Outlook does not have a native command called Appointment Slots. In Microsoft’s terminology, an appointment is a calendar entry for yourself. When you add attendees, it becomes a meeting.

You can use Outlook appointments to block out repeated times—such as “Consultation,” every Tuesday from 2:00 to 3:00 p.m.—but recurrence does not create a public booking page or let people choose an available slot themselves. For self-service scheduling, use a separate Microsoft scheduling feature or product, such as Microsoft Bookings, if it is available through your organization.

The instructions below cover classic Outlook for Windows, new Outlook for Windows, Outlook on the web, and Outlook.com.

First, decide which Outlook workflow you need

If you only need to mark availability on your own calendar, create an appointment. If someone needs an invitation, add attendees and send a meeting request.

Identify your Outlook version

The buttons differ between Outlook editions. In Windows, Microsoft’s current version guidance uses the presence of Settings on the ribbon:

  • If Settings appears, you are using new Outlook.
  • If it does not appear, you are likely using classic Outlook.

Outlook on the web and Outlook.com also have their own calendar interface. Use the section that matches your screen rather than combining commands from different versions.

Create an appointment in classic Outlook for Windows

These steps apply to Outlook for Microsoft 365, Outlook 2024, and Outlook 2021 using the classic desktop application.

  1. Open Outlook and select Calendar.
  2. Select New Appointment. You can also press Ctrl+Shift+A, or right-click a time block and select New Appointment.
  3. Enter a Subject, such as Client consultation.
  4. Enter the Location, if applicable.
  5. Set the Start time and End time. You can type exact values such as 12:22 p.m., rather than using only the default hour or half-hour times.
  6. In the Options group, open Show As and choose Free, Working Elsewhere, Tentative, Busy, or Out of Office.
  7. To repeat the time, select Recurrence. Choose Daily, Weekly, Monthly, or Yearly, then set the pattern and date range.
  8. Use the Reminder list to change the alert. Select None if you do not want a reminder.
  9. Select Save & Close.

The recurring version is displayed as an Appointment Series. It adds repeated entries to your calendar; it does not make each occurrence a slot that other people can claim.

Example: create weekly appointment times

For a 30-minute block every Wednesday from April 3 through June 26:

  1. Create the first appointment for Wednesday, April 3, from 2:00 to 2:30 p.m.
  2. Select Recurrence.
  3. Choose Weekly and select Wednesday.
  4. Set the recurrence to end on June 26, or after the required number of occurrences.
  5. Select OK, then Save & Close.

Turn an appointment into a meeting in classic Outlook

Use this when specific people need invitations.

  1. Open the appointment.
  2. On the ribbon, select Invite Attendees in the Attendees group.
  3. Enter the attendees’ names or email addresses.
  4. Review the date, time, location, and recurrence.
  5. Select Send.

After you choose Invite Attendees, the item becomes a meeting request. From any Outlook folder, Ctrl+Shift+Q creates a new meeting request directly.

Create an appointment in new Outlook for Windows

  1. Select Calendar.
  2. Select New Event.
  3. Enter the event title and other details.
  4. Leave the attendee field empty if this should remain an appointment for yourself.
  5. Select Save.

In new Outlook, the event form may use New Event even when you are creating what Microsoft classifies as an appointment. The important distinction is whether you add attendees.

Create a meeting in new Outlook

  1. Open Calendar and select New Event.
  2. Select Invite attendees.
  3. Enter the people to invite.
  4. Select a suggested time or enter the date, start time, and end time manually.
  5. Enter a location.
  6. Turn on the Teams meeting toggle if the meeting should be online.
  7. Select Send.

Create an appointment in Outlook on the web

  1. Open Outlook in your browser and select Calendar.
  2. Click the calendar at the desired date and time, or select New event at the top.
  3. Enter a title.
  4. For an appointment, leave Invite required attendees empty.
  5. Enter a location in Search for a room or location, if needed.
  6. Select More details or View event to open the full form.
  7. Choose any required options, then select Save.

If you enter attendees, the final command changes to Send, because Outlook is creating a meeting rather than a personal appointment.

Useful web calendar options

Option Purpose
Busy Controls how the item appears on your calendar and includes the option to make it private.
Categorize Assigns a calendar category, such as Client, Training, or Personal.
Response options Controls requested responses, forwarding, and attendee-list visibility for meetings.
Optional Adds optional attendees.
Repeat Creates a recurring event. Use Custom for a more specific pattern.
Remind me Changes the reminder. Microsoft documents 15 minutes as the default in the cited web workflow.

