For a new, unused Office 2021 key, redeem it once at office.com/setup (or Microsoft365.com/setup) while signed in to the Microsoft account that should own the license. Then download Office from that account, install the Windows or Mac package, and open an Office app to activate it. A key that Microsoft says was already used is not a failed installation code: it is normally already linked to an account, so reinstall from that account instead of entering the key again.
This guide covers the first installation, activation, reinstallation, platform requirements, edition differences, one-device licensing, common errors, and Office 2021’s current support status.
Check the license and computer before installing
Office 2021 is a one-time purchase rather than a Microsoft 365 subscription. Before redeeming anything, identify the edition, operating system, and device covered by the license. Consumer Office 2021 licenses are for one Windows PC or one Mac, not simultaneous installation on several personal computers.

Choosing an edition is mainly a question of the applications you need and the platform you use. Home & Student is the basic Word, Excel, PowerPoint, and OneNote package. Home & Business adds Outlook. Professional is listed for Windows and adds Publisher and Access. A Mac user should not assume that a Windows-only application will appear after installation, even when the product name sounds similar.

Meet the operating-system and connection requirements
- For Windows, Microsoft’s Office 2021 FAQ lists Windows 10 or later.
- For Mac, the FAQ lists support for the three most recent macOS versions at the time of its current version. Check the FAQ again if your Mac is running an older release.
- Have reliable internet access. Microsoft requires connectivity for key redemption, account association, initial activation, and periodic confirmation that the license is valid. Microsoft also recommends connecting regularly for updates.
- Have the product key available if this is a new purchase. Microsoft’s example is five groups of five characters. If the setup page asks for the key without hyphens, enter the characters without hyphens.
- Choose the Microsoft account you intend to keep. After redemption, that account—not the printed key—is what you normally use for later installations and reinstalls.
Do the account check before typing the key. A family member’s account, a work account, and a personal Microsoft account are different destinations for the license. Once redemption is complete, later installs are controlled from the account that received it. Keeping a note of that account’s sign-in address can prevent an unnecessary second purchase when you replace a computer.
Redeem a new Office 2021 product key
Key redemption and application installation are separate operations. Redeeming the key tells Microsoft which account owns the license; downloading Office from that account installs the applications.
- Open the setup page. Go to office.com/setup or Microsoft365.com/setup.
- Sign in or create an account. Sign in with the Microsoft account that should remain associated with Office. If you do not have one, create an account during the setup process.
- Enter the key. Type the product key when Microsoft presents the field. Remove hyphens if the page requests that format. Some purchases have already supplied the key electronically; if no key-entry field appears, Microsoft says it may have been entered automatically.
- Complete the redemption prompts. Check that the displayed product and account are correct before confirming. Once accepted, the key becomes associated with that account and is not a reusable install code.
- Open the account’s Office page. After redemption, use the Microsoft account dashboard to locate the associated Office product and choose Install.
- Choose available install options. Select a language and, where offered, 32-bit or 64-bit Windows Office. Pick the architecture that matches your application and compatibility needs; Microsoft only shows choices supported for that product and account.
Do not give the key to another person after redemption. The account association is what enables future downloads, and entering the same key on another setup page will normally produce an already-used message.
What the key does—and does not do
The key proves entitlement during the first redemption. It is not a permanent download address and it is not normally entered every time you open Word. After redemption, Microsoft’s account records the product, while the account’s Office page supplies the installer. This is why saving the account information is more useful than repeatedly saving or retyping the key.
If a setup page skips the key field, do not assume the process failed. Microsoft says some purchases supply the key automatically. Continue through the prompts and then inspect the account’s product page. The important confirmation is that the expected Office 2021 edition appears under the account before you select Install.
Install Office 2021 on Windows
After you select Install on the account dashboard, the browser downloads the Windows installer. The exact filename can vary by browser and edition, but the sequence is the same.
- When the download finishes, open the installer from the browser’s download list or your Downloads folder.
- If Windows displays a User Account Control prompt asking whether the installer may make changes, select Yes only if you started the download from your Microsoft account’s Office page.
- Allow the installer to download and configure the applications. Keep the computer connected to the internet and do not shut it down during setup.
- Wait for the installation-complete message. The process can take longer on a slower connection because the applications and updates are downloaded.
- Open Word, Excel, or another included application from the Start menu. The first launch begins the activation and license-terms process.
If the installer appears to do nothing, check the browser’s download list and Windows security notifications before downloading a second copy. Running several installers at once can make it unclear which process is active.

