To give an AI assistant access without over-sharing, connect only the app needed for a specific task and approve the narrowest data and actions that let it work. Check who is requesting access, what it can do, and whether the permission fits the feature you chose. If the request seems broader than necessary or its purpose is unclear, pause and decline until you understand it.
“How to give an AI assistant access to your apps without over-sharing” is ultimately a question about limiting permissions, not about trusting a label on a consent screen. The exact controls differ by assistant and app, but least privilege is a useful rule across connection flows. Google’s OAuth documentation offers concrete examples of how that principle can work; its specific consent behavior should not be assumed to apply to every service.
What should you check before connecting an app?
Start with the task, not the integration. Decide whether you want the assistant to search a calendar, summarize particular files, or draft an email. Those examples can require different permissions, and the same task may be implemented differently by different providers. A request to connect an entire account is not automatically necessary just because the feature involves one part of it.

- App identity: Is the assistant or integration clearly identified, and does that identity match the service you intended to connect?
- Data requested: Does it name the app or data category needed for your task, or does it ask for access to unrelated categories too?
- Actions allowed: Is the access limited to viewing information, or can it also create, edit, send, or delete?
A permission prompt describes the access being requested; it does not, by itself, explain every aspect of how the assistant handles information after access is granted. Review the assistant’s privacy policy and data-use disclosures for details such as retention, processing, and sharing. Google’s OAuth consent guidance says a consent screen shows project information and requested scopes, and its policy requires accurate app identity. A clear prompt is useful, but it is not a substitute for understanding the service’s data-use terms (Google’s consent-screen and scope guidance; Google’s OAuth 2.0 policies).
It can help to think through a concrete example. If you want an assistant to send an occasional email, a permission specifically suited to sending may be more proportionate than access to read and manage your full mailbox. Google uses this kind of distinction in its OAuth policy to illustrate least privilege. The important point is not that every provider offers that exact choice, but that the action you want should guide the permission you accept.
What do permissions, scopes, and tokens mean?
In Google’s OAuth system, a scope describes the resources or operations an app is requesting permission to use. The granted scopes limit what the resulting access token permits. For example, a scope can distinguish access to a particular kind of resource or operation from broader access. Scope names and classifications are specific to the API, so a label should be interpreted in its own service context rather than treated as a universal permission category.
A token is a credential the application uses to make authorized requests. Google’s OAuth overview describes consent as producing a token or authorization code along with a list of granted scopes. The app should check which scopes were actually granted and compare them with what a selected feature needs. This is an explanation of Google OAuth behavior, not evidence that every assistant follows an identical flow (Using OAuth 2.0 to Access Google APIs).
Scope breadth can help you understand the potential reach of an integration, but it does not establish how an assistant uses information internally. A request for permission does not prove that the assistant reads or trains on every item it could access. To assess retention, processing, or other data uses, look to the service’s privacy disclosures rather than inferring them from the scope alone.
Google classifies some scopes as sensitive or restricted. Its developer requirements may call for additional verification, and third-party-server access to restricted user data may require a security assessment. These are Google requirements for app developers, not a general trust rating for a service or a guarantee about how another provider handles permissions (Google’s restricted-scope verification guidance).

