Outlook has two different calendar-export methods, and they produce very different files:
- ICS: a portable snapshot of calendar events. Use it when you want to move or share calendar entries with another calendar app.
- PST: an Outlook data file that can contain mail, Calendar, Contacts, and Tasks. Use it when you need an Outlook archive or a broader mailbox export.
The steps also depend on whether you use classic Outlook for Windows, new Outlook for Windows, or Outlook for Mac.
Choose the right Outlook calendar export method

Export an Outlook calendar as an ICS file in classic Outlook
Use this method in Outlook for Microsoft 365, Outlook 2024, or Outlook 2021 for Windows when you need a standalone calendar file.

- In the calendar list, select the calendar you want to export. This can be an additional calendar, not only the default Calendar folder.
- Select File > Save Calendar.
- Keep the suggested filename or enter a different name in File name. Outlook will save the file with an
.icsextension. - To control how much data is exported, select More Options.
- Under Date Range, choose a preset range or select Specify dates and enter the start and end dates.
- Under Detail, choose how much event information to include.
- Select OK, choose the destination, and save the file.
The resulting ICS file is a snapshot. If you edit, add, or delete an event in Outlook later, the saved file does not update automatically. Export the calendar again when you need a newer copy.

Why an ICS export can be slow or large
Choosing a very broad date range—or an option such as Whole calendar—can produce a large ICS file and take longer to generate. If the recipient only needs this year’s appointments, use a specific date range instead.
Export an Outlook calendar to a PST file
A PST export is not calendar-only. In classic Outlook, selecting an account-level root and leaving Include subfolders enabled can export that account’s Inbox, Calendar, Contacts, Tasks, and other folders.
This procedure applies to Outlook for Microsoft 365, Outlook 2024, Outlook 2021, Outlook 2019, and Outlook 2016.

- Select Open & Export > Import/Export.
- Select Export to a file, then select Next.
- Select Outlook Data File (.pst), then select Next.
- Select the email account containing the calendar you want to export.
- Make sure Include subfolders is selected. This is what includes folders such as Calendar, Contacts, and Tasks below the selected account.
- Select Next.
- Select Browse, choose the destination folder, enter a name for the PST file, and select OK.
- If you are exporting into an existing PST, choose the required behavior under Options for items that already exist.
- Select Finish.
- If Outlook displays Create Outlook Data File, enter and verify an optional password, then select OK. Confirm it again in Outlook Data File Password if prompted.
Exporting creates a copy. It does not remove the calendar, messages, contacts, or tasks from Outlook.
What a PST export does not preserve
A PST is useful for data, but it is not a complete copy of your Outlook setup. Microsoft says a PST export does not include folder metadata such as:
- Folder views
- Folder permissions
- AutoArchive settings
- Message rules
- Blocked-senders lists
Prevent missing older calendar items during a PST export
The export wizard can only export data that Outlook has available. Cached Exchange Mode may limit the local data set. Microsoft notes that the default cache contains the past 12 months; older items may therefore be missing from a PST export unless you change the synchronization settings first.
Before exporting, check the account’s synchronization setting:

- Open File > Account Settings > Account Settings.
- On the Email tab, select the account and choose Change.
- In the account settings, move the mail-to-keep-offline slider to All, if that option is available.
- Allow Outlook time to download the older data.
- Run the PST export again.
Microsoft also describes the path as Account settings > Account Name and Sync Settings. The exact labels can vary by Outlook build and account type.
Check these PST export failure points
- Wrong account selected: if Outlook has several accounts or mailboxes, verify the account root before continuing. Selecting the wrong root exports the wrong Calendar folder.
- Include subfolders disabled: the export may omit the Calendar folder beneath the selected account.
- Reusing an old PST filename: Outlook can prepopulate the previous location and filename. Check the destination carefully to avoid overwriting or confusing the new export with an older one.
- OneDrive destination: do not save an active PST in a OneDrive-synchronized location. Synchronization can create file-in-use or other Outlook data-file problems.
Export a PST from new Outlook for Windows
New Outlook for Windows now provides a PST export workflow, although PST support remains partial.
- Open Settings.
- Select Files > Export.
- Select Get started.
- In the export wizard, choose the mailbox or specific folders to export.
- Complete the wizard and save the PST to a local destination.
New Outlook can export emails, calendars, contacts, and tasks to a PST. However, Microsoft currently says that calendar and contact items stored in a PST are not available for use in new Outlook. New Outlook also does not support importing a mailbox or calendar from a PST into a mailbox. For PST calendar restoration, use classic Outlook.
Import an ICS calendar into new Outlook
If you already have an ICS file, new Outlook for Windows provides an import option:

