Use one Excel transaction table as your cash book, then summarize its entries by account and month to create a ledger view. Enter each transaction promptly, retain its supporting documents, and reconcile the workbook with your bank statement monthly. This is a practical recordkeeping setup, not a full double-entry accounting system or a guarantee of tax compliance.

Cash book vs. ledger: what each one does

A cash book records money received and paid, with enough detail to identify each transaction. An account ledger groups transaction totals by account, such as sales, rent, or supplies. The IRS describes a journal as a record of business transactions shown by supporting documents and a ledger as totals from journals organized into accounts (IRS Publication 583).

In Excel, a useful arrangement is to enter each transaction once in a master table and derive ledger summaries from that table. This avoids duplicate data entry. It is a workbook design recommendation, not a format required by the IRS. A simple cash-in/cash-out workbook is not, by itself, a complete general ledger: in double-entry bookkeeping, each transaction posts debits and credits, and total debits equal total credits.

Set up the workbook

1. Read Me / Setup sheet

Record the business name, fiscal period, currency, opening cash balance, account or category list, and brief instructions for anyone entering transactions. State whether payment amounts are entered as positive values in their own column or as negative values in one signed Amount column.

2. Transactions sheet

Create one row per transaction and format the range as an Excel table with headers. A practical set of columns is:

  • Date and transaction ID
  • Description and customer, vendor, or other source
  • Account or category
  • Receipt amount and payment amount
  • Payment method and bank or reference number
  • Supporting-document filename or location
  • Cleared or reconciled status, if you use the workbook for bank reconciliation

Keep the evidence itself—such as an invoice, receipt, deposit slip, paid bill, or statement—not just a note in the spreadsheet. IRS recordkeeping guidance says business records should support entries and be complete, accurate, and accessible, including when stored electronically (IRS: Recordkeeping).

3. Account Ledger / Summary sheet

Summarize receipts, payments, and net activity by account and month using the transactions table as the source. If you need formal double-entry records, financial statements, or accounting for inventory, payroll, fixed assets, loans, or accruals, get advice on an appropriate system rather than treating this summary as a full ledger.

4. Monthly Reconciliation sheet

For each statement period, record the statement opening and closing balances, outstanding deposits and payments, bank fees or corrections, adjusted balances, review date, and any unresolved difference. Keep a copy of the bank statement and a note explaining how differences were handled.

5. Evidence index

List or link the supporting records for transactions and organize files consistently—for example, by year and document type. The IRS gives invoices, receipts, deposit slips, canceled checks, sales slips, and account records as examples of supporting documents in Publication 583 (IRS Publication 583).

Enter transactions consistently

  1. Record activity promptly. Publication 583 says it is generally best to record transactions daily.
  2. Describe the source and business purpose. Identify where receipts came from and what an expense was for; keep personal and business activity separate, and use a dedicated business account where appropriate.
  3. Assign a category. Choose from a consistent account list rather than creating slightly different labels for the same type of activity.
  4. Attach or identify the evidence. Use a filename or location that lets you find the related invoice, receipt, deposit slip, or other record.
  5. Review the entry. Look for missing details, duplicate transactions, unusual amounts, and uncategorized items before closing the month.
  6. Back up and protect the workbook and evidence files. Electronic records must still provide a complete and accurate record that is accessible to the IRS; using Excel alone does not ensure that standard is met (IRS: Recordkeeping).

Calculate a running cash balance

With separate Receipt and Payment columns, calculate each row’s ending balance as the previous balance plus receipts minus payments:

=prior_balance + receipt_cell - payment_cell

Replace the example references with the cells in your workbook. Put the opening balance in a clearly identified starting row or cell, and check that the formula uses the same sign convention as your entries. For example, if payments are already entered as negative amounts in a single Amount column, add that amount to the prior balance; do not subtract it a second time.

Excel formulas begin with = and can use cell references and functions such as SUM. Relative references adjust when a formula is copied; absolute references stay fixed. Excel tables can fill calculated-column formulas through the table, filter and sort rows, and provide a total row. The total row can use SUM or SUBTOTAL; SUBTOTAL can exclude filtered-out rows by default. See Microsoft’s overview of Excel tables and Microsoft’s guide to creating a simple formula.

Use a table total row or a summary formula to total receipts and payments for a period. Keep transfers, owner contributions, and owner withdrawals distinct from revenue and expenses. A bank deposit is not necessarily sales: it may include a loan, transfer, refund, or another non-sales item. Ask a qualified accountant if you are unsure how to classify a transaction.

Build the account and monthly summaries

Use the account/category and date fields in the transaction table to group activity by account and month. Show receipts, payments, and net activity separately so that a net figure does not obscure what moved through an account. You can use Excel table filters and total rows for a quick review, or create a separate summary with formulas that refer to the transaction table. If filtering the table, remember that a SUBTOTAL total can reflect the visible rows rather than every row.

Reconcile the cash book with your bank statement each month

The cash book and bank statement can differ temporarily because a deposit was made after the statement date, a check or payment has not cleared, or the bank has charged a fee. The IRS recommends reconciling the business checking account monthly and describes these types of differences in Publication 583 (IRS Publication 583).

  1. Enter the statement period and its opening and closing balances on the reconciliation sheet.
  2. Match statement deposits and cleared payments against the corresponding transactions in Excel.
  3. List deposits not yet shown by the bank and outstanding checks or other payments.
  4. Record bank charges, bank errors, or book-entry errors, and make appropriate corrections in the workbook.
  5. Compare adjusted balances after valid timing items and corrections. Investigate any remaining difference rather than forcing the balances to match.
  6. Save the statement, note unresolved items and their disposition, and record the date the reconciliation was reviewed.

Do not silently overwrite an old entry to make a reconciliation work. Make an explained correction so another person can follow the record trail.

Know when Excel is not enough

For U.S. federal recordkeeping, the IRS generally lets a business choose a system suited to its activity as long as it clearly shows income and expenses; it does not prescribe one universal workbook layout. How long a particular document must be kept depends on the action, expense, or event it records, and employment-tax records have separate guidance. Check the applicable IRS rules rather than applying one retention period to every record (IRS: Recordkeeping).

A cash book may not cover the bookkeeping and reporting needs of a business with inventory, payroll, fixed assets and depreciation, sales tax, loans, accruals, multiple bank accounts, or formal financial-statement requirements. Seek professional accounting advice if you are unsure about your accounting method, tax treatment, or reporting obligations. IRS guidance cited here is U.S.-specific; businesses elsewhere should check local requirements.