Choosing 32-bit or 64-bit on Windows
The account page may offer both architectures. Choose the version that fits the Windows environment and any existing Office compatibility requirements. Microsoft only displays choices available for the product and account, so an absent option is not necessarily an error. If no choice is shown, proceed with the installer Microsoft provides rather than downloading an unrelated package from another site.
Install Office 2021 on a Mac
Mac uses a package installer rather than the Windows executable. The initial activation screen also uses different wording.
- On the Office account page, select Install and save the downloaded package.
- Open the package from the Downloads folder. Follow the installation screens, including the prompts that request your Mac password if macOS needs permission to install applications.
- When setup finishes, open Word from Applications or Launchpad.
- When the What’s New window appears, select Get Started. This opens the sign-in and activation flow for the redeemed license.
- Sign in with the same Microsoft account used during redemption and accept the license terms if prompted.
Office 2021 for Mac is 64-bit. If your Mac is outside the three most recent macOS versions listed in Microsoft’s FAQ, an installer may not be supported even though the product key itself is genuine. Updating macOS is a separate decision from redeeming the key; confirm compatibility before treating an installation failure as a licensing failure.
Activate Office after installation
Office generally activates when you open an application after installation. Accept the license terms and sign in if requested. Microsoft describes internet access as required to activate applications such as Word, Excel, and PowerPoint.
Normal activation path
- Launch an installed Office application.
- Sign in with the account that redeemed the key, if the application asks for credentials.
- Accept the license terms.
- Wait for the application to verify the license online. Close and reopen the application if it asks you to restart.
When the Activation Wizard appears
The Activation Wizard is a guided recovery path, not a request to buy another key. Follow its prompts, sign in with the owning account, and keep the computer online. If it reports that no eligible license is found, stop and verify the account before trying another code; entering a second key can associate the wrong product with the computer.
Activation and installation are also separate troubleshooting questions. Office can be fully installed while still waiting for account verification, and a successful redemption does not guarantee that an unsupported operating system will run the apps. Check the account, connection, platform, and edition in that order instead of repeating the key entry.
Reinstall Office when the key says it was already used
“This product key has already been used” normally means the key was successfully redeemed earlier. Redemption consumes the key as an install code, but it does not prevent you from reinstalling Office.

- Go to the Microsoft account sign-in page and use the account that originally redeemed the key.
- Open the account’s Office products or services page.
- Locate the Office 2021 product and select Install.
- Download the appropriate Windows or Mac installer and follow the platform-specific steps above.
- Open an Office application and sign in if activation requests it.
Do not purchase another key solely because the original key cannot be entered again. If you have several Microsoft accounts, sign out and try each account that might have been used for the purchase. The correct account should show the associated Office product on its dashboard.