Google’s OAuth 2.0 Policies page was last modified on August 5, 2026. Its rules are relevant when evaluating Google OAuth integrations, but an app’s verification status or scope classification should not be treated as a universal privacy grade. For any assistant, assess the permission request and the provider’s own disclosures on their terms.
How can you judge whether a request is narrower than another?
Compare a request with the task you selected, using the dimensions that affect exposure. The table describes patterns to look for, not standard permission labels: providers use different wording, and an assistant may not offer every option.
| Dimension | Narrower pattern | Broader pattern | What to ask |
|---|---|---|---|
| Data breadth | One relevant app or data category | Several categories or a wider account area | Does the feature need all of these categories? |
| Action breadth | Read-only access, when reading is enough | Permission to create, edit, send, or delete | Which actions does this feature actually perform? |
| Timing | Access requested when you choose a feature that needs it | Unrelated access requested during initial setup | Why is this needed before I use the feature? |
| User choice | Separate data permissions can be approved independently, if offered | All requested permissions are presented as one combined choice | Can I decline one category and still use the rest? |
| Revocability | You can find a way to remove the connection | No clear place to review or revoke access | Where can I disconnect it later? |
| Disclosure clarity | The app identity and intended data use are clear, with privacy terms available | The identity, purpose, or data-use terms are hard to establish | Can I tell who receives access and what happens to the data? |
Google’s OAuth policy tells developers to request the smallest necessary set of scopes and avoid broad read/write/delete permissions when a narrower scope can support the feature. Its example distinguishes an occasional email-sending feature from full mailbox access. For you, the practical test is whether the named data and actions fit the specific function you chose—not whether the integration asks for a familiar-sounding permission (Google OAuth 2.0 policies).
Use the dimensions together rather than relying on just one. A permission may be limited to one app but still allow editing or deletion; another may be read-only but cover a large range of data. The best fit is the least expansive combination that supports the feature you actually intend to use. If the prompt does not make the data range or actions understandable, look for an explanation before deciding.
How should you connect an assistant step by step?
- Name the task. Write down the outcome you want, such as searching a calendar, summarizing selected files, or drafting an email. A specific task gives you a way to judge whether the requested data and actions are proportionate.
- Open the connection from the relevant feature. Use the assistant’s app-connection flow for the feature you intend to use. Do not connect other apps simply because they are offered during setup.
- Check the identity and request. Read the consent screen. Note which app is asking, which data categories are named, and what actions the permission allows. If the description is unclear, look for the provider’s explanation before continuing.
- Choose the narrowest useful access. If the provider offers a suitable read-only or task-specific permission, prefer it over broader access. Do not approve create, edit, send, or delete privileges unless the feature you chose requires those actions.
- Use separate consent choices when available. Some flows let you approve selected permissions and decline others. Grant only the categories needed for your chosen task; do not assume separate choices exist on every screen.
- Stop when the request does not fit. If a feature that appears to need one limited capability asks for broad or unrelated access, decline or pause and seek the provider’s explanation. A feature may be unavailable without a denied permission, but that is preferable to approving access you do not understand.
- Review what happened after consent. If the flow shows which permissions were granted, check that list rather than assuming every requested permission was approved. The available confirmation varies by provider.
- Revisit the connection when your need changes. Remove access when you stop using the feature or no longer need the app connected. Check the assistant and the account provider for connection-management options because locations and labels vary.
Keep a simple record of why you connected each app if you use several integrations: the feature you wanted, the app involved, and whether it needs read or write capability. This is a practical reminder for your own review, not a special security requirement. It can make a later check easier: if you no longer use the feature, you have a clear reason to reconsider the connection.

Usually, connect only what you need now. Google recommends incremental authorization: ask for access when someone selects a feature that requires it, explain why the access is needed, and avoid requesting unrelated scopes at initial sign-in. This approach gives you a chance to evaluate a permission in the context of an actual task rather than approving a bundle of possibilities in advance (Google’s OAuth best practices).

Some Google OAuth consent flows also support granular permissions. When an application requests multiple non-sign-in scopes, a user may be able to choose which to approve. The app must check what was granted. That developer requirement matters because a partial grant can leave some features unavailable; it does not mean every consent screen has independent checkboxes or that every assistant handles a partial grant the same way (Google’s guidance on granular permissions).
Google directs developers to disable functionality associated with a denied scope and avoid API calls that would fail. That is documented Google developer behavior, not a guarantee about every assistant. As a user, treat denial as a way to limit access: if the dependent feature cannot operate without the permission, decide whether that feature is worth granting it rather than approving unrelated access to keep setup moving.
If you approve only some categories, check what still works rather than assuming the whole integration is either fully enabled or fully disabled. A provider may be able to use one granted permission while leaving a dependent feature unavailable. If the assistant asks again later for additional access, evaluate that request as a new decision: identify the feature it enables and whether you want to use it.
When should you decline or pause?
Decline or investigate before approving if the prompt does not identify the requesting app clearly, the purpose is vague, or the requested data and actions appear substantially wider than the feature you selected. An unfamiliar technical scope name is not, on its own, proof of wrongdoing; scope names are API-specific. But if you cannot establish what it permits from the prompt and the provider’s explanation, do not guess.
- The task and permission do not match: A feature described as needing one capability appears to request access to unrelated data or actions.
- The app identity is uncertain: You cannot tell which service or integration would receive the authorization.
- You cannot find a meaningful explanation: The prompt or linked disclosure does not explain why the feature needs the access.
- You do not understand the data use: The permission is clear, but retention, processing, or sharing practices are not.
- You are being asked to approve everything at once: You cannot determine which access is essential, or whether declining optional access is possible.
Pausing is not the same as deciding that an assistant is unsafe. It means the available information is not yet enough for an informed permission choice. Seek the provider’s current explanation, or use the feature without connecting the account if that option exists.
Do not treat a broad permission request as proof that the assistant will necessarily use every capability or inspect all available data. The permission indicates what the authorization system allows, not a full account of the service’s internal handling. At the same time, do not assume that a limited-sounding label settles privacy questions; consult the service disclosures for retention, processing, and sharing details.

