For a standard Teams meeting, the attendance report is a CSV file showing who joined, when they joined, and when they left. The report is available to the meeting organizer and, in some cases, co-organizers.
Turn on Allow attendance report before the meeting when possible. You can also enable it after the meeting has started, then download the completed report from the meeting chat about five minutes after the meeting ends.
Before you start: check which Teams event you have
The download steps depend on whether you scheduled a standard meeting or a webinar.

These instructions apply to Microsoft Teams, Teams for Education, and Teams small business. The report is not the same as a meeting recording or transcript: it records attendance activity, not everything that happened in the meeting.

How to turn on the attendance report before a meeting
Enabling the setting before the event is the safest option, because it avoids discovering after the meeting that attendance tracking was disabled.
- Open Teams and select Calendar.
- Select the meeting event.
- Select View event.
- Select Options.
- Under Participation, turn on Allow attendance report.
- Select Apply.
If the option is already on, you do not need to change anything. If you cannot see it, confirm that you are the organizer or an eligible co-organizer and that this is a supported meeting type.
How to enable attendance reporting after the meeting starts
Teams currently lets the organizer enable the report during an active meeting. This is useful if you forgot to set the option in advance.
- Start or join the meeting.
- In the meeting controls, select Controls > View more options.
- Under Participation, turn on Allow attendance report.
- Select Apply.
You can use the same menu to turn the report off. Enabling it late may mean that the report does not contain activity from the portion of the meeting before the setting was enabled, so turn it on before participants arrive whenever possible.
How to download the report after the meeting
For a standard Teams meeting, do not look only on the Calendar page. The current post-meeting route is through the meeting chat.
- Select Chat in Teams.
- Open the chat for the completed meeting or event.
- Open the Attendance tab.
- Select Download.
Teams downloads the report as a .csv file. You can open it in Excel, Google Sheets, LibreOffice Calc, or another spreadsheet application.

The report normally appears in the event chat approximately five minutes after the meeting ends. If it is not there immediately, wait a few minutes, refresh Teams, and check that you opened the correct meeting chat. Every occurrence of a recurring meeting has its own attendance report.
How to download attendance while the meeting is running
You can get a preliminary attendance list without waiting for the meeting to finish:
- In the meeting controls, select People or Show participants.
- In the Participants pane, select More actions.
- Select Download attendance list.
Use the completed post-meeting report as the authoritative version. The in-meeting report can be incomplete when more than 120 people attend, while the post-meeting report contains all attendees.
What the Teams attendance report contains
Depending on the meeting and Teams configuration, the report includes:
- Participant names or identity information as shown by Teams
- First join time and last leave time
- How long participants stayed
- The meeting’s duration
The Attendance tab may also show engagement information such as total reactions, raised hands, and cameras turned on. Microsoft states that engagement reports require a Teams Premium add-on license, so the engagement section may not be available in every organization.
What the report does not include
There are several common reasons why a person or activity may be missing:

- View-only attendees: They are not currently included in the standard attendance report.
- Lobby-only participants: Someone who stayed in the lobby and was never admitted is not included.
- Deleted breakout rooms: Insights from breakout rooms that were deleted are not included.
- Instant channel meetings: Attendance reports are not supported.
A participant placed on hold remains represented in the attendance data for the period they were on hold. For channel meetings, if the active meeting is followed by a second meeting in the same channel conversation, the attendance report is available only for the second meeting.
How to get a webinar attendance report
Webinars use a different report location from standard meetings. After the webinar is complete:
- Open Calendar.
- Select the webinar.
- Select View event.
- Select Manage event.
- Select Attendance.
- Select Download to save the report.
A webinar report can include the event start and end time, total duration, number of attendees, attendee roles, first join and last leave times, and the length of time each attendee stayed. Only the webinar organizer can view the report; co-organizers do not currently have access.

Enable attendance reporting on mobile
- Open Calendar and select the meeting.
- Tap See more.
- Tap Meeting options.
- Under Participation, turn Allow attendance report on or off.
- Tap Save.
Open a completed report on mobile
- Open Chat.
- Open the past meeting chat.
- In the Meeting ended message, tap Attendance.
Microsoft recommends viewing attendance-report data in Teams for desktop or the web. The mobile app may not show the complete dataset, so use the desktop or web version when you need to download, sort, or audit the full report.
Why you cannot see or download the report

| The report is missing after a few minutes | You may be viewing the wrong chat, or you may not be the organizer or an eligible co-organizer. |

| Some people are absent from the file | They may have been view-only attendees, remained in the lobby, or were part of a deleted breakout room. |
| The in-meeting list is incomplete | The meeting had more than 120 participants. Use the completed report instead. |
Only the organizer and co-organizers can normally view or download a standard meeting report. However, co-organizers cannot access reports for channel meetings. Microsoft also states that co-organizers can access reports only for events scheduled in Teams, not events scheduled in Outlook.
If the organizer leaves the organization, the attendance reports are permanently deleted and cannot be retrieved. For important training, compliance, or payroll records, download and store the CSV while the organizer’s account remains active.

Control whether your identity appears in attendance reports
Participants can manage the identity setting that controls how they appear in attendance reports:

- Select Settings.
- Select Privacy.
- Change Identify me in attendance reports.
This setting can affect how a participant appears in the report, but it does not stop the organizer from accessing the report.
How to use the downloaded CSV
After opening the file in a spreadsheet, check the column headings before sorting or editing it. Save an untouched copy first, then make a working copy for tasks such as:
- Filtering participants who joined during a particular time window
- Checking whether someone attended for the required duration
- Comparing attendance across occurrences of a recurring meeting
- Removing unnecessary personal data before sharing the results
Do not treat the report as proof that a person watched every presentation slide or paid attention. It shows Teams presence and join/leave activity, not screen focus or comprehension.

Older instructions may tell you to create a Teams Live event and enable an attendee engagement report. That workflow is obsolete: Microsoft says the Teams live event experience retired on June 30, 2026, with newer event functionality directed toward Teams town halls. Use the current meeting or webinar reporting paths instead of following legacy Live event instructions.

Where is the attendance report after a Teams meeting?
Open Chat, select the past meeting chat, open the Attendance tab, and select Download. The report normally appears about five minutes after the meeting ends.
Can a co-organizer download a Teams attendance report?
Sometimes. Co-organizers can access eligible standard meeting reports, but not reports for channel meetings. They also cannot access webinar reports, and Microsoft lists additional restrictions for events scheduled in Outlook.
Why is someone missing from my Teams attendance report?
The person may have stayed in the lobby without being admitted, joined as a view-only attendee, or participated in a deleted breakout room. The in-meeting list can also be incomplete for meetings with more than 120 participants.