If someone else redeemed the key, the license is attached to that person’s account. The person who completed redemption generally needs to use that account for installation, subject to the license terms. Searching every account is safer than guessing at another key, because a second redemption can leave you with two products and still not solve the original account problem.
What to do when a key does not work
The key is rejected during redemption
- Recheck each character. Product keys can contain letters and numbers that are easy to confuse when copied from a card or email.
- Use the setup page’s requested format; remove hyphens only when the field instructs you to do so.
- Confirm that you are redeeming an Office 2021 key, not a key for a different Office edition, a subscription, or another Microsoft product.
- Try the account you intend to own the license. Creating several accounts during troubleshooting can make the eventual license location harder to identify.
The seller supplied a separately purchased key that fails
Microsoft warns that keys sold separately from the software may be stolen, abused, or otherwise unauthorized. Contact the seller and request a refund rather than repeatedly attempting activation. Be cautious with sellers offering unusually cheap keys outside Microsoft or authorized channels; a key can appear valid initially and later be blocked.
The account shows no Office product after redemption
Sign out and back in to confirm the account, then check the Office products page rather than returning to the key-entry screen. A redeemed key belongs to the account used at the time of redemption. If another person redeemed it, that person must use the associated account for installation, subject to the license terms.
Activation fails after a successful installation
- Verify that the computer is online and that the date and time are correct.
- Open an Office application and follow the Activation Wizard if it appears.
- Sign out of an incorrect Microsoft account and sign in with the account that owns the license.
- Restart the application after completing sign-in or license acceptance.
- On Mac, use Microsoft’s Mac activation and troubleshooting guidance when the sign-in screen loops or displays a platform-specific error. The exact message and current application state determine the next step.
A second installation seems to be running
On Windows, inspect the browser download list and security notifications before launching another installer. On Mac, confirm that the downloaded package has finished opening and that the installation screens are complete. Multiple installers can make it difficult to tell whether the first process is still working, so let one attempt finish before starting another.

A consumer Office 2021 license covers one Windows 10/11 PC or one Mac that meets the supported macOS requirement. It is not a general entitlement to install the same purchase on every computer you own. If you replace a computer, use the account installation page and follow Microsoft’s transfer or deactivation instructions for the license type you purchased rather than redeeming the key again.
The one-device scope is separate from the number of applications in an edition. Home & Student can include four applications while still covering only one computer. Likewise, having an account that can download the installer does not expand the license to additional personal devices.

Internet access has three separate roles:
- Redemption: the setup service validates the key and attaches the product to an account.
- Activation: Office checks the license when the applications are first opened.
- Periodic confirmation and updates: Office may need to reconnect to confirm the entitlement, and regular connections are recommended so updates can be delivered.
A permanent internet connection is not the same as a requirement to keep every document online. The connection requirement concerns licensing checks and servicing; your locally installed applications and files can still be used according to the product’s terms when you are offline. Reconnect regularly so periodic confirmation and updates can occur.
Office 2021 versus a subscription
Office 2021 is a one-time purchase, while Microsoft 365 uses a subscription model. The practical comparison is not just the payment method. Check the applications included in the edition, the supported platform, the number of devices allowed, the way features and security servicing are delivered, and whether your work depends on cloud-connected features.
Office 2021 can suit someone who needs a fixed edition on one Windows PC or one Mac and does not want a recurring subscription. A subscription may be more appropriate when the required plan includes additional devices or continuing feature and servicing benefits. Confirm the current Microsoft terms for either product before buying; edition names and available features do not automatically mean identical rights.

Microsoft’s current key-support information states that support for Office 2021 has ended. The status is date-sensitive; the support information available on October 13, 2026 listed the product as ended, so check Microsoft’s current lifecycle information before relying on Office 2021 for a new long-term deployment.
End of support does not automatically remove an already redeemed license or uninstall the applications. It does mean you should weigh the absence of ongoing product support and the product’s servicing position against your security, compliance, and compatibility requirements. A genuine key can still follow the redemption and installation process described here, but support status is a separate question from whether activation succeeds.

- New, unused key: redeem once at the setup page, then install from the owning Microsoft account.
- Already-used message: do not enter the key again; find the account where it was redeemed and install from that account.
- Windows: use the downloaded installer, approve the Windows permission prompt, and open an Office application.
- Mac: open the downloaded package, finish the installation, then choose Get Started in Word’s What’s New window.
- Activation prompt: sign in with the owning account, accept the terms, and follow the Activation Wizard.
- Unsupported or suspicious key: contact the seller for a refund and avoid buying a replacement until the license situation is clear.
- Before a new deployment: confirm the one-device scope, operating-system support, internet requirements, edition applications, and current Office 2021 lifecycle status.
