For a normal PDF with selectable text, open it in Microsoft Word desktop and save the converted copy as .docx. If you cannot select individual words because the PDF is a scan or photograph, run OCR first. For columns, complex tables, forms, or difficult scans, Adobe Acrobat is usually the better route. In every case, compare the Word file with the original PDF before relying on it: PDF-to-Word conversion reconstructs an editable document and cannot guarantee identical formatting.
The best method depends on the PDF, the device you have, whether the document is confidential, and whether you value editability or exact visual appearance more.
| PDF or situation | Best starting method | Important trade-off |
|---|---|---|
| Simple, text-based PDF | Microsoft Word desktop | Easy, but page breaks and complex layouts may shift |
| Complex text PDF with columns or tables | Adobe Acrobat desktop | More capable, but features may depend on the Acrobat edition or subscription |
| Scanned or photographed PDF | OCR, then export to DOCX | Text becomes editable, but recognition errors require proofreading |
| Small, non-sensitive PDF and no paid software | Google Drive and Google Docs | Free fallback, but columns, tables, lists, and footnotes may be damaged |
| Confidential legal, financial, medical, or business document | Local Word or Acrobat conversion | Avoids uploading the file to an unapproved cloud converter |
First, identify what kind of PDF you have
The quickest test is simple: open the PDF and drag your cursor across a sentence. If you can select individual words or characters, it is probably a text-based PDF. If the entire page selects as one image, or nothing can be selected, it is probably a scanned or image-only PDF.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Also check several pages. A PDF can be hybrid: some pages may contain real text while others are scans, screenshots, or photographs. A converter may handle the text pages well and leave the image pages as pictures.

OCR, or optical character recognition, analyzes an image and adds a searchable text layer. It does not turn every visual element into a perfectly reconstructed Word paragraph, and it does not guarantee that every character is correct. Adobe explains the process and its limitations in its OCR documentation.
Method 1: Convert a PDF with Microsoft Word desktop
This is the simplest default method when the PDF is mostly ordinary text and Word is already installed. Microsoft documents this workflow for Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016. Menu labels can vary slightly between Windows and Mac editions.
Steps
- Make a backup copy of the original PDF, especially if it is important or legally significant.
- Open Microsoft Word.
- Select File > Open.
- Select Browse if Word does not immediately show the file picker.
- Choose the PDF and select Open.
- When Word warns that it will convert the PDF into an editable document, select OK.
- Review the converted document rather than assuming that it matches the PDF.
- Select File > Save As.
- Choose Word Document (*.docx), give the file a new name, and save it separately from the PDF.
Word creates a converted copy and does not change the original PDF, according to Microsoft’s PDF-opening guidance. Saving under a new name is still good practice because it prevents accidental confusion between the authoritative PDF and the editable reconstruction.

What to expect from Word
Simple paragraphs, headings, basic lists, standard fonts, and single-column documents often convert reasonably well. Text usually becomes editable and images generally remain images. However, Word may change line wrapping, spacing, margins, page breaks, section breaks, tables, and the position of floating objects.
A graphics-heavy page may appear in Word as one large image. If that happens, the visible text is not editable even though it can be seen. Run OCR if the image contains printed text, or recreate the page manually if its layout is more important than its text.
Word is most suitable for letters, straightforward resumes, reports, contracts, academic papers, and business documents that are primarily text. It is less suitable for brochures, complex forms, magazines, heavily designed invoices, and PDFs built from many independent text boxes or shapes.
Method 2: Use Adobe Acrobat for complex PDFs or OCR
Adobe Acrobat is a stronger choice when the PDF contains complex tables, columns, positioned text, or scanned pages. It is not a guarantee of perfect formatting, but it provides a dedicated export workflow and OCR tools that are useful when Word’s direct import produces a poor result.
Convert a text-based PDF in Acrobat desktop
- Open the PDF in Adobe Acrobat.
- Select Convert in the global bar.
- Choose Microsoft Word.
- Choose DOCX or DOC.
- Select Convert to DOCX or Convert to DOC.
- Choose the destination folder and enter a filename.
- Select Save.
These are the steps in Adobe’s desktop PDF-to-Word instructions. Acrobat may preserve more of a complicated layout than Word, but the result still needs inspection. Tables that were drawn as lines, text stored as outlines, missing fonts, unusual typography, and interactive PDF elements can all cause problems.
Run OCR on a scanned PDF in Acrobat
- Open the scanned PDF.
- Select All tools > Scan & OCR.
- Choose In this file.
