“Export tasks to calendar” can mean four different workflows, and only some of them put a task into a calendar at a specific start time for a set length. To get a true time block, use a native integration (Todoist with Google Calendar or Outlook Calendar), drag an Outlook To Do task into a calendar slot, or let an automatic scheduler such as Motion place blocks for you. A Todoist calendar feed shows scheduled tasks but only pushes them one way and refreshes on the receiving app’s schedule. A Google Tasks archive export is a data file, not a calendar.

Start by choosing what “export” means

The table below compares the four workflows people usually mean when they search for this. The column that matters most for time-blocking is whether the task becomes a timed event with a start and end.

Workflow Creates timed calendar events? Sync direction Refresh Recurring tasks
Todoist native integration (Google Calendar or Outlook Calendar) Yes, when the task has a future date, time and duration Tasks sync to the calendar; calendar events are shown in Todoist. Whether every edit flows back both ways is not stated on Todoist’s help page. Not stated Generally sync as recurring events; some patterns sync one occurrence at a time
Todoist calendar feed (account or project feed) Shows as events: all-day for date-only tasks, one hour for date-and-time tasks without a duration, the set duration otherwise One-way subscription from Todoist into the calendar app Set by the receiving calendar app; Todoist’s help page says from about every five minutes to once per day Only the first seven occurrences are shown at a time
Outlook To Do, dragged onto a calendar slot (new Outlook and Outlook on the web) Yes, one event is created from the dropped task Creates an event from a task; whether the link stays live is not stated in Microsoft’s instructions Not stated Not stated
Motion scheduled tasks (Google or Outlook main calendar) Yes, as task time blocks in the connected main calendar Tasks flow from Motion to the calendar only; calendar events can sync both ways Not stated Not stated
Google Tasks archive export No One-time file download, not a sync Not applicable Recurrence data is included as a field in the file

Pick the workflow that matches your goal:

  • You want tasks to appear as timed blocks in Google Calendar or Outlook Calendar and stay connected to Todoist: use the Todoist native integration.
  • You only want to see scheduled tasks in Apple Calendar or another calendar app: use the Todoist calendar feed.
  • You want to place a few specific Outlook To Do tasks by hand: drag them from My Day.
  • You want software to choose the times for you: use Motion, and accept that task edits are one-way.
  • You need a copy of your task records: use the Google Tasks archive export. It will not put anything on your calendar.

A due date is not a time block

A due date marks the day something must be finished. A time block needs a start time and a duration, so the calendar can show when the work is meant to happen. A task can have a due date and still have no slot in your calendar. Microsoft’s general To Do instructions cover due dates, reminders and repeat schedules; those organize tasks but do not place them in a calendar time slot. The workflows below all require you to supply the time somewhere.

Todoist native integration with Google Calendar or Outlook Calendar

This is the most direct route when your task manager and calendar are both supported. Todoist’s native integration can show Google or Outlook calendar events inside Todoist and sync time-blocked tasks out to the connected calendar. Only one calendar provider can be connected at a time.

  1. Open Todoist settings and choose Calendars.
  2. Connect Google Calendar or Outlook Calendar.
  3. Enable Sync tasks to calendar.

What syncs and what does not

  • Timed tasks need a future date, a time and a duration. Without all three, the task will not appear as a timed event.
  • Date-only tasks need “Sync all-day tasks” turned on. Leave it off if you only want timed blocks in the calendar.
  • The first sync is broader than you might expect. It includes tasks from yesterday, tasks due today, and future scheduled tasks.
  • Adding an event to the Todoist calendar does not create a Todoist task. Calendar-side events and tasks are separate objects.
  • Recurrence has limits. Recurring tasks generally sync as recurring events, but unsupported patterns are represented one occurrence at a time. Rescheduling only the current occurrence does not change the recurring event in the calendar.

Plan availability

Todoist’s “Use the Calendar integration” help article, last updated September 4, 2026, lists the native integration on Beginner, Pro and Business plans, and the calendar layout on Pro and Business only. Plan names and feature limits change, so confirm them on Todoist’s help page before you upgrade or rely on a feature.

Todoist calendar feed for visibility without a live connection

Todoist also publishes calendar feeds. The account feed contains scheduled tasks from all projects. Each project feed creates a separate calendar for that project. Use the feed when you need to see scheduled work next to your other events, not when you need to edit tasks from the calendar.

  1. Copy the account feed from Todoist’s web or desktop settings.
  2. In Google Calendar, Outlook Calendar or Apple Calendar, add a subscription using the app’s option to subscribe by internet URL, and paste the feed address.

Once subscribed, the feed follows these rules, as stated in Todoist’s “Add a Todoist calendar feed” help article (last updated August 28, 2026):

  • Date-only tasks appear as all-day events.
  • Tasks with a date and time, but no duration, default to one-hour events.
  • Tasks with a set duration use that duration.
  • Completed tasks are removed from the feed.
  • Refresh timing belongs to the calendar app. A change in Todoist may not appear immediately.

Treat the feed as a one-way view. It is not a substitute for the native integration when you need time blocks to stay in step with your task list.

Outlook To Do: drag a task onto your calendar

In new Outlook and Outlook on the web, you can turn a To Do task into a calendar event by dragging it onto a time slot. Microsoft’s “Drag a task to your calendar with To Do in Outlook” support page lists the Outlook versions where this applies, so check that list if you use another client.

  1. Open Calendar.
  2. Display My Day.
  3. Choose the To Do tab.
  4. Drag the task to the desired time on the calendar.

Dropping the task creates an event. Check the event’s length after you drop it, because the support page does not describe how the duration is set. Do this for specific one-off tasks; it is not a bulk method for a whole list.

Motion: automatic placement with one-way task sync

Motion distinguishes calendar events from tasks. Calendar events can sync in both directions. Tasks that Motion schedules appear as time blocks in your connected main Google or Outlook calendar, but that flow is one-way for tasks. Creating or editing a task in the external calendar does not change the task in Motion, and moving a block in the calendar does not update the Motion task.

In practice, if you drag a Motion block to a new time, Motion’s schedule stays where it was until you reschedule the task inside Motion. Make changes in Motion, not in the calendar. Motion’s help page on scheduling models, accessed October 2026, does not show a publication date, and it does not state refresh timing.

Google Tasks archive export: records, not calendar blocks

Google’s “Export your data from Google Tasks” help page describes downloading an archive of your task data. The archive includes fields such as task titles, due dates, descriptions, recurrence data, IDs, list fields and timestamps. Deleted data cannot be exported.

The archive is for records or for use in another service. It does not create calendar events, and it is not a live link. If your goal is precise time-blocking, use one of the workflows above instead.

Troubleshooting checklist

  • A Todoist task is missing from the calendar. Confirm it has a future date, a time and a duration. If it is date-only, check that “Sync all-day tasks” is enabled.
  • A task has a due date but lands at an unexpected time or length. The due date does not set a time block. Add a start time and duration in the task itself, or use the calendar workflow that places it manually.
  • A subscribed feed does not show a recent change. Wait for your calendar app’s refresh cycle. If you expected tasks from every project, check that you subscribed to the account feed rather than a single project feed.
  • A recurring task has gaps or one occurrence does not match. Check whether the pattern is supported. Rescheduling the current occurrence does not update the recurring event.
  • A change in the calendar did not reach the task app. For Motion task blocks, this is expected. Reschedule in Motion. For Todoist, test one edit on a single task before relying on calendar-side changes.
  • The events do not appear at all. Confirm the connected or subscribed calendar is visible in your calendar app’s list.
