. For an organization using Microsoft’s Google Workspace migration route, calendar entries can be migrated, but Microsoft documents that shared calendars and event colors do not migrate, and room bookings do not migrate.

After importing, review recurring events, time zones, guests, conferencing links, and shared-calendar access. A calendar file or event transfer may preserve appointments without reproducing the original sharing model or every visual detail. Confirm that people who need access can see the destination calendar and that important future events display at the intended local time.
Move Drive files
You can export relevant Drive data through Takeout or use a destination-specific transfer or import process. Google’s general export help supports selecting Drive data and sharing or uploading exported data to third-party services, but that does not establish a universal direct import path for every competing cloud drive. Check the chosen destination’s current instructions for accepted file formats, folder handling, and supported permissions.
Do not assume that every Google Docs, Sheets, or Slides item will remain an editable native document in a different service. Depending on the destination and its importer, you may need to convert native Google files to another format or verify that the converted copy is usable. Keep the original export until you have opened important files in the destination.
- Compare the expected and imported file counts and folder structure.
- Check ownership and access for shared folders; exported files may not reproduce the original sharing relationships.
- Open representative documents, spreadsheets, and presentations, especially files used for day-to-day work.
- Confirm that the right users can access the destination copies and that converted files remain editable where needed.
Google’s Workspace migration resources also describe downloading Drive files and moving them into a new Google Drive for a Workspace-to-Workspace scenario. That is an inbound-to-Google workflow; it does not establish a general outbound import method for other cloud providers.
Verify the destination before changing mail routing
Migration is not complete when an export finishes or a batch reports success. Verify the destination copies while the original Google account remains accessible. For organizations, stage users in batches and coordinate any routing change with the administrators responsible for mail and domains.
Best Value
- Plug-and-play expandability
- SuperSpeed USB 3.2 Gen 1 (5Gbps)
- Compare expected and imported data: Check counts where the destination exposes them, then spot-check representative email, contacts, calendar events, and files. Look for omissions as well as obvious import errors.
- Test access and functionality: Send and receive test messages at the destination. Check aliases and forwarding, open converted documents, and confirm calendar sharing and Drive permissions with the users who need them.
- Review exceptions: Inspect email labels or folders, contact fields, recurring events, time zones, shared calendars, event colors, room bookings, and file ownership where relevant to your migration path.
- Change routing deliberately: For an organization, coordinate the DNS or mail-routing change with the migration schedule and administrators. Do not switch routing simply because data has been exported; confirm the destination can receive mail and that the planned user batches are ready.
- Keep recovery options: Retain the independent archive safely and keep the Google source accessible until destination checks are complete. Close or discontinue the old account only after you have verified the copies and confirmed that mail routing and user access work as intended.
Common migration problems and what to check
The archive is split into several files
Takeout splits archives that exceed the selected size limit. Download every part before unpacking, and check that you have enough storage for both the compressed archive and extracted files. Google says selecting a 50 GB archive limit can reduce the chance of splitting, but larger exports can still be split.
The export is incomplete or an archive link is no longer available
Google warns that changes made after an export request may not appear in that archive. Takeout delivery links expire in about seven days, and each archive can be downloaded five times. If the export failed, or the selected set is too large to process, Google suggests exporting fewer products or creating smaller exports. Retain the downloaded original in secure storage.
Email arrived but labels did not
Google’s X-Gmail-Labels header is not recognized by most mail clients. Check the destination’s label or folder mapping behavior before importing, and inspect the resulting organization afterward. Do not interpret the presence of all messages as evidence that Gmail labels were reproduced.

Some calendar or contact details are missing
Compare the imported fields and events with the source account. Contact-field support varies. In Microsoft’s documented Workspace migration, shared calendars and event colors do not migrate, room bookings do not migrate, and a contact can have at most three email addresses. Identify any data that relies on those details and plan a separate handling method if needed.
A large message did not migrate to Microsoft 365
For the Microsoft Workspace migration configuration documented by Microsoft, the default maximum single message size is 35 MB. Check the current configuration and Microsoft’s migration limitations for the organization before retrying or deciding how to preserve messages that exceed the supported limit.
Quick Recap
Keep these distinctions clear
- Export versus migration: Takeout creates an archive; a destination import or service-to-service migration moves data into the destination.
- Personal versus organizational accounts: A personal Gmail import and a Workspace-to-Microsoft 365 business migration have different procedures and prerequisites.
- Data coverage: Email, contacts, calendar, and Drive files may use separate tools, formats, and verification checks.
- Transfer versus fidelity: Data can arrive without reproducing labels, shared access, colors, room bookings, custom fields, or native document behavior.
- Migration versus cutover: Keep source access and an independent archive until you have verified the destination and intentionally changed mail routing.
