In Excel for the web, open your workbook and select File > Create a Copy > Download a Copy. If you’re asked whether to open or save the workbook, choose Save to keep a local copy on your computer.
Download a workbook from Excel for the web
- Open the workbook in Excel for the web.
- Select File > Create a Copy > Download a Copy. Microsoft’s download instructions show this menu path.
- If a prompt asks whether to open or save the workbook, choose Save. Choosing Open can open the downloaded workbook in Protected View. The prompt may not appear in every browser.
- Find the file in your browser’s Downloads list or at the download location configured in your browser. The location varies by browser and settings.
Open, rename, or move the downloaded file
Open it in desktop Excel
Open Excel, select File > Open, and choose the downloaded workbook. If Excel displays a Protected View bar, select Enable Editing if you want to edit the file. Microsoft’s instructions for saving a copy describe these steps.
Rename or move it
Open the folder containing the downloaded file and use the available Rename or Move to option. Microsoft notes that these options may require displaying the Ribbon in the Downloads window. See Microsoft’s instructions.
Use the keyboard shortcut
While editing in Excel for the web, the keyboard route in Microsoft’s screen-reader guidance is Alt+Windows key, F, S, C. It saves a copy to the computer’s Downloads folder. This shortcut is documented in guidance for screen-reader tasks. Microsoft’s Excel screen-reader guide provides the shortcut.

Downloading a copy is different from online autosaving
Excel for the web saves your online workbook automatically; downloading creates a separate copy on your computer. Microsoft explains that the web version has no Save button for the ongoing online workbook, while Save As can create a copy in the online folder. Microsoft’s workbook-saving guidance covers the distinction.
If the download option is unavailable
For a shared workbook, the owner or administrator may have enabled a Can’t download setting. That permission can let recipients view a file while preventing downloads. Ask the owner or administrator to review the sharing access if you cannot download it. Microsoft’s Excel for the web collaboration tips describe this setting.

Check workbook format and feature compatibility
Excel for the web supports formats including .xlsx, .xls, .csv, .xlsb, .ods, and .xlsm, but browser and desktop behavior can differ. Microsoft says .xls and .csv files are converted to .xlsx when opened in the browser, and macros in .xlsm files do not run there. Don’t assume every workbook feature will behave identically online and in desktop Excel. Microsoft’s browser-versus-desktop comparison lists these compatibility details.