- Select the document language. Choose the language that matches the printed text as closely as possible.
- Choose the relevant page range.
- Select Recognize Text.
- Review and correct suspected recognition errors where Acrobat identifies them.
- Export the OCR-processed PDF through Convert > Microsoft Word > DOCX.
- Proofread the resulting Word file against the scan.
OCR accuracy depends heavily on the source image. Skewed pages, shadows, folds, low resolution, handwriting, decorative fonts, mixed languages, and poor contrast can produce wrong characters or misplaced text. Pay particular attention to names, dates, numbers, amounts, addresses, account details, measurements, footnotes, and legal wording. Adobe also provides a guide for fixing scanned-text recognition errors.
Do not confuse Acrobat products
Adobe offers several different routes:
- Adobe’s online PDF-to-Word converter is a browser-based service with its own upload, sign-in, and usage conditions.
- Acrobat desktop has PDF export and OCR capabilities, but availability depends on the installed edition and subscription.
- Acrobat Reader’s Export PDF feature is a separate feature. Adobe’s help page says a paid Export PDF subscription is required to convert PDFs to Word, Excel, or RTF through Reader.
Check the specific product and plan rather than assuming that installing the free Reader provides every Acrobat export feature. See Adobe’s Export PDF information for Reader and its Acrobat export and subscription details.
Method 3: Convert a PDF with Adobe’s online tool
This is convenient for a one-off conversion when you have an internet connection and the document is suitable for cloud processing.
- Open Adobe’s official online PDF-to-Word converter.
- Select Select a file, or drag the PDF into the upload area.
- Choose the PDF.
- Wait while the service converts it to
.docx. - Download the converted file.
- Open it in Word or another compatible editor and inspect it.
Adobe says the online service handles files on its servers and deletes them unless you sign in to save them. Adobe also notes that you may be asked to sign in after using the tool again and that daily conversion limits apply. Those statements describe Adobe’s service, not every online converter.

Do not upload an unredacted medical record, tax return, bank statement, identity document, confidential contract, trade secret, password list, recovery code, or similar file unless your organization has approved that service and its data-handling terms. Cloud conversion is not necessarily unsafe, but it introduces a third party into the document-handling process.
Method 4: Use Google Drive and Google Docs for a free fallback
Google Drive can be useful when you do not have Word or Acrobat, particularly for a small, non-sensitive scan. It is best understood as an OCR-and-export workaround, not as a high-fidelity direct PDF-to-DOCX converter: Google Drive opens the PDF in Google Docs first, and you then download the Google Doc as a Word file.
Steps on a computer
- Open Google Drive.
- Upload the PDF.
- Right-click the uploaded file.
- Choose Open with > Google Docs.
- Wait for Google Docs to import the text and perform OCR where needed.
- Inspect the resulting Google Doc.
- Select File > Download.
- Choose Microsoft Word (.docx).
- Open the downloaded file in Word and repair any damaged layout.
Google’s PDF and image OCR guidance recommends files no larger than 2 MB for best results. It also recommends upright, sharp images with clear contrast and text at least 10 pixels high. Google warns that lists, tables, columns, footnotes, and endnotes may not be detected reliably.
Free tools Windows power users keep installed
One-click scans. No signup required.
The general Google Docs download path is documented in Google’s download instructions. The exact Microsoft Word menu label can change as Google updates its interface, so look for a Microsoft Word or DOCX option if the wording differs.
When Google Docs is a reasonable choice
- You need the text more than the original page design.
- The PDF is small and not confidential.
- You need a free option.
- The file is a simple scan with good image quality.
For multi-column papers, tables, forms, footnotes, or documents with strict formatting requirements, expect more manual repair than with a local desktop workflow.
Converting a PDF on a Mac, iPhone, or Android phone
Mac
On a Mac, you can use Word desktop, Acrobat desktop, Google Docs, or an official browser-based converter. Do not expect Preview to provide a PDF-to-Word command. Apple’s Preview export documentation covers PDF and image formats, not Microsoft Word .docx output.
If the PDF is confidential, prefer local conversion in Word or Acrobat. If you use a browser service, verify that you are on the vendor’s official domain and understand that the file is uploaded for processing.

Adobe’s Acrobat mobile app can export a PDF to DOCX, DOC, RTF, XLSX, or PPTX. The exact labels may vary by app version, but the documented workflow is:
- Open the PDF in Acrobat mobile.
- Tap More options.
- Choose Export as or Export PDF.
- Open the Document tab.
- Choose DOCX.
- Set the document language if prompted.
