You can use AI to turn an authorized report or spreadsheet into an editable PowerPoint first draft. In PowerPoint, Copilot can build a presentation from a prompt or a referenced file, and can create a slide from a file for an existing deck. Treat the result as a draft: verify its story, figures, labels, and charts against the original data before presenting.

What to prepare before you create the deck

Start with the audience’s decision, not the slide count. Write down what that audience needs to understand or decide, then select only the report or spreadsheet sections that support it. A focused source and a clear purpose make it easier to spot whether the resulting slides answer the right question.

Check the source and access

  • Choose the correct, current version of the business file and identify the relevant sheets, dates, or report sections.
  • Use only material you are authorized to share with the AI feature and intended audience. For a file referenced in Copilot, you must have permission to use that file.
  • Exclude confidential or irrelevant material the audience should not see. Check your organization’s Microsoft 365 subscription and settings, since Copilot availability depends on them.

Create a presentation in PowerPoint with Copilot

Copilot can start from a prompt, optionally with a referenced file. You can review and refine the outline before asking it to generate slides, then edit the deck. The exact controls and availability can depend on your account and organization setup; follow the Copilot interface available in your PowerPoint.

  1. Open PowerPoint and start a new presentation. If branding matters, begin with your organization’s approved template rather than trying to apply brand styling at the end.
  2. Open Copilot and describe the deck you need. Identify the audience, purpose, scope, key questions, and desired length. Name the specific report or workbook you want it to use if the interface offers file referencing.
  3. Review the proposed outline. Check that it tells a useful story for the audience and includes the topics needed to support the decision. Ask for changes before generating slides if it does not.
  4. Generate the slides, then edit them. Treat the output as a starting point. Correct omissions or emphasis and tailor the wording to the people who will see the presentation.

For example, a brief might ask for a concise leadership presentation explaining the quarter’s revenue trend, the main drivers, and the decision required, using the named report and its relevant period. Make the task specific enough to guide the outline, but verify any resulting figure or explanation in the source.

Add a data-based slide to an existing deck

If you already have a presentation, Copilot can draft a slide based on a referenced file. Describe the slide’s purpose and direct Copilot to the particular file section or topic it should cover. Keep the generated slides on-brand

Microsoft recommends starting with your organization’s PowerPoint template when brand consistency matters. Its guidance says Copilot can use sample slides, layouts, design objects, and the prompt when creating a presentation. Template setup requirements can vary by platform, so check Microsoft’s on-brand Copilot guidance for the platform you use. An organization template helps guide the design; it does not verify the data or guarantee that every slide is presentation-ready.

Verify the story, numbers, and charts

Microsoft describes chart creation and data insights as PowerPoint capabilities, but the cited product guidance does not establish an accuracy rate or guarantee that AI-generated analysis is correct. Reconcile the slides with the source file before relying on them for a business decision.

When another data-to-presentation workflow may fit

Canva documents a workflow for generating presentations from CSV files, Canva Sheets, or linked sources, with charts and insights. The cited help page does not establish that this workflow exports to PowerPoint, so do not assume it will produce an editable PowerPoint file. Once the content checks out, use targeted requests to improve individual slides or the outline rather than accepting a broad rewrite that could change verified details. Then review the complete deck in presentation order, confirm that each slide supports the intended takeaway, and save or share it through your organization’s approved process.
