The safest way to fix a spreadsheet formula is to change the smallest possible piece, after identifying whether the problem is an error value, a wrong reference, text that looks like a formula, or a formatting side effect. Save a copy first, inspect the formula and its inputs, compare it with a working neighbor, then repair and verify both the result and the cell’s appearance.
Excel and Google Sheets use similar reference rules but expose different auditing and paste controls. The steps below separate those applications and explain when to edit in place, fill a corrected formula, undo a structural change, trace a circular reference, or use an assisted suggestion.
Start by identifying what is actually broken
A displayed problem is a symptom, not a diagnosis. Before changing anything, record the application (Excel or Google Sheets), platform (desktop, web, or mobile), workbook or sheet involved, and the exact symptom. These cases require different repairs:

- An error value, such as
#REF!,#VALUE!,#DIV/0!, or#NAME?. - A stale or unexpected number even though the formula is accepted.
- Literal formula text, where the cell shows characters such as
=SUM(A1:A3)instead of a result. - A reference that moved unexpectedly after copying or filling.
- A formatting change—number format, borders, fill, or conditional formatting—after a paste.
- A circular-reference warning, where a calculation depends on itself through one or more cells.
Do not replace a formula merely because its result looks surprising. The inputs may have changed, the source cells may contain text instead of numbers, or the formula may intentionally implement a business rule that is not obvious from the output.

Protect the original before making a repair
For a consequential workbook, save a copy with a new name or confirm that a usable revision/history is available. This gives you a rollback if a repair changes more cells than intended. Work on the copy until the result and appearance have both been checked.
Select the affected cell and read the formula bar, not just the displayed value. Note the row and column, the sheet name, and any external workbook reference. If several cells are affected, identify the smallest contiguous region that shows the same pattern; avoid selecting an entire column or sheet for a one-cell correction.
Inspect the formula text before replacing it
Check the formula marker and syntax
In Excel, a formula normally begins with =. A missing equals sign can leave an expression as text. Also check function spelling, argument separators, balanced parentheses, quotation marks, and operators. In either application, a cell formatted or configured to treat entries as text can display the formula characters rather than calculate them; correct that condition only after preserving the original entry for comparison.
Check sheet names and external references
A sheet name containing spaces or other non-alphabetic characters needs single quotation marks. For example, a reference to cell D3 on a sheet named Quarterly Data is ='Quarterly Data'!D3. A broken external-workbook reference can also produce #REF!; inspect whether the workbook name and sheet portion still exist before rewriting the calculation.
Compare a working neighbor
When one row or column behaves differently, compare the formulas themselves, not only their displayed values. Look for a missing row, a shifted column, a different absolute-reference marker, or a range that stops before the last populated cell. Excel’s consistency checks can flag formulas that differ from nearby formulas or omit adjacent data, but those flags are prompts for review, not proof that the formula is wrong.
Repair common Excel errors at their source
| Symptom | What it indicates | Repair approach |
|---|---|---|
#REF! |
An invalid cell reference, often caused by deleting a referenced cell or overwriting it by pasting. | Undo the structural edit if possible. Otherwise rebuild the reference using the cells that should provide the input. Do not hide the error with a blanket error-suppression formula. |
#VALUE! |
At least one operation may be receiving an incompatible data type, such as text where a number is required. | Inspect the source cells for text, blanks, or unexpected characters before changing the calculation. |
#DIV/0! |
The denominator is zero or blank. | Correct the input or guard the division when that reflects the intended rule. Microsoft’s example is =IF(B1,A1/B1,0); returning zero is appropriate only when zero has the intended business meaning for a missing denominator. |
#NAME? |
A misspelled function, name, or reference syntax. | Check spelling and quote sheet names that contain spaces, for example ='Quarterly Data'!D3. |
| Unexpected total or omitted data | The formula’s range does not include all populated cells, or a neighboring formula uses a different range. | Compare the range with the actual data. A continuous range such as =SUM(A2:C2) can be more resilient to deletion of an interior cell than separately listing individual references, where appropriate. |
When a deletion created #REF!, undoing that deletion is usually safer than guessing what the original address was. If undo is no longer available, reconstruct the intended inputs from labels, neighboring formulas, and the workbook’s structure.
Understand references before copying or filling
Copying a formula changes references according to whether each row and column is relative or absolute:

