Design for the farthest seat, not the authoring monitor. A projected interface or slide deck needs large, clear text; strong contrast; a focused amount of content; and a real-world test on the venue’s display in its expected lighting. No single font size or light-versus-dark palette guarantees readability in every room.

Start with the audience’s viewing conditions

Before choosing type sizes or colors, find out how large the room is, where people will sit, what screen or display is available, and whether the lights will be on. Plan for the person farthest from the projection. A design that looks crisp on a laptop can become hard to read when enlarged, viewed at an angle, or shown in bright ambient light.

Use a simple sans serif typeface with consistent stroke thickness. Avoid thin or decorative fonts, excessive italics, and long passages in all caps. Keep the hierarchy obvious: titles should stand apart from body copy, and controls, chart labels, and diagram details need enough size to remain understandable from the back of the room.

Choose type sizes for projection

Published recommendations differ by context. Microsoft gives 18 pt or larger as general presentation guidance, while the University of Florida IFAS Extension recommends 28–48 pt titles, 24–32 pt body text, and subheadings of at least 20 pt for projected materials; it calls 20 pt the absolute minimum for text projected to a large audience. These are recommendations, not guarantees for every projector, room, or viewing distance. For a large venue or distant seating, increase sizes and verify them on the actual display.

Keep each screen focused

Show only what the audience needs at that moment. W3C WAI notes that many people find it difficult to read text while listening to a speaker. Move supporting detail into speaker notes or a separate handout instead of shrinking the text to fit. APA recommends no more than six lines of text per slide; treat that as a useful convention, not a universal limit for every interface.

Use short phrases, concise bullets, and understandable chart labels. Leave whitespace around groups so readers can distinguish them quickly. Avoid crowding important content near the edges, where projection may crop it.

Choose contrast and color for the room

There is no universally best light or dark theme. The right choice depends on the venue’s lighting and how the projector or display renders the colors. Offer a small number of high-contrast options, then test them in the actual room rather than trusting a desktop preview.

UF/IFAS recommends white or yellow lettering on a dark background, or black lettering on a white or light background. It warns against red text, particularly on dark backgrounds, and against similar projected colors such as red and dark green. W3C WAI also notes that dark text on a light background may work well in a light room. These suggestions point to a practical rule: preserve strong text-to-background contrast and judge the result under the event’s real lighting.

Do not use color as the only signal for a status, category, or instruction. Pair color with text labels, shapes, patterns, or other cues so meaning survives color shifts and remains available to people who cannot distinguish the colors.

Make the projected experience accessible beyond the screen

The visible projection is only one way people may access the material. Provide an accessible copy before the activity when possible, and use built-in accessibility checking in the authoring software where available. For images and diagrams, add meaningful alt text that briefly explains the visual’s intent and important content. Do not put essential information only inside an image.

Validate the complete setup before presenting

Microsoft’s guidance is direct: “Check all colors on a projection screen before giving the actual presentation.” A monitor preview cannot show every effect of the projector, screen, room light, or seating distance. The Australian Disability Gateway likewise recommends considering the display, lighting, room size, and seating when checking visibility.

  1. Confirm the venue setup. Ask about the screen or display, expected lighting, room size, and seating. Identify the farthest seat and use it as your readability check.
  2. Match display resolutions. Set the computer and projector or display to compatible resolutions. Microsoft warns that a mismatch may crop slides or create other display problems.
  3. Test the full interface on the projection surface. Check text sizes, labels, chart details, colors, contrast, and visibility from the back of the room under the lighting expected during the session.
  4. Inspect the edges. Keep essential text and controls comfortably inside the slide or screen boundary, then confirm that none are cropped by the actual projector.
  5. Check the equipment and files early. Verify cables, presentation files, software versions, and display equipment before the session begins; arrive with time to fix problems.
  6. Share an accessible copy. Provide materials before the activity where possible and run the authoring tool’s accessibility checker if one is available.

Compare candidate designs by what can fail in the room

When choosing between layouts or themes, assess them against the conditions that determine whether people can use them—not just how polished they look on screen.

  • Distance: Can someone at the farthest seat read the text, controls, labels, and diagram details?
  • Lighting and contrast: Does the text remain distinct when the room is lit as it will be during the presentation?
  • Projector behavior: Do color shifts, resolution differences, or edge cropping make any content hard to see or remove it?
  • Information density: Can the audience understand the current point without reading a wall of text while listening?
  • Accessible alternatives: Can people understand the content without relying on color alone or seeing the projection itself?
