The reliable pattern is simple: select a bounded, recent slice of the log; add enough context to identify its source and selection rule; send that text through an SMTP-capable script or a configured local mail agent; then schedule the notifier and record its own failures separately. For a plain text log, a shell pipeline can be as short as tail -n 50 /path/to/app.log | mailx -s 'Recent errors' you@example.com. A Python script is better when you need authenticated SMTP, journald input, filtering rules, size limits, or structured diagnostics.
What the notifier should do
An error-log email is an extraction-and-delivery job, not a second logging system. Every run should answer five questions in the message itself:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Which host produced the alert?
- Which file, journal unit, or other source was read?
- How many lines, or what time window, was selected?
- Was a severity or text pattern such as
ERRORorCRITICALapplied? - Did the sender complete successfully?
Always bound the excerpt. “Everything since the last run” can grow without limit when a service enters a failure loop, while “the newest 50 matching lines” remains predictable for a recurring alert. Set a maximum message size as an additional guard, especially when stack traces or repeated exceptions can make individual records large.
Choose the log source first
| Source | Typical query | Important qualification |
|---|---|---|
| Plain-text application log | tail, then grep or awk |
The path, rotation scheme, encoding, and read permissions belong to the application deployment. |
| systemd journal (journald) | journalctl with a unit, time bound, or line count |
The account running the scheduler must be allowed to read the relevant journal entries. |
| Traditional syslog text file | tail plus a severity or service filter |
Locations differ: Debian-based systems commonly use /var/log/syslog; RHEL-based systems commonly use /var/log/messages. |
| Windows or cross-platform PowerShell workflow | Get-Content -Tail for a file, or a journal query when PowerShell is writing to journald |
Mail transport and scheduler capabilities vary by the PowerShell edition and host policy. |
Microsoft documents that PowerShell can write to the systemd journal through journald and that journalctl --grep powershell can search those entries. Treat that as a source-query detail; the final formatting and delivery stage can be shared with the plain-file workflow.

Define a selection rule that cannot surprise you
Newest N lines
Use a fixed count when the recipient needs a quick snapshot after each run. “Last 50 lines” includes informational records if they occur after the latest error, so state that rule in the message. If you need only failures, filter the tail result and then cap the filtered output as well; otherwise a burst of old matching records can still produce a large email.
Severity or text filtering
For unstructured files, a case-sensitive regular expression such as ERROR|CRITICAL|FATAL is a convention, not a universal standard. Check the application’s actual spelling and capitalization. Structured logging may encode levels differently, and a word in a request payload can be a false positive. Include the pattern in the header so the recipient knows exactly what was searched.
Time windows and journal units
For journald, a unit or time window is often more meaningful than an arbitrary file tail. Query the service unit and cap the number of records, or query a bounded interval and then apply a pattern. Keep the host’s timezone and the displayed timestamp explicit; UTC in the notification header avoids ambiguity when machines and recipients are in different zones.
No-match behavior
Decide whether an empty match is a successful “all clear” run or a reason to suppress mail. Suppression is usually quieter for frequent schedules; an explicit “no matching lines” message is useful when testing the setup. Whichever policy you choose, implement it deliberately and document it in the script rather than relying on a pipeline’s exit status.

tail -n 50 /path/to/app.log | mailx -s "Recent errors on HOST" you@example.com
Replace HOST, the path, subject, and recipient. mailx sends the standard-input body to the mail-delivery software; its option names, authentication support, and configuration differ between implementations. Do not assume that a command that works on one Unix distribution accepts the same flags on another, and do not put an SMTP password in the command line.

