The safest approach is to treat AI meeting notes as a set of separate records, not as one file. A meeting may produce live audio processing, a recording, a transcript, a summary, action items, prompts, responses, chat data and copies in several accounts. Turn off features you do not need, limit who can create and view each artifact, set a short approved retention period, verify deletion, and secure the accounts that hold the content. Disabling recording alone may leave transcripts, notes or AI prompts behind.

What “AI meeting notes” can contain

Before changing a setting, list every output the meeting service might create. The names and defaults vary by product, license and tenant configuration.

  • Live audio processing: speech may be analyzed while people talk, even when no audio file is saved.
  • Recording: an audio or video file can become a durable copy with its own permissions and retention rule.
  • Transcript: speech-to-text may be saved separately from the recording, sometimes in an organizer’s account and sometimes in each participant’s workspace.
  • Summary and action items: generated notes can be stored in mailboxes, meeting pages, recap views or an AI assistant’s history.
  • Prompts and responses: questions asked of an AI assistant and its answers may be retained under organizational compliance policies, even when recording and transcription are disabled.
  • Chat, screen-share text and metadata: in-meeting messages, optical-character-recognition text, attendee lists and meeting times can create additional records.
  • Downstream copies: downloads, forwarded emails, exported documents, screenshots and connected services are outside the original meeting control.

Draw a simple data map before a sensitive meeting: what is captured, where it is stored, who can read it, who can download or share it, how long it remains, and how each copy will be deleted. If you cannot answer one of those questions, do not enable the AI feature until an administrator or vendor document provides the answer.

Decide whether AI notes are necessary

Privacy is strongest when unnecessary capture never starts. Use a short decision check before the invitation goes out.

  1. Classify the discussion. Mark whether it includes personal data, health or financial information, trade secrets, legal advice, security incidents, disciplinary matters or regulated records.
  2. Define the business purpose. If the only need is a few decisions, assign a human note-taker instead of creating a full transcript.
  3. Choose the minimum output. A live summary without a saved transcript may be sufficient; a recording plus transcript plus recap is rarely necessary for every meeting.
  4. Check policy and contracts. Confirm that the organization permits the service, its AI model providers and any cross-border processing for this type of information.
  5. Set an owner. Name the person responsible for access reviews, corrections, deletion and participant questions.

For highly sensitive conversations, schedule a mode that does not permit recording, transcription or AI recap. Tell participants that no automated notes will be produced, and confirm that any manually written notes follow the same access and retention rules.

Map artifacts, locations and permissions

The following map illustrates why one “delete notes” button is not enough. Exact locations depend on the feature and account configuration.

Artifact How it may be created Possible location or audience Control to verify
Recording Host or authorized participant starts recording Organizer’s cloud storage, a meeting library or a shared folder Who may start, view, download, share or delete it; recording retention
Transcript Transcription enabled during or after the meeting Organizer account, meeting workspace, participant mailbox or recap page Transcript visibility, export rights, retention and deletion
AI summary Recap or meeting-assistant feature processes transcript or live speech Recap page, mailbox folder, document library or assistant history Who can open, edit, copy or share the summary
Tasks and action items AI extracts commitments from speech or chat Participant mailboxes, task systems or collaboration pages Whether each recipient receives a copy and how it is removed
Prompts and responses User asks an AI assistant questions Assistant history or compliance archive Purview or equivalent retention, discovery and deletion rules
Chat and screen-share text Participants send messages or share text processed by OCR Chat history, temporary processing stores or connected apps Chat retention, model-provider processing and export controls

Microsoft Teams: configure each mode deliberately

Copilot without recording or transcription

Microsoft documents a Copilot mode for calls and meetings that can generate notes and tasks without recording or transcribing. Turning on Copilot in that mode does not automatically start transcription. That reduces the amount of speech data saved, but it is not a zero-retention mode: Copilot prompts and responses may still be retained under the organization’s Microsoft Purview policies.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

This mode also has a functional limitation. Post-meeting Copilot in Recap is not available unless recording or transcription was enabled. Decide whether the privacy gain is worth losing a later recap before the meeting begins. Tell participants that the assistant can still process the live conversation and that their prompts may be retained.

Intelligent recap with recording and transcription

Teams intelligent recap requires meeting transcription and recording to be enabled. Microsoft says AI-generated notes and tasks are stored in Exchange folders in meeting participants’ mailboxes. For a meeting with both recording and transcription, transcript copies are stored in the organizer’s Exchange Online account and alongside the recording in OneDrive. When only transcription is enabled, Microsoft says a transcript copy is stored in the organizer’s Exchange Online account.

These artifacts follow the applicable recording retention policy. That does not remove the need to check mailbox, OneDrive, task and exported-document policies separately. An attendee who receives a generated task or downloads a transcript can create a copy with a different lifecycle.