Create an appointment in Outlook.com

  1. Select Calendar in the left margin.
  2. Click the desired date and time.
  3. Enter the title, description, and location.
  4. Use All day if the item should cover the entire day.
  5. Use Repeat to create a recurring event.
  6. Add people in Invite attendees only if this should be a meeting.
  7. Adjust Remind me, if necessary.
  8. Select Save for an appointment or Send for a meeting.

Be aware that an all-day event appears as Free by default. If you need the day to block availability, use a timed appointment or change the event’s availability status.

Use Scheduling Assistant to find a time for attendees

Scheduling Assistant helps you find a time that works for invited people. It does not publish a list of public appointment slots.

  • In classic Outlook, open a meeting and select Scheduling Assistant on the Meeting tab.
  • In Outlook on the web, enter attendees and review the available times shown below the date and time controls.
  • Use Suggested free time when offered.
  • Microsoft also documents AutoPick, which selects the next available time for the attendees and location.

In the cited Outlook on the web scheduling view, green indicates that everyone is available. Availability depends on calendar permissions, working hours, time zones, and whether attendees have already blocked the period.

Add a room or Teams meeting

Rooms

In Outlook on the web, use Search for a room or location. From the full event form, choose Browse more rooms if the required room is not shown. Room lists and availability are controlled by your organization’s Microsoft 365 configuration, so a missing room is not necessarily an Outlook error.

Teams

  • In new Outlook, turn on the Teams meeting toggle.
  • In classic Outlook, use the Teams Meeting or Skype Meeting command on the ribbon, depending on the services your organization supports.

Microsoft states that the Teams add-in is installed automatically when the organization uses Microsoft Teams. Skype for Business Online meetings use the Skype for Business Web Scheduler.

Edit or delete recurring appointment slots

Recurring entries require care because editing the wrong level can change every occurrence.

New Outlook and current Outlook on the web

  1. Select the event and choose Edit.
  2. Choose one of the available scopes: This event, This and all following events, or All events in the series.
  3. Make the change.
  4. Select Save for an appointment or Send for a meeting.

Classic Outlook on the web

The equivalent choices are Edit occurrence and Edit series. When deleting, choose Delete occurrence or Delete series.

Classic Outlook for Windows

Open the Appointment Series and use the occurrence or series command offered by Outlook. Choose the single occurrence when only one date needs to change; choose the series when the rule itself must change.

Common problems and fixes

Problem Likely cause Fix
The instructions do not match the screen. You are using a different Outlook version or the classic web interface. Check whether Windows Outlook has Settings on the ribbon. In the browser, look for New event versus older labels such as New > Calendar event.
The appointment saved, but nobody received an invitation. No attendees were added. Open the item, select Invite Attendees or add invitees, then select Send.
Outlook asks you to send a personal appointment. The item has been changed into a meeting, or attendees were added accidentally. Remove the attendees if the item is personal, then use Save or Save & Close.
Changing one date changed many dates. You edited the series rather than one occurrence. Edit the event again and choose This event or Edit occurrence.
A room is missing. The room is not in the organization’s room list or is unavailable. Use Search for a room or location, then Browse more rooms.
The event does not block availability. Show As is set to Free, or the item is an all-day event. Set the status to Busy or another appropriate status. All-day events default to Free.
An attendee’s calendar still shows the old status. Attendees control their own calendar status. Ask the attendee to update their copy. A later organizer status change does not override an attendee’s existing status.

What Outlook appointments cannot do

A recurring appointment is useful for reserving time, but it does not:

  • publish a public page with selectable times;
  • prevent two people from requesting the same occurrence;
  • automatically remove a time after somebody books it; or
  • send a booking confirmation workflow to unknown visitors.

For those requirements, use a dedicated Microsoft scheduling or booking tool configured for your account. Outlook Calendar alone is a calendar-item and invitation tool, not a public appointment-slot marketplace.

What is the difference between an Outlook appointment and a meeting?

An appointment is for your own calendar. Adding attendees turns it into a meeting, which Outlook sends as an invitation.

How do I create recurring appointment slots in Outlook?

Create an appointment, select Recurrence in classic Outlook or Repeat in Outlook on the web, choose the pattern, set the date range, and save it. The result is a recurring series, not independently bookable slots.

Why does Outlook show New Event instead of New Appointment?

How do I let other people book available times?

To create a personal appointment, open Calendar, choose New Appointment in classic Outlook or New Event in new Outlook and Outlook on the web, enter the time, and save it. Add Recurrence or Repeat for repeated entries. Add attendees and choose Send only when you want to create a meeting. For public, self-service appointment booking, use a dedicated scheduling service rather than a normal Outlook appointment.