A safer reusable shell script
The following template makes the source, pattern, line limit, and empty-match policy visible. It also writes a separate local record for failures. The temporary file is removed on exit, and the body is capped before delivery.
#!/bin/sh
set -eu
LOG_FILE='/var/log/myapp/app.log'
RECIPIENT='you@example.com'
LINES=50
PATTERN='ERROR|CRITICAL|FATAL'
HOST=$(hostname -f 2>/dev/null || hostname)
TMP=$(mktemp)
trap 'rm -f "$TMP"' EXIT
if [ ! -r "$LOG_FILE" ]; then
printf '%sn' "Cannot read $LOG_FILE" >&2
exit 2
fi
{
printf 'Host: %sn' "$HOST"
printf 'Source: %sn' "$LOG_FILE"
printf 'Selection: newest %s lines, matching /%s/n' "$LINES" "$PATTERN"
printf 'Generated (UTC): %snn' "$(date -u '+%Y-%m-%dT%H:%M:%SZ')"
tail -n "$LINES" "$LOG_FILE" | grep -E "$PATTERN" || true
} > "$TMP"
if ! grep -qE "$PATTERN" "$TMP"; then
printf '%sn' 'No matching lines in the selected tail.' >> "$TMP"
fi
# Keep the alert body below a local policy limit.
head -c 200000 "$TMP" | mailx -s "Recent errors on $HOST" "$RECIPIENT"
The header line that contains the pattern also matches the regular expression in the simple no-match test, so production code should test the extracted section separately if the distinction matters. A robust variation writes the filtered lines to a second temporary file, checks that file, and then constructs the header and body. That avoids treating metadata as a match.
Handling pipelines and permissions
With set -e and a pipeline, grep‘s normal “no matches” status can terminate the script unless it is handled intentionally, as in the template. The account used by cron may not be the account you use interactively; verify read access to the log and permission to invoke the local mail command. Log rotation can replace the path between runs, so select the path or journal unit that your service actually maintains.
Journald and syslog variants
Journald
A bounded journal query can feed the same body-building and delivery code:

journalctl --unit myservice --no-pager -n 50
To narrow the result, add a time bound or apply a separate filter stage. For example, query the unit, pipe the output through a pattern filter, and preserve the unit and query rule in the header. If the service is not known by unit name, a journal search such as journalctl --grep powershell can locate entries containing that text, but a broad text search should not be mistaken for a severity filter.
Syslog text files
On a Debian-based system, the relevant file may be /var/log/syslog; on a RHEL-based system it may be /var/log/messages. Use the actual path on the host, then select a tail and filter by the service name or severity marker. Include the path in the subject or first lines of the message, because two machines can use different syslog layouts. If the account cannot read the file, grant the narrowest read permission that meets your policy rather than running the whole notifier with unnecessary privileges.
Python implementation with authenticated SMTP
Python is a good fit when one standard-library program must read the source, apply a deterministic rule, format context, and deliver through an authenticated relay. The official Python Logging HOWTO describes levels from DEBUG through CRITICAL, handlers that dispatch records to destinations, and SMTP-capable handlers. Its example summarizes the design this way: “An application may want to send all log messages to a log file, all log messages of error or higher to stdout, and all messages of critical to an email address.”
The script below reads a plain-text file, keeps the newest bounded set of matching lines, adds UTC and host metadata, enforces a byte limit, and uses an SMTP connection with an explicit timeout. It expects the scheduler to provide secrets through protected environment variables or an equivalent secret store rather than through arguments.

Adapting the Python script
- Selection: The deque bounds the number of matching lines, not the number of raw lines scanned. If the requirement is strictly “the newest 50 raw lines, then filter,” read a bounded tail first or change the algorithm accordingly.
- Source: Replace the file reader with a
subprocess.runcall tojournalctlwhen the source is journald. Pass arguments as a list, set a timeout, and capture standard output; do not build a shell command by concatenating untrusted text. - SMTP: Set the relay host and port for your organization. STARTTLS, credentials, and certificate policy are deployment decisions; a local relay may require none of them, while an authenticated relay generally requires them.
- Secrets: Environment variables are preferable to command-line arguments because process listings can expose arguments, but the scheduler and operating system must still protect the environment and any secret file.
- Failure handling: The exception must reach a notifier-specific log or monitoring channel. If the program reports only inside the email it failed to send, the failure is invisible.

PowerShell can perform the extraction stage on Windows or on a Linux host where the log is a file. A basic bounded selection is:

Do not copy SMTP credentials into a script committed to source control. When PowerShell is writing to journald, query that journal with journalctl and pass the captured text to the same message-building and delivery policy rather than assuming a Windows event-log path.
Scheduling without creating a second outage
Cron
After testing interactively with the same account that will run the job, a cron entry might be:
*/5 * * * * /usr/local/sbin/email-errors.sh >> /var/log/log-notifier.log 2>&1
The five-minute interval is only an example; choose one that matches the incident’s urgency and the expected mail volume. Use absolute paths, set the required environment explicitly, and redirect standard output and errors to a notifier-only log. If a run can take longer than the interval, add a lock such as flock or use a scheduler facility that prevents overlapping instances.