- Tap Export.
- Retrieve the result from Adobe cloud storage or share it to another app.
Adobe says mobile document export supports OCR for scanned text and stores the exported document in Adobe cloud storage. The export feature may require an Acrobat subscription. See Adobe’s mobile export instructions.
Do not assume the Word iPhone app is a direct PDF converter. Microsoft’s compatibility guidance says Word for iPhone cannot open PDF files. Without Acrobat, practical alternatives include using the official Adobe online converter in a browser, uploading the PDF to Google Drive and processing it on a computer, or converting the file on a computer and transferring the resulting DOCX to the phone.
On iPhone, Apple Preview’s export options are HEIC, JPEG, JPEG-2000, PDF, PNG, and TIFF—not Word. The available formats are listed in Apple’s iPhone export guide.

- DOC is the older Word format associated with Word versions through 2003.
- DOCX is the newer Office Open XML format used by modern Word versions since Word 2007.
- DOCX files are generally smaller and are the normal choice for current office applications.
- Some legacy systems, specialized submission portals, or older computers may specifically require DOC.
Acrobat’s format guidance explains the distinction. The extension does not determine whether the conversion is accurate; it only determines the Word file format used for the output.
What usually converts well—and what does not
Elements that often convert reasonably well
- Plain paragraphs
- Basic headings
- Simple bulleted or numbered lists
- Single-column layouts
- Standard fonts
- Simple tables
- Text-based business, legal, or scientific documents
- PDFs with fonts that are properly embedded and available to the converter
These are tendencies, not promises. Even a text-based PDF can contain positioned objects or unusual font data that converts badly.
Elements that commonly cause problems
Microsoft specifically identifies tables with cell spacing, page colors, page borders, tracked changes, frames, footnotes spanning more than one page, endnotes, audio, video, interactive PDF elements, bookmarks, tags, comments, and font effects such as glow or shadow as items that may not convert accurately. See Microsoft’s explanation of PDF conversion limitations.
Other frequent trouble spots include:
- Newspaper or magazine-style columns
- Text boxes positioned independently on the page
- Forms with precisely aligned fields
- Tables drawn as lines rather than stored as table cells
- Equations, scientific notation, superscripts, and subscripts
- Right-to-left scripts or mixed-language documents
- Unusual, missing, or substituted fonts
- Decorative typography and text stored as vector outlines
- Headers, footers, watermarks, and captions that are part of page artwork
- Cross-references, hyperlinks, bookmarks, comments, and signatures
- Handwriting and low-resolution photographs
The underlying reason is structural. A PDF is primarily a fixed-position page format. It can tell a viewer where to paint text and lines without preserving the semantic relationships that Word needs for paragraphs, flowing columns, table cells, headings, and lists. A visible table may be stored as separate text fragments and lines rather than as a real table.
Why you cannot guarantee zero formatting loss
The phrase convert a PDF to Word without losing formatting is often used as though the process creates an identical editable copy. It does not. A PDF optimizes for consistent page appearance; Word optimizes for editable, reflowing content. Those goals conflict when a page contains carefully positioned objects.
A converter must infer whether nearby text belongs to the same paragraph, column, table cell, header, footer, caption, or text box. It must also choose Word styles, margins, line spacing, fonts, and page breaks. Two converters can therefore produce different results from the same PDF.
If exact visual fidelity matters more than editing, keep the PDF as the authoritative version. If you need a major rewrite, DOCX is usually more practical even when you must repair some formatting.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteTroubleshooting PDF-to-Word conversion
The text is not editable
Likely cause: the page is an image or scan.
- Try selecting a few individual characters in the PDF.
- If that fails, run OCR in Acrobat or use Google Docs OCR.
- Choose the correct language during OCR.
- Export the recognized text to DOCX.
- Proofread the result against the original.
If the PDF contains handwriting, a poor photograph, or heavily stylized lettering, OCR may not be reliable enough. Manual transcription or a recreated document may be safer.
The entire page became one picture in Word
Likely cause: the PDF page consists primarily of graphics or an image-based layout.
- Run OCR if the image contains printed text.
- Recreate the page in Word if the design matters.
- If you only need a small amount of text, extract that text instead of converting the entire document.
Microsoft warns that graphics-heavy PDF pages may appear as images in Word, leaving their text uneditable.
The formatting is wrong
Save the converted file as a new copy, then work through this sequence:
- Check the page size and orientation.
- Check the margins.
- Replace missing fonts with suitable authorized alternatives.
- Reapply heading styles and list formatting.