- Select Add calendar > Upload from file.
- Select Browse and choose the ICS file.
- Under Select a calendar, choose the destination calendar.
- Select Import.
Microsoft states that importing events from an ICS file in new Outlook is supported only for Microsoft 365 Exchange accounts.
Import a PST calendar using classic Outlook
Use classic Outlook when you need to restore calendar data from a PST into a Microsoft 365 mailbox.
- Select File > Open & Export > Import/Export.
- Select Import from another program or file, then select Next.
- Select Outlook Data File (.pst), then select Next.
- Select Browse and locate the PST file.
- Choose how Outlook should handle duplicate items, then select Next.
- Enter the PST password if Outlook requests it, then select OK.
- Select the Microsoft 365 mailbox if you want to import into that mailbox. Alternatively, select Import items into the current folder.
- Select Finish.
If the target is a Microsoft 365 mailbox, a temporary loss of internet connectivity may cause Outlook to say that it is trying to connect to Microsoft 365. Microsoft says the import continues after the connection is restored.

Export or publish a shared calendar
Classic Outlook lets you select additional calendar folders before choosing File > Save Calendar. For shared or delegate calendars, first make sure the calendar is visible and that you have permission to access its items.

New Outlook handles publishing separately from downloading a local export. To publish a calendar:
- Open Calendar.
- Select the View tab.
- Select Calendar settings > Calendar > Shared calendars.
- Under Publish a calendar, select the calendar and the permission level.
- Select Publish.
- Copy the generated HTML or ICS link.
An HTML link lets people view the calendar in a browser. An ICS link lets a calendar application subscribe to it. Neither is the same as a one-time local ICS file saved through classic Outlook, and publishing may expose calendar information to anyone who obtains the link.
Shared or delegate calendars may not appear immediately in new Outlook. Select Show all in the calendar list and look under People’s calendars.
Export an Outlook calendar on Mac
Microsoft’s documented legacy Outlook for Mac export creates an Outlook for Mac Data File with an .olm extension. It does not provide the Windows .pst workflow or a standalone ICS calendar export in that procedure.

- In legacy Outlook for Mac, select Tools > Export.
- In Export to Archive File (.olm), select the items to export.
- Select Continue.
- In Save archive file as, select Where, or choose Downloads under Favorites.
- Select Save.
- When the export finishes, select Finish.
If Export is missing, update Outlook through Outlook Help > Check for Updates. If Outlook is fully updated and the command is still absent, check the Outlook File menu. Microsoft says support for legacy Outlook for Mac ends in October 2026.

FAQ
Does exporting an Outlook calendar delete it?
No. Both ICS and PST export create copies. The original calendar and its events remain in Outlook.

Does an ICS export stay synchronized with Outlook?
No. An ICS file created with File > Save Calendar is a snapshot. Later changes in Outlook are not written to that file.
Can I export only the calendar to a PST?
The classic Outlook PST wizard exports the selected account or folder structure. If you select the account root with Include subfolders enabled, the PST can contain mail, Calendar, Contacts, Tasks, and other folders. For a portable calendar-only file, use ICS.
Why are older appointments missing from my PST?
Cached Exchange Mode may have downloaded only a limited period locally. Microsoft says the default cache contains the past 12 months. Set the synchronization range to All, allow Outlook to download the older data, and export again.
Can new Outlook import a calendar from a PST?
No. New Outlook can export some data to PST, but Microsoft currently does not support importing a PST calendar into a mailbox there. Use classic Outlook for the import.
Is a published ICS link the same as an exported ICS file?
No. An exported ICS file is a local snapshot. A published ICS link is a subscription address that calendar applications can use to retrieve the published calendar.
The Bottom Line
Use File > Save Calendar in classic Outlook when you need a portable .ics snapshot. Use the Import/Export wizard for a broader .pst archive, and use classic Outlook when restoring a PST calendar into a Microsoft 365 mailbox. New Outlook can now export PST files, but its PST calendar support and import capabilities remain limited.