Permission review before the call

  • Restrict who can start recording, transcription or recap.
  • Review presenter, co-organizer and guest roles; do not grant organizer-level rights merely for convenience.
  • Check the recap audience and whether participants can download or forward the transcript.
  • Disable external sharing for meetings containing confidential information, or use an approved internal-only meeting type.
  • After the meeting, inspect the organizer’s Exchange and OneDrive locations plus participant mailboxes for generated notes and tasks.

Deletion test

Use a test meeting with the same policy settings as a real meeting. Create a recording, transcript, recap, task and Copilot prompt, then delete each item. Verify that links fail for a non-owner, that mailbox and OneDrive copies disappear, and that retention or legal-hold rules are not silently preserving content. Record the result for administrators; do not assume a visible recap deletion removed the source transcript.

Encryption is a choice with consequences

Teams encryption options

Teams standard communications are encrypted in transit and at rest, which permits server-side transcription, recap, records management and discovery. Teams end-to-end encryption is available for eligible one-to-one calls and, with Teams Premium, for scheduled meetings configured to require it.

End-to-end encryption changes the feature set. While E2EE is in use, recording, transcription and related AI recap are unavailable. Server-side records-management and eDiscovery functions are also limited. Use E2EE when preventing service-side access is more important than automated notes and compliance tooling; do not expect to layer it on top of a meeting that must produce a searchable transcript.

Google Meet considerations

Google says Meet recordings and other content are encrypted in transit and at rest in its data centers. Its help guidance also discusses end-to-end encryption for calls in the newer Meet app. That calling mode should not be confused with ordinary scheduled Meet recordings: check the exact meeting type, recording setting and account edition before promising participants that a meeting is end-to-end encrypted.

Third-party AI processing and retention

Some meeting services distinguish their own service data from processing performed by external generative-AI model providers. Documentation may describe “zero data retention” for those providers while allowing narrowly defined trust-and-safety exceptions. A separate technical page may state that a model provider can retain content for up to 30 days unless a longer period is required by law, and may offer an optional zero-data-retention setting for temporary transcript text, screen-share OCR or in-meeting chat used for a meeting-summary feature.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Those statements can apply to different features, regions, contracts or dates. Do not flatten them into “the vendor retains nothing.” Identify the exact AI feature, model provider, account setting and agreement that governs your meeting. Ask an administrator to verify whether transcripts from a meeting-summary service may be retained for use by other AI services. In some configurations, hosts can view and delete those transcripts; a separate personal-notes feature may instead be managed only by the participant who used it.

For a supplier review, request a data-flow diagram, subprocessors list, retention schedule, deletion method, legal-hold behavior, training-use statement and breach-notification terms. Keep the answer with the meeting record so a later administrator can reproduce the decision.

Secure the account that holds the notes

Content controls cannot help if an attacker can sign in as the organizer or participant. Microsoft recommends phishing-resistant authentication, including FIDO2 security keys and passkeys, for Microsoft Entra sign-in. A hardware key is a device-bound passkey: its private key remains on the physical device rather than being copied to a server.

Use a passkey or FIDO2 key where the identity provider, browser and device support it, especially for administrators and highly regulated work. Plan recovery keys, spare authenticators, device compatibility and user training before enforcing the method. A physical security key protects authentication only. It does not encrypt a transcript, shorten retention, remove a shared link or prevent an authorized user from downloading notes.

  • Require multifactor authentication for every account that can access meeting artifacts.
  • Use separate administrator accounts and review privileged access regularly.
  • Remove departed users and stale guest accounts promptly.
  • Patch browsers, meeting applications and operating systems on devices used to read notes.
  • Lock screens, use full-disk encryption and avoid downloading confidential transcripts to unmanaged devices.
  • Audit sign-in alerts and sharing notifications for the organizer, mailbox and storage account.

Set retention and deletion for every copy

Choose the shortest period that meets operational, legal and records-management needs. A practical workflow is:

  1. Inventory. List recording, transcript, recap, tasks, prompts, chat, metadata, exports and downstream copies.
  2. Assign a policy. Map each artifact to the approved mailbox, storage, chat, AI and records-retention rule.
  3. Limit access. Use the smallest group that needs the information; separate view, download, edit, share and delete permissions.
  4. Schedule expiration. Prefer automatic deletion over a reminder that depends on a person remembering months later.
  5. Check exceptions. Legal holds, investigations, regulatory archives or contractual requirements may override ordinary deletion.
  6. Verify. Test deletion as an owner and as a non-owner. Check search, recycle bins, exports, connected task systems and shared links.
  7. Document evidence. Keep the policy name, deletion date, owner and any exception with the meeting’s records-management log.

Deleting a summary is not proof that the transcript, recording or prompt history is gone. Conversely, deleting a transcript can make an otherwise retained recap inaccurate or impossible to audit. Treat the artifacts as a connected set and define what happens when one is removed.

