You can download a Microsoft Teams meeting recording without being the organizer, but attending the meeting is not enough by itself. The recording is a file in the organizer’s OneDrive or the team’s SharePoint site, and its sharing permissions control whether the Download command appears.
If you can watch the recording but cannot download it, the organizer—or someone with permission to manage the file—must share it with download access. There is no supported Teams setting that lets an attendee bypass a download restriction.
Download a Teams recording from a meeting chat
Use these steps for a regular scheduled or ad hoc meeting that was not held in a channel:

- Select Chat.
- Open the chat for the past meeting.
- Select the Shared tab.
- Find and select the meeting recording.
- Select More options (…) next to the recording.
- Select Download.
Depending on your Teams version, selecting the recording may open it in Microsoft 365’s web video player or OneDrive. If it opens in a browser, use the file’s Download command there.

Download a recording from a Teams channel
Channel meeting recordings are stored in the team’s SharePoint site rather than the organizer’s personal OneDrive.
- Open Teams.
- Select the relevant team.
- Open the channel where the meeting took place.
- Select Shared or Files, depending on the interface shown.
- Open the Recordings folder if necessary.
- Select More options (…) beside the recording.
- Select Download.
If you can play the channel recording but cannot download it, the team’s SharePoint permissions or a Teams meeting policy may be blocking downloads. A team or Microsoft 365 administrator may need to change the policy.
Why you may not see Download
Teams recording access is based on the file’s permissions, not simply on whether you attended the meeting. A normal meeting recording is usually saved in the organizer’s OneDrive Recordings folder. A channel meeting is saved in the channel’s SharePoint Recordings folder. A one-to-one or group call is generally saved in the OneDrive of the person who selected Record.

The exact labels can vary slightly between Teams, OneDrive, and SharePoint. A view-only link normally allows downloading unless the owner enabled Block download or Can’t download.
Ask the organizer to enable downloading
If the button is missing, ask the organizer to share the recording directly with your work or school email address. The organizer can do this from OneDrive:

- Open OneDrive in Teams.
- Select My files.
- Open the Recordings folder.
- Find the meeting recording.
- Select Share.
- Enter your name or work email address.
- Open the permission control.
- Choose Can view or Can edit.
- Make sure Can’t download or Block download is not enabled.
- Select Apply, then select Send or Copy link.
Can view is normally the safer choice because it allows you to watch and download the recording without allowing you to change, move, or reshare the file. Can edit also allows downloading, but gives you broader control over the file.
The organizer can also share the file from Teams by opening the meeting chat, selecting Shared, choosing More options (…) next to the recording, and selecting Copy link. They must then use the link settings to grant you access that permits downloading.
What if you are a co-organizer?
Co-organizers generally have elevated permissions comparable to the organizer and can usually manage and download the recording. However, access can differ if the file was stored under a Teams Rooms account, shared mailbox, special service account, or a restricted SharePoint site.
Being a presenter is different. Presenter status may allow someone to start or stop a recording in some meeting configurations, but it does not automatically grant download rights to the finished video.
Guests and external attendees
Guests and people outside the organizer’s organization may be able to attend or watch a recording without receiving automatic file access. Ask the organizer to share the recording directly with your email address.
External sharing may be disabled by the organization’s Microsoft 365 policies. In that case, the organizer may be unable to grant access to an outside address and will need to provide the file through an approved alternative.

Common problems and fixes
You can watch the recording but cannot download it
You probably have viewing permission with downloads blocked, or your account has a restricted permission level. Ask the organizer to share the file with Can view without Can’t download, or with Can edit if you genuinely need editing rights.
The recording is not in the meeting chat
The file may still be processing. For a channel meeting, check the channel’s Shared or Files tab and its Recordings folder. For a regular meeting, the recording is normally in the organizer’s OneDrive, so ask the organizer for a direct link.
The organizer did not attend
The organizer normally remains the owner of a scheduled meeting’s recording even if they were absent. Ownership does not normally transfer to the person who pressed Start recording.

The recording failed to upload
If the organizer, co-organizers, or recording initiator do not have usable OneDrive storage, or a storage quota is full, Teams may hold the recording temporarily in asynchronous media storage. The organizer must download it, and Microsoft Learn says it may be deleted after 21 days if it is not downloaded.
The recording expired
Recording expiration is controlled by organizational policy. Microsoft Learn’s current administrator documentation lists 120 days as the default, although an administrator can configure a different period. Watching the recording does not reset its expiration date.
Captions are missing from the downloaded video
Captions are not embedded in the downloaded recording. They can be displayed during playback in Teams or the Microsoft 365 video player, but Microsoft says they are not captured in the recording or its download.

Teams Free and personal accounts
The instructions above apply mainly to Microsoft Teams for work or school. Teams Free and personal accounts handle recordings differently.
In Teams Free:
- The recording appears in the meeting chat.
- Participants can select Download below the recording’s date and time.
- The recording is retained for 30 days, according to Microsoft Support’s guidance for Teams Free.
- A participant with a qualifying Microsoft 365 personal subscription can start or stop the recording.
- Participants without the required subscription cannot start or stop it.
If your account is a personal Teams account, open the meeting chat and look directly below the recording for Download rather than using the work-or-school OneDrive permission workflow.
Do not rely on outdated Teams recording advice
Current work-or-school Teams recordings are stored in OneDrive or SharePoint. Older instructions may tell you to look in a separate Microsoft Stream location, but that is not the normal storage path for current Teams meeting recordings.
It is also inaccurate to say that only the person who started the recording can download it. Scheduled meeting recordings normally belong to the organizer, and co-organizers or other users can download them when the file permissions allow it. Conversely, not every attendee can download a recording just because they attended.

Can an attendee download a Teams meeting recording?
Yes, if the recording’s OneDrive or SharePoint permissions allow downloading. Attendance alone does not guarantee a Download button.

Open Teams, go to Chat, open the past meeting chat, select Shared, select the recording, choose More options (…) and select Download. If Download is missing, ask the organizer to share the file without a download restriction.

Where is a Teams meeting recording stored?
A regular meeting is normally stored in the organizer’s OneDrive Recordings folder. A channel meeting is stored in the team’s SharePoint Recordings folder. A one-to-one or group call is generally stored in the OneDrive of the person who selected Record.
Why can I watch a Teams recording but not download it?
You may have view access with Block download or Can’t download enabled. The organizer or file owner must change the sharing permission, or an administrator must remove the applicable restriction.
Does being a Teams presenter give me download access?
No. Presenter status and recording-file permissions are separate. A presenter may be allowed to record without being allowed to download the completed file.

Can a guest download a Teams recording?
Only if the organizer explicitly shares the recording with the guest and the organization permits external sharing.
Can I download a Teams recording after it expires?
No. Once the recording has been deleted because of an expiration policy, you need the organizer or administrator to recover it if recovery is still possible.
The Bottom Line
Bottom line: Open the past meeting chat in Teams, select Shared, choose the recording, and use More options (…) > Download. If that option is unavailable, you cannot override it as an attendee. Ask the organizer or file owner to share the recording with Can view without Can’t download, or grant Can edit when appropriate.