| Reference | What moves when copied | Typical use |
|---|---|---|
A1 |
Column and row both move. | A calculation that should follow each row and column. |
$A$1 |
Neither column nor row moves. | A single tax rate, exchange rate, or other fixed input. |
$A1 |
Column A stays fixed; row moves. | Copying down while always reading one source column. |
A$1 |
Row 1 stays fixed; column moves. | Copying across while always reading one header or rate row. |
Decide which parts should move before using a fill handle, copy command, or keyboard shortcut. In Google Sheets, pressing F4 while editing a reference cycles through relative and absolute forms on supported desktop configurations. Keyboard behavior depends on the operating system, keyboard, and language.
Change a formula without changing formatting
Edit one destination cell in place
If only one formula is wrong and the existing appearance is correct, edit that cell directly in the formula bar or by pressing the cell’s edit command. This is the lowest-impact method: it changes formula text while leaving the destination’s number format, borders, fill, and existing conditional-formatting setup in place.
Fill a repeated correction carefully
For a column or row of repeated calculations, first correct one representative formula and inspect its references. Then fill down or across only the intended destination range. Confirm that relative references move and locked references remain fixed. Compare the first, middle, and last filled cells with the expected pattern before proceeding to a larger block.
Copy only when the source’s formatting is acceptable
A normal copy-and-paste can transfer more than formula text. Depending on the application and selection, it may bring number formats, borders, fills, and conditional-formatting rules. In Google Sheets, copying and pasting a cell or range that has conditional-formatting rules applies those rules to the pasted area. After a paste, inspect the destination’s visual style and the rules that govern it.

Google Sheets provides a values-only paste shortcut, Ctrl+Shift+V on the documented desktop mapping. It removes formulas and pastes the current results as values, so it is useful for freezing results but is not a formula-preserving fix. Use it only when replacing a calculation with static values is intentional.
Fix circular references separately from ordinary errors
A circular reference occurs when a formula depends on itself directly or through a chain of other cells. It is not the same as a deleted reference. In desktop Excel, open Formulas > Error Checking > Circular References and select each listed address. Use Trace Precedents and Trace Dependents to follow the loop when it spans several cells. A remaining loop can involve another sheet or workbook, so inspect the complete dependency chain.
Some financial and engineering models intentionally use iterative calculation. Do not enable iteration merely to suppress an unexplained warning. First determine whether the loop is part of the model’s design; if it is accidental, move the formula or adjust its references so the dependency terminates at an independent input.

Google Sheets controls that help preserve a repair
Google’s desktop keyboard help documents these mappings, with differences for Mac and ChromeOS:
Ctrl+Z: undo the last edit.Ctrl+D: fill down.Ctrl+R: fill right.Ctrl+Shift+V: paste values only.Ctrl+`~`: show formulas.F4while entering a reference: cycle absolute and relative reference forms on supported configurations.
Use the show-formulas command when a whole region appears wrong; it exposes patterns that are hidden by calculated values. Shortcut mappings can vary by language and keyboard, so use the menus if a key combination does not work.
When conditional formatting is involved, inspect the rule’s references as well as the cell formula. Dollar signs are often needed in a conditional-formatting rule to keep a row, column, or anchor cell fixed. A formula repair that copies a source range can also copy and reposition those rules, changing which cells are highlighted.
A cautious repair sequence for one cell or a small range
- Capture the state. Write down the original formula, displayed result, cell address, and nearby formulas. If the workbook is shared or consequential, save a separate copy.
- Identify the trigger. Note whether the problem appeared after a deletion, paste, fill, sheet rename, data import, or change to an input. A recent structural edit is especially relevant to
#REF!. - Expose formulas. Select the cell and read its formula bar. In Google Sheets, use show formulas for a larger region when individual inspection is insufficient.
- Check dependencies. Inspect every referenced cell, including cells on other sheets and linked workbooks. Verify that the values have the expected type and that a supposedly blank cell is not text or an unintended input.
- Compare the pattern. Check the formula immediately above, below, left, or right. Identify exactly which row, column, or range differs.
- Choose the least disruptive edit. Edit in place for a single formula; fill only a verified pattern; undo and rebuild after a structural error; use tracing for a dependency loop.
- Preserve anchors. Before filling, decide which references need dollar signs. Test the corrected formula in one destination before extending it.
- Inspect appearance. Check number format, decimal places, date or currency display, borders, fills, alignment, and conditional-formatting rules. A visually correct result can still hide a changed rule.
- Validate independently. Compare with a known case or manual calculation, then save a new revision. Keep the original copy until the repaired workbook has been reviewed.
Formatting pitfalls that are easy to miss
Formatting is part of the workbook’s meaning. A percentage formula displayed as a general number, a date rendered as a serial value, or a currency cell losing its symbol can make a correct calculation appear wrong. After changing a formula, compare the repaired cell with an adjacent cell that is known to be correct, but do not blindly copy its formatting if the rows have different purposes.
Conditional formatting needs a separate check because its rules can contain relative and absolute references of their own. A pasted rule may shift to the new location, while a dollar sign may intentionally keep an anchor fixed. Review the rule’s range and formula, not only the color that happens to appear today; different input values can reveal a misplaced rule later.
When a repair involves a whole range, verify the boundaries. A selection that includes a header, subtotal, blank separator, or protected cell can produce a mixed result even when most formulas look correct. Small, explicit selections are safer than selecting an entire column for convenience.
Choose the repair method that matches the change
| Intended change | Preferred method | Main risk to check |
|---|---|---|
| Change one calculation while keeping its appearance | Edit the destination formula in place. | Confirm the edited references and result. |
| Correct a repeated row or column | Fill or copy a verified formula. | Relative and absolute references may move differently; pasted formatting may also spread. |
| Repair a reference broken by deletion or overwrite | Undo the structural edit, or rebuild the intended reference. | Guessing an address can silently use the wrong input. |
| Investigate a dependency loop | Use Excel’s circular-reference list and tracing tools where available. | The loop may cross sheets or workbooks; web and mobile auditing tools are less complete than desktop. |
| Get an explanation or draft correction | Review an assisted formula suggestion, if available. | The suggestion may not match the workbook’s business rule and must be validated. |
Use assisted suggestions cautiously
A Google Workspace Updates announcement dated June 22, 2026 described a Gemini in Sheets capability that can analyze surrounding data structure and suggest an explanation and corrected formula for a formula error. The announcement says: “When you encounter a formula error, Gemini can analyze the surrounding data structure to help provide an easy-to-understand explanation of the core issue alongside a corrected version of the formula.” Availability depends on the reader’s account and rollout status.