- Rebuild damaged tables instead of trying to repair every border individually.
- Check page breaks and section breaks.
- Compare the Word file and PDF side by side.
- If Word produced the first result, try Acrobat for a second conversion.
Do not judge only by the first page. A converter can appear accurate at the beginning and fail when it reaches a table, footnote, column, or image-heavy page.
Rank #4
- Scanner type: Document
- Connectivity technology: USB
- With Auto Scan Mode, the scanner automatically detects what you're scanning
- Digitize documents and images
Tables are broken
Tables may be imported as ordinary text, floating objects, or a collection of lines and text fragments. If the table is important, create a real Word table and verify every row, column, number, and merged cell. Google Docs is particularly likely to need manual table repair because Google warns that tables may not be detected reliably during OCR.
Characters are garbled or symbols are wrong
Possible causes: font substitution, an encoding problem, incorrect OCR language, a missing embedded font, or OCR misrecognition.
- Try Acrobat if you first used Word, or Word if you first used Acrobat.
- Run OCR with the correct language.
- Install a legitimate missing font if you are authorized to use it.
- Replace garbled text manually.
- Compare all names, dates, currency amounts, account numbers, addresses, and measurements with the PDF.
- Search the converted file for likely OCR substitutions rather than relying only on visual inspection.
Adobe provides a troubleshooting path for garbled text in converted files.
The conversion fails
- Confirm that the PDF opens normally in a trusted PDF viewer.
- Save a fresh local copy and try again.
- If it is password-protected, obtain the required password.
- Convert a smaller page range to identify a damaged or unusual page.
- Try local Word or Acrobat if an online conversion fails.
- Ask the sender for a new copy if the PDF appears damaged.
- If the file contains signatures, portfolios, unusual security, or embedded files, look for the original source document.
- Keep the original PDF untouched.
The PDF is password-protected or copying is restricted
Do not attempt to bypass protection. A PDF may require a password to open, or a permissions password before copying or editing is allowed. If you own the document or have permission, obtain the password or ask the owner for an unrestricted copy. Adobe’s password-removal guidance explains that the permissions password may be required for some restrictions.
Word for the web does not show the expected PDF option
Microsoft’s consumer-facing pages describe PDF upload and conversion in Word for the web, while another Microsoft support page lists PDF as unsupported in Word for the web. Availability may depend on the account, entry point, rollout, or product version. For a dependable workflow, use Word desktop instead of assuming that every Word web account has the same option.
Privacy and security: be careful with free converters
For confidential documents, prefer local conversion with Word desktop or Acrobat desktop, or use an organization-managed tool approved by your IT department. A browser converter requires uploading the file to a third-party service, even if the service is reputable.
If you use an online converter:
- Use the vendor’s official domain, typed or bookmarked rather than copied from a suspicious advertisement.
- Do not install an unknown converter application, browser extension, or helper program just to process one PDF.
- Check the service’s retention and deletion terms.
- Upload only the pages and information necessary for the task.
- Download only the expected output format.
- Scan the downloaded file with current security software.
- Delete the uploaded file and output from the cloud service when the service provides that option.
- Do not upload passwords, recovery codes, identity documents, or unnecessary personal information.
This caution is not theoretical. In March 2025, the FBI warned that criminals were using supposed free document converters to deliver malware and collect submitted personal, banking, cryptocurrency, email, and password information. Read the FBI warning about malicious online file converters.

Keep the original PDF. Save the Word file with a new name, and open it once in the target Word version or application before sending it to someone else. Never overwrite a signed or legally significant PDF merely because you now have an editable copy.
When converting is the wrong solution
You only need a small change
If you need to correct one typo, add a date, fill a form, add a signature, comment on a page, or redact information, editing the PDF directly may be faster and safer than reconstructing the entire document.
The original source file is available
If the PDF was created from Word, Pages, InDesign, Google Docs, or another authoring application, obtain the original source file whenever possible. The source document is usually more accurate and easier to edit than a reverse conversion. Microsoft recommends starting with the original Office file when it is available; see its guidance on editing or changing a PDF.
Exact visual fidelity matters most
A PDF is often the better final format for a brochure, flyer, court filing, signed agreement, or other document where page appearance must remain fixed. Keep the PDF as the authoritative copy and use DOCX only as a working copy.

You need only part of the file
Do not convert a 200-page PDF if you need one paragraph or one table. Extract only the needed content. Acrobat supports exporting selected text to formats including DOCX, DOC, RTF, XML, HTML, and CSV; its selected-text export guidance explains the approach.