Notify participants and handle consent correctly

Tell participants before capture starts, not after a transcript appears. A useful notice states that an AI notetaker, transcription or recording is active; what it captures; where the result is stored; who can access, download or share it; the retention period; and how to ask questions or request correction where policy permits.

University of British Columbia guidance published in 2025 discusses notice and consent practices in its institutional context. It is not a universal legal rule. Requirements depend on jurisdiction, sector, employment status, contract terms and the subject of the meeting. A notice that is sufficient in one country or organization may not satisfy another’s consent or recording law. Ask legal or privacy staff when the discussion involves regulated or personal information.

Use a mode-specific comparison before enabling AI

Mode Audio or transcript Likely records Main privacy trade-off
Teams Copilot without recording or transcription Live processing; no automatic transcription in the documented mode Notes, tasks, prompts and responses; Purview may retain prompts and responses Less saved speech data, but no post-meeting Copilot Recap
Teams recording plus intelligent recap Recording and transcript required Exchange folders, organizer Exchange account, OneDrive recording and participant outputs Rich recap and discovery, with more copies and permissions to govern
Teams end-to-end encrypted meeting Recording, transcription and AI recap unavailable No server-side recap artifacts from those disabled features Stronger service-side confidentiality, but reduced records-management and eDiscovery capability
Google Meet recording Recording and any enabled transcription or recap depend on the meeting configuration Meet storage and associated account or workspace locations Google states recordings and other content are encrypted in transit and at rest; verify the exact meeting mode
Third-party AI companion Feature-specific; may process live speech, transcript, chat or screen-share text Vendor service plus possible external model provider Retention and deletion can differ by feature, provider, contract and trust-and-safety exception

A practical playbook for sensitive meetings

Before the meeting

  • Classify the information and decide whether automation is necessary.
  • Choose the least-collecting mode and disable recording, transcription and recap when they are not required.
  • Confirm the tenant, license, region, model-provider and retention settings.
  • Restrict hosts, presenters, guests, downloaders and external sharing.
  • Prepare the participant notice and a human-note alternative.

During the meeting

  • Read the notice aloud when appropriate and watch for late joiners.
  • Confirm the visible recording or transcription indicator matches the intended mode.
  • Do not paste secrets, credentials or unnecessary personal data into an AI prompt.
  • Pause or stop capture before an off-the-record segment, then verify that it actually stopped.
  • Remove unauthorized attendees and report unexpected AI activity.

After the meeting

  • Review the transcript and summary for sensitive data, invented statements and incorrect task owners.
  • Correct the authoritative decision record without silently rewriting evidence that must be preserved.
  • Share only the minimum necessary output, using an access-controlled link rather than an attachment.
  • Delete temporary transcripts, exports and downloads according to policy.
  • Confirm that automated tasks, mailbox copies, recap pages and model-provider records follow the same retention decision.

Troubleshoot common privacy surprises

“We turned off recording, but a transcript appeared.”

Check whether transcription or a live Copilot mode was enabled independently. Review organizer storage, participant mailboxes and the assistant’s prompt history; disabling the recording switch does not necessarily disable those artifacts.

“Only the organizer should see notes, but attendees can open them.”

Inspect the recap audience, participant mailbox permissions, inherited folder access and any shared links. Revoke downloads and external sharing, then test with a least-privilege account.

“The summary is gone, but sensitive text remains searchable.”

Search for the transcript, recording, chat, task copies, exports, recycle-bin items and legal holds. Ask the administrator which retention policy applies to each location.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“End-to-end encryption removed the recap.”

That is an expected Teams trade-off: E2EE disables recording, transcription and related AI recap and limits some server-side compliance functions. Choose standard encryption when those records are required, or keep E2EE and produce notes manually.

“A vendor says zero retention, but another page mentions 30 days.”

Those statements may cover different model providers, features or exceptions. Capture the current product setting, contract and technical scope; do not make a blanket claim until the provider confirms which rule applies to your account.

Administrator checklist

  • Publish approved meeting modes for ordinary, confidential and regulated discussions.
  • Set defaults that disable recording, transcription and AI recap unless a host deliberately enables them.
  • Define role-based permissions for starting, viewing, downloading, sharing and deleting artifacts.
  • Map Exchange, OneDrive, mailbox, chat, task, recap and AI-prompt retention policies.
  • Test deletion, legal holds, search and eDiscovery for every artifact type.
  • Review subprocessors, model-provider retention and zero-data-retention settings during vendor assessments.
  • Require participant notices and maintain jurisdiction-specific consent guidance.
  • Enforce phishing-resistant authentication for privileged and high-risk accounts.
  • Recheck documentation after licensing, tenant, feature or policy changes; defaults and storage locations can change.