Treat any suggestion as a draft. Compare every referenced cell with the intended business rule, test a known example, and inspect the resulting formatting before accepting it. An automatically generated formula can be syntactically valid while still using the wrong range or interpretation.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Verify both calculation and appearance
After the repair, perform an independent check rather than relying on the absence of an error marker:
- Read the final formula and confirm that every sheet, row, column, and range is intended.
- Compare the result with a known example, a manually calculated case, or an independent total.
- Check the first and last cells of any filled range for the expected reference pattern.
- Inspect number format, decimal places, dates, currency symbols, borders, fills, and alignment.
- Review conditional-formatting rules on the repaired area, especially after a copy or paste.
- Recalculate or reopen the workbook if the application indicates pending calculation.
- Save a new revision only after the result and appearance agree with the requirement.
Excel’s error-checking rules can identify common patterns, but they do not guarantee that every worksheet error has been found. A formula can be accepted without an error value and still point to the wrong inputs, omit data, or produce an unintended result.
When to stop and gather more context
The title of a cell alone is not enough to choose a safe repair. Pause before editing when the workbook is shared, externally linked, protected, used for financial or operational decisions, or dependent on intentional iterative calculations. Record the exact formula, the source cells, the application and platform, and what changed immediately before the problem appeared. That information distinguishes a reference failure from a data-quality issue and prevents a cosmetic fix from masking a calculation error.
Frequently Asked Questions
Why does my spreadsheet show the formula instead of the result?
Check that the entry begins with = and that the destination is not treating entries as text. Preserve the original entry, correct the text condition if necessary, and then confirm that the formula calculates.
How do I fix a #REF! error?
Undo the deletion or overwrite that caused the invalid reference when possible. If undo is unavailable, rebuild the reference from the intended cells, labels, and neighboring formulas rather than guessing an address.

What is the safest way to change one formula but keep formatting?
Edit the destination cell in place instead of copying a source cell. Then verify the number format, borders, fill, and conditional-formatting rules.
Why did copying a formula change colors or other formatting?
A normal paste can transfer formats and, in Google Sheets, conditional-formatting rules. Inspect the pasted area’s rules and visual settings, and use a narrower edit when only formula text needs to change.
Is paste values only a way to repair a formula?
No. Google Sheets’ Ctrl+Shift+V shortcut pastes the current results as static values and removes formulas. Use it only when freezing values is intentional.
How do I find a circular reference in Excel?
On desktop Excel, open Formulas > Error Checking > Circular References, select each listed address, and use Trace Precedents or Trace Dependents. The loop may cross sheets or workbooks.
Can an AI suggestion safely replace my formula?
Treat a Gemini in Sheets suggestion as a draft. Check its references against the business rule, test a known example, and review formatting before accepting it; availability depends on the account and rollout.
The Bottom Line
Diagnose before editing: inspect the formula, references, inputs, and neighboring pattern; make the smallest repair; lock references deliberately before filling; and verify both the calculated result and formatting. Undo structural mistakes when possible, trace circular dependencies separately, and treat copied formatting or automated suggestions as changes that require review.
