Send a short, personal note while the roundtable conversation is still fresh. Mention where you met, refer to one specific point you discussed, thank the person, and follow through on anything you promised. Suggest a call only if you have a clear, relevant reason to continue the conversation.
Capture the details before you forget them
After the roundtable, make a quick note of the person’s name, role, organization, where you met, what you discussed, and any action you offered. A simple document is enough; the American Physical Society recommends keeping context that will help you make later outreach personal. APS explains its conference networking advice.
Record a specific detail—not just “met at conference.” For example, note a question they raised, a project they mentioned, or a resource they asked you to send. That detail gives your message a natural opening and helps you keep any commitment.
Choose a channel that fits the exchange

Send a timely, specific note
Follow up promptly, but do not treat a particular hour-count as a rule. The American Physical Society advises reaching out as soon as possible. LinkedIn News reported expert advice in January 2026 to follow up within 24 to 48 hours and personalize the message; that window is practical guidance, not a research-proven cutoff or a guarantee of a reply. A useful message is brief enough to read quickly and specific enough that the recipient can place the conversation. Adapt this structure to your own voice:

- Personal detail: Mention one idea, question, or detail they raised.

Ask for a meeting only when it adds value
A follow-up does not need to become a pitch or meeting request. If the conversation surfaced a shared problem or a worthwhile topic to explore, explain what you would discuss and ask whether a brief call would suit them. The APS suggests a 15- or 20-minute phone or Zoom appointment as an option—not a universal duration or requirement.

Follow through, then give them room
Send promised papers, links, introductions, or other materials in the first message when you can. If an introduction needs another person’s agreement, secure it before connecting people. Keep the note focused on the exchange rather than attaching unrelated materials or turning the message into a broad sales pitch.
If there is no reply, avoid assuming the person is uninterested; they may simply be busy. Any further contact should add a useful reason to reconnect and respect the other person’s cues. The guidance available from APS, UCSF, and LinkedIn News offers general advice rather than a universal etiquette code for every profession, roundtable, or culture, so adjust formality to the setting.
