A good PowerPoint presentation helps people follow the idea you are explaining instead of competing with it. Give each slide one clear point, make its text and visuals easy to read, and use the deck to support your delivery—not replace it. The right choices depend on who is listening, where they will view the slides, and what you want them to understand or do.
Start with the audience and the outcome
Before opening PowerPoint, decide what listeners should understand or do by the end. Consider how familiar they are with the subject and what questions or decisions matter to them. That gives you a basis for choosing what belongs in the presentation—and what would only distract.
A story structure can help connect the audience’s need to the idea you are presenting. Nancy Duarte describes the aim as creating desire in the audience and then showing how an idea fills it; this is a communication technique, not a guaranteed way to persuade every audience. Build each slide around a single clear idea or question. A useful title states the point the audience should take away, rather than merely naming a broad topic. If a slide is trying to make several unrelated points, split it or decide which point matters most.

Keep wording concise and use the slide to cue your explanation. Microsoft Support puts it this way: “The text should be a cue for the presenter rather than the full message for the audience.” Read Microsoft’s presentation-design and delivery guidance.
Make the message easy to see
Use readable text and a restrained layout
Choose a simple font, keep the background consistent and subtle, and make sure text is large enough for the expected viewing distance. A projected slide in a large room may need larger type than a slide viewed close up on a laptop. Avoid packing a slide with text: dense content is harder to scan while also listening to a speaker.

Use visuals that explain the point
Include an image, chart, or diagram only when it helps clarify what you are saying. Label charts clearly so viewers can understand what the data represents. A decorative visual that adds no context takes attention without helping the audience follow the idea. Duarte’s guidance likewise emphasizes that visual aids work when they are relevant to the audience and well designed: designing slides and visual aids.

A presentation projected in a room, delivered online, and shared as a document afterward has different viewing conditions. For a live talk, slides can act as cues while you provide the explanation. If people will read the deck without you, make the context and relationships between points understandable on the slides themselves.

Also account for audience knowledge, room size, projection, and accessibility. Microsoft notes that projection can affect color and cropping, and that a large room can require larger type. Test the deck in the format and setting closest to the real one rather than assuming it will look the same everywhere.
Check accessibility before presenting or sharing
Make sure text has sufficient contrast and remains readable. Use meaningful link text that tells people where a link leads, rather than vague wording such as “click here.” Run PowerPoint’s accessibility checks, then consider navigating or reading the finished slides with a screen reader. Microsoft’s PowerPoint accessibility guidance explains checks and practices for making presentations more accessible.

Rehearse the delivery, not just the slides
A clear deck still needs a prepared presenter. Rehearse so you can explain the material instead of reading each slide aloud, and keep within the allotted time. Check the equipment and projection before the presentation. During delivery, pay attention to whether the audience is following; that response can help you improve the next version.
Use presentation statistics cautiously
A Microsoft 365 Life Hacks article, originally published in 2021 and updated in 2024, reports that 91 percent of presenters said a well-designed deck boosted their confidence and 45 percent said they found it difficult to design a good, creative slideshow. The same article reports that 5 percent remembered statistics and 63 percent remembered stories after watching a presentation. The page does not identify the underlying study in the text reviewed, so these figures should be treated as claims reported by Microsoft, not as independently established or universal results.