A practical decision rule
- Can you select text? If yes, start with Word desktop for a simple document.
- Is the layout complex? Try Acrobat desktop and expect to inspect tables, columns, and page breaks.
- Is it a scan? Run OCR, then export to DOCX and proofread every important detail.
- Do you need a free option? Use Google Drive and Google Docs for a small, non-sensitive file, accepting weaker layout preservation.
- Are you on a phone? Use Acrobat mobile or an official browser converter; do not rely on Word for iPhone as a direct PDF opener.
- Is the document confidential? Convert locally unless cloud processing has been explicitly approved.
- Do you need perfect appearance? Keep the PDF or find the original source document instead of forcing a conversion.
Frequently Asked Questions
How do I convert a PDF to Word for free?
If Microsoft Word desktop is already installed, open the PDF with File > Open, accept the conversion, and save it as Word Document (*.docx). You can also use Google Drive: upload the PDF, choose Open with > Google Docs, then use File > Download > Microsoft Word (.docx). Google Docs is free but may damage tables, columns, lists, footnotes, and endnotes. Adobe also provides an official online converter with usage and sign-in limits.
Can I convert a scanned PDF to Word?
Yes, but OCR is required. In Acrobat, use All tools > Scan & OCR > In this file > Recognize Text, choose the correct language, then export the result to DOCX. Proofread names, numbers, legal language, tables, and footnotes because OCR can misread characters.
Recommended Free Tools
How can I convert a PDF without losing formatting?
You cannot guarantee zero formatting loss because PDF uses fixed page positions while Word uses editable, flowing content. Word is convenient for simple text PDFs; Acrobat is a better starting point for complex layouts. Always compare the DOCX with the PDF and manually rebuild damaged tables, columns, or forms.
Can I convert a PDF to Word on a Mac?
Yes. Use Word desktop, Acrobat, Google Docs, or an official online converter. Mac Preview is not a PDF-to-DOCX converter; Apple’s documented Preview export formats do not include Word.
Can I convert a PDF to Word on an iPhone or Android phone?
Acrobat mobile can export PDFs to DOCX, although export may require a subscription and the file is saved through Adobe cloud storage. You can also use an official browser-based converter. Microsoft’s compatibility guidance says Word for iPhone cannot open PDF files directly.
Does Microsoft Word convert PDFs automatically?
Word desktop can convert a PDF when you open it through File > Open. It displays a warning and creates an editable copy. Word for the web may offer PDF conversion in some accounts or entry points, but Microsoft’s support pages are not fully consistent, so Word desktop is the dependable option.
Is DOC or DOCX better for a converted PDF?
Use DOCX unless a legacy application or submission portal specifically requests DOC. DOCX is the modern Word format, is generally smaller, and is intended for current office applications.
Why is my converted Word file blank or showing only a picture?
The PDF may be image-only, graphics-heavy, damaged, or using unusual font data. Run OCR if the page contains printed text. If the page is a designed image or form, recreate it manually or extract only the text you need.
Can I convert a password-protected PDF?
Only if you have the required password or authorization. Do not bypass PDF protection. Ask the owner for the password or an unrestricted copy; some permissions restrictions require a permissions password.
Is it safe to use an online PDF converter?
Use only an official, reputable domain and check its file-retention terms. Do not upload confidential records unless cloud processing is approved. Avoid unknown converter downloads and extensions; the FBI has warned about malicious document-converter scams that steal files or deliver malware.
Free tools Windows power users keep installed
One-click scans. No signup required.
Can Google Drive convert a PDF to Word?
Yes, indirectly. Upload the PDF, open it with Google Docs, inspect the OCR or imported text, and download it through File > Download as Microsoft Word (.docx). It is a useful free fallback, but Google warns that tables, lists, columns, footnotes, and endnotes may not convert reliably.
Can Apple Preview convert a PDF to Word?
No. Preview can export PDFs and images to several image and PDF formats, but its documented export options do not include Microsoft Word DOCX.
How do I preserve tables and columns?
Start with a text-based PDF in Acrobat desktop rather than Google Docs, then inspect every table and column. If the converter treats a table as lines and separate text objects, rebuild it as a real Word table. For a highly designed document, finding the original source file or recreating the page may be faster.
The Bottom Line
The reliable rule is: selectable text goes to Word desktop; complex layouts go to Acrobat; scans need OCR; free cloud tools are a fallback; confidential documents should stay local. Save as DOCX, retain the original PDF, and verify every important word, number, table, footnote, and page break before using the converted file.
