Start by writing down the exact product specification, quantity, delivery address, and latest acceptable arrival time. Then use the International Foodservice Distributors Association (IFDA) member directory and USDA Agricultural Marketing Service (AMS) Local Food Directories to identify candidates. Treat every listing as a lead—not proof of inventory or delivery—and call to confirm stock, substitutions, timing, minimums, and total delivered cost.
Define what the replacement order must meet
Before searching, separate requirements from preferences so every candidate can be assessed on the same basis. Record:
- Product name and SKU, if available; brand constraints; pack size; grade, cut, or other specification.
- Ingredient and allergen restrictions, temperature state, and any acceptable substitutions.
- Quantity needed and delivery address.
- The latest acceptable arrival time, including any receiving-hour restrictions.
A product that sounds similar may not work for a recipe, labeling requirement, customer commitment, or contract. Identify which specifications are non-negotiable before discussing substitutes.

IFDA distributor members
The IFDA member directory can help identify broadline, custom, convenience, and specialty distributors serving food-away-from-home operations, including institutions. A broadline distributor may suit a basket of products; a specialty distributor may be a better lead for a specific item. The directory is not an endorsement, a guarantee of local coverage, or a live inventory feed. Check each candidate’s own service area and product information, then verify the details directly.

USDA AMS Local Food Directories and food hubs
The USDA AMS Local Food Directories can surface nearby food businesses and wholesale outlets, including regional sources. A food hub may also be worth contacting: AMS defines a food hub as a business or organization that actively manages aggregation, distribution, and marketing of source-identified products from multiple producers to multiple buyers, primarily in local and regional markets. Confirm that a particular hub handles the product, quantity, and delivery arrangement your operation needs; a listing does not establish that it can fill your order.
Referrals through your existing network
Ask your current distributor’s representative, nearby operators, purchasing group, or the manufacturer’s representative for possible leads. Treat referrals the same way as directory results: independently check specifications, available quantity, delivery, and cost. A referral does not guarantee stock or service.

Compare candidates on the details that affect service
Public directory pages do not provide comparable live inventory, prices, or service levels. Ask each candidate the same questions and capture the answers before choosing:
- Can you supply the exact item? If not, what substitute do you propose, and what are its specifications?
- How much is physically available or allocatable for this order?
- What is the order cutoff, and what delivery date can you confirm?
- Does the delivery address fall within your service area?
- What minimum order, delivery fees, or other charges apply?
- What is the total delivered cost?
- What product, handling, or traceability documentation can you provide?
- How long will the quote and availability confirmation remain valid?
Do not treat an online catalog entry as live inventory unless the supplier confirms that status. Stock, delivery capacity, and terms can change, so obtain confirmation for the order you intend to place.

Approve substitutions and document the order
Before ordering a replacement item, have the responsible buyer or food-safety lead review it against recipe, allergen, labeling, customer, contract, and applicable food-safety requirements. Confirm that the offered pack size and quantity will work operationally, not just that the product name is similar.
Keep the supplier’s confirmation and product and lot information with purchasing records. USDA FSIS provides food-defense resources for transporters, warehouses, distributors, retailers, and restaurants; these resources address food integrity through the supply chain, but do not establish a universal supplier-approval checklist. Why public shortage information may not settle the question
The FDA says manufacturers of most food products generally are not required to notify the agency about supply disruptions in most cases. As a result, the absence of a public notice is not evidence that supply is normal. For the same reason, a directory listing cannot answer whether a distributor has your item available now: direct confirmation from the candidate is essential. Use the right USDA route for the buyer
USDA AMS’s approved-vendor procurement system serves USDA food programs through a competitive process. It is a specialized institutional procurement route, not a general emergency spot-buy directory for a restaurant seeking a replacement supplier.

Make the next stockout easier to handle
After the immediate shortage, tell the original supplier whether the backup purchase is temporary or may affect future volumes. Record the backup supplier’s contact, item mapping, last verified delivery area, and date checked. Reconfirm stock and terms the next time you need the supplier; directory records, inventory, and delivery capacity can change.