How do you revoke an app connection later?
Look in the assistant’s connected-app or integration settings and in the account provider’s security or access settings. The names and locations vary by service, so use that provider’s current official help rather than relying on a menu path from another product. If you no longer need the integration, remove it; if you still need some functionality, check whether the provider lets you reconnect with a narrower permission.

The consumer-facing lesson is to treat revocation as part of managing a connection, not as a reason to assume you must leave access in place indefinitely. The precise effect of disconnecting an app—and whether any data already retained by the service is handled separately—depends on that service’s terms and controls (Google’s OAuth best practices).
After disconnecting, check for a confirmation or updated connected-app list where the service provides one. If you later reconnect, read the new consent request instead of assuming it will repeat the old permissions or be narrower. Access choices can be revisited as your task changes; a connection that once made sense may no longer be useful.
What does a permission prompt not tell you?
A consent screen can help identify the app and scopes involved, but it does not answer every privacy question. A scope indicates the access an authorization system permits; it is not a complete description of the assistant’s storage, processing, sharing, or deletion practices. Nor does a permission request alone establish that the assistant will read or train on all accessible data.
Check the assistant’s privacy policy and data-use disclosures separately, focusing on what happens to information accessed through the connection. The Google documentation discussed here explains Google OAuth policy and behavior. It does not establish current connection steps, exact permissions, retention practices, training use, or revocation menus for any particular AI assistant. For a product-specific decision, rely on that provider’s current official documentation and the consent screen you actually see.

- Can I name the task that needs this connection?
- Can I identify the app requesting access?
- Do the requested data categories match that task?
- Are the allowed actions no broader than the task requires?
- Can I defer access until I use the relevant feature?
- If separate choices are offered, can I approve only the necessary ones?
- Have I checked the service’s disclosures for data handling beyond the permission itself?
- Do I know where to review or remove the connection later?
If you cannot answer these questions, wait before granting access. A useful integration should make its purpose and permission request understandable enough for you to make a deliberate choice.

Frequently Asked Questions
Should I grant an AI assistant access to all my apps during setup?
Usually, no. Connect only the app needed for a feature you intend to use, and consider additional access when you select a feature that requires it. Google recommends incremental authorization in its OAuth guidance, but other services may handle setup differently.
What if I want to approve some permissions but not others?
Some consent flows allow separate choices, while others may present permissions together. Google documents granular choices for certain multi-scope requests; do not assume every assistant or prompt offers them. If you decline a permission, the feature that depends on it may not work.
Does an app permission mean the assistant reads or trains on all my data?
No conclusion about internal data use follows from the permission alone. A scope describes access an authorization system permits; it does not fully explain retention, processing, sharing, or training practices. Check the assistant’s privacy policy and data-use disclosures for those details.

How do I remove an AI assistant’s access to an app?
Look for connected-app or integration settings in the assistant and access or security settings at the account provider. Exact menus vary, so consult the service’s current official help. Disconnecting access may not, by itself, explain how the service handles data it already retained; check its terms and controls.
The Bottom Line
Give an AI assistant access only when you can name the task it supports, and choose the narrowest data and actions that make that task possible. Read the prompt, check the service’s data-use disclosures, and review or revoke connections when you no longer need them.