A service unit can run the Python or shell program, while a timer controls its cadence. Keep SMTP settings and secrets in a protected environment file or credential mechanism, not in a world-readable unit. Configure the service’s standard output and error to a dedicated local destination so a delivery failure is distinguishable from the application errors being reported.
Task Scheduler
On Windows, create a scheduled task that runs the PowerShell script under an account with read access to the selected log and access to the approved mail transport. Set an explicit working directory or use absolute paths; scheduled tasks do not necessarily inherit your interactive profile, mapped drives, or environment variables.

Make delivery failures observable
There are two independent streams of evidence: the application log you are reporting and the mail path used by the notifier. Keep them separate. If the script exits successfully but the message never arrives, inspect the local mail-delivery agent, relay response, spam or quarantine handling, and the recipient address. Sendmail’s operations documentation records mail activity through syslog using the LOG_MAIL facility, so the MTA or mail-facility records can show whether a message was accepted, deferred, or rejected. On systems using text syslog, that evidence may be in /var/log/syslog or /var/log/messages, depending on the distribution.
Use an explicit SMTP timeout. Without one, a network or relay problem can leave a scheduled process hanging and allow later runs to overlap. Record the exception, destination host and port, and run timestamp in a notifier-only log, but do not record passwords or full message bodies when they may contain secrets.
Shell, Python, and PowerShell compared
| Decision point | Shell with mailx/sendmail | Python | PowerShell |
|---|---|---|---|
| Plain-file tailing | Excellent with tail, grep, and awk |
Flexible; can stream or bound in code | Convenient with Get-Content -Tail |
| Journald input | Direct through journalctl |
Direct through journalctl subprocess or a journal library |
Use journalctl when PowerShell is on a journald host |
| Filtering and time windows | Strong, but pipeline exit statuses need care | Strong regular-expression and structured logic support | Strong object and pattern filtering |
| SMTP authentication | Depends on the mailx variant or local MTA | Explicit with smtplib, TLS, and login |
Depends on the available cmdlet, module, and policy |
| Secret handling | Use MTA configuration or protected files; never command arguments | Use protected scheduler-managed secrets or environment | Use the host’s approved secret and mail mechanisms |
| Scheduler integration | Natural with cron and systemd | Works with cron, systemd timers, and Task Scheduler | Natural with Task Scheduler and also usable from cron/systemd |
| Delivery-failure visibility | Rely on command status plus MTA and notifier logs | Can emit structured exceptions and local records | Use task history, script exit status, and transport logs |
| Best fit | A host that already has a working local mail agent | Authenticated relay, multiple source types, and detailed policy | Windows-centric operations or teams standardizing on PowerShell |
Common failure modes and fixes
The script runs manually but not from the scheduler
Compare the effective user, environment, working directory, and PATH. Replace relative paths with absolute ones, provide SMTP variables explicitly, and test read permission against the same account. Capture standard error in a separate notifier log.
The email body is empty
Check whether the pattern matches the application’s actual level spelling, whether you filtered the newest raw lines before older matches, and whether the source rotated or moved. Print the selected source and pattern in a test message. Treat “no match” as an intentional state rather than as an unexplained pipeline failure.
Messages are truncated or rejected
Reduce the line count, filter before formatting, and enforce a byte limit. Preserve the fact that clipping occurred in the body. Large stack traces may need a link to a secured log viewer instead of being copied into every alert, but do not invent such a link if your deployment has none.
Mailx reports success but nothing arrives
Mailx may have handed the message to a local mail-delivery agent without proving final delivery. Inspect the MTA’s mail-facility records, relay response, recipient spelling, and quarantine or spam controls. If the host has no configured MTA, use an authenticated SMTP path or configure the approved local relay.

Quick Recap
A practical rollout checklist
- Identify whether the source is a plain file, journald, or syslog, and record its real path or unit name.
- Choose the exact rule: newest raw lines, newest matching lines, a time window, or a combination.
- Set a line limit and a byte limit; decide what an empty match means.
- Add host, source, UTC generation time, pattern, and selection rule to every message.
- Choose shell and a local mail agent when the host already provides reliable delivery; choose Python and SMTP when authentication or richer policy is needed.
- Keep secrets out of command arguments and source control.
- Test unreadable files, rotated logs, no matches, oversized output, invalid recipients, unavailable relays, and slow relays.
- Schedule with absolute paths and a notifier-only log; prevent overlapping runs.
- Verify the MTA or SMTP relay’s records separately from the application log.
- Revisit the rule when the application’s logging format or deployment changes.
