Short answer: Connect apps separately in Gemini’s Connected Apps settings, then ask Gemini to use the service in a conversation. A Gem gives Gemini reusable instructions for a recurring task; it does not connect an app, expand its permissions, or turn a prompt into a guaranteed background automation.

How Gems and Connected Apps work together

A Gem is a customized version of Gemini built around repeatable instructions. It can tell Gemini how to approach a recurring task—for example, how to organize a weekly planning summary—but it does not provide access to Gmail, Calendar, or another service by itself. Google describes Gems as a way to create “specific and repeatable instructions for Gemini to follow” in its Gems help guide.

Connected Apps are the separate integrations that let Gemini access supported information or perform supported actions in services such as Gmail, Drive, Calendar, Tasks, and Keep. The app connection and the actions available through it depend on account eligibility, permissions, and Google’s current supported-action limits. Treat a Gem as the reusable task instructions and Connected Apps as the authorized access layer.

Connect Google Workspace apps to Gemini

  1. Sign in to the right account. Open Gemini and use the same Google account that has access to the Workspace services you want to use.
  2. Check prerequisites. Turn on Keep Activity. For a work or school account, your Workspace edition must be eligible and your administrator must allow Connected Apps. Gmail Smart features in other Google products may also need to be enabled. Google lists current requirements in its Workspace connection guidance.
  3. Start with a task that needs the service. Ask Gemini to do something involving Gmail, Drive, Calendar, Tasks, or Keep. If the app is not connected, Gemini may show a prompt to connect it. Follow the on-screen steps and review the access request before approving it.
  4. Name the app in your request. In a new conversation, mention the service—for example, “Use Google Calendar to find my next meeting” or “Search Gmail for the latest invoice.” You can also type @ and choose the service from the menu when it is available. In follow-up prompts within that conversation, you generally do not need to repeat the connection request.
  5. Add repeatable guidance in a Gem if useful. Use a Gem for the instructions that should recur, such as the format for a weekly summary. Then start a conversation with that Gem and explicitly ask it to use the relevant connected service.
  6. Review the result and its sources. Check any source links Gemini provides, especially for time-sensitive information or messages that may have been superseded.

Depending on the app and available actions, Workspace tasks can include finding or summarizing information, adding a reminder to Tasks, saving a note or list in Keep, or creating and managing Calendar events. The exact actions available can change, so consult Google’s current Workspace connection and supported-action details rather than assuming a task will work because an app is connected.

Connect or manage another app

Use a built-in Connected App

Open Gemini’s Settings & help, choose Connected Apps, and review the apps offered for your account. Select an app to inspect its details and connection options; connect or disconnect it there. Google’s Connected Apps guidance explains that the available list and capabilities vary by account and service. Availability may also differ by country, device, and Gemini app.

Once connected, ask for the particular app and action you need in your conversation. An enabled connection does not mean every feature in the original service is available through Gemini.

Connect a custom third-party app through MCP

When custom apps are available to your account, Gemini can connect to some third-party services through an MCP server. You need the server URL from the app or service provider. In Gemini, go to Settings & help > Connected Apps and follow the custom-app connection flow to add the server. Google’s custom apps instructions describe the current setup and eligibility conditions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check those conditions in the help page and in Gemini before proceeding: Google’s documentation specifies restrictions that include account type, age, US eligibility, Keep Activity, and English-language availability, and these requirements can change. Google also says it does not control, monitor, or secure third-party MCP servers. Information sent to a server is subject to the provider’s privacy practices. Review the server’s identity, requested access, and terms before connecting; Google’s help page says Gemini requires manual confirmation for write actions.

Which connection approach fits your task?

Approach Best for What to verify
Gem instructions Repeating a task with consistent rules, tone, or output format. A Gem supplies instructions, not app access or new permissions.
Built-in Connected App Using a Google service or another app listed in Gemini’s Connected Apps settings. Account and administrator eligibility, availability on your device, permission scope, and supported actions.
Custom Connected App through MCP Connecting a supported third-party service when custom apps are available. Eligibility, provider trust, server privacy terms, requested access, and confirmation requirements.

These options can be combined: a Gem can hold the reusable instructions while a built-in or custom Connected App supplies whatever access the task requires.

What Connected Apps cannot do

Connected Apps are not universal controls for every function in a service. Google documents unsupported actions, and the list varies by app and account. Examples in Google’s Workspace guidance include creating or deleting Gmail drafts, accessing comments and images in Gmail or Docs, accessing non-document media in Drive, and creating or moving Drive folders. Check the current action list for the exact service before designing a Gem around a particular operation.

Do not assume a multi-service request will partially complete. Google says that, in its work-account guidance, if an organization has disabled one of the services needed for a multi-service example, none of the requested actions in that example will complete. A prompt to “plan my week” is not a promise that Gemini can read every source, change every app, or complete every step.

The documented flow is user-prompted: you ask Gemini to use a connected service and it responds or performs a supported action. A Gem does not, on its own, create a continuously running, event-triggered automation. Background triggers require a separate service or workflow that explicitly supports them.

Troubleshoot a missing app or failed action

  • The Workspace app is missing: Confirm you are signed into the same Google account, Keep Activity is on, and Gmail Smart features are enabled if required. For work or school, ask your administrator whether the Workspace edition qualifies and Connected Apps are enabled.
  • The app is listed but the task fails: Check whether that specific action is supported. A connection does not include every operation the app offers.
  • One part of a multi-app request does not run: Check that every required service is available and enabled for the account or organization. An administrator restriction on one required service can block the whole multi-service example.
  • The available apps differ across devices or accounts: Connected Apps availability varies by account type, Workspace edition, location, language, device, and Gemini app. Check the options shown in the account you intend to use.
  • The answer is outdated or seems wrong: Open the sources shown with the response and verify the underlying email, document, or event directly. Google cautions that Gemini can return hallucinated or outdated information, including an older email when a newer one exists.

Upcoming change: Gems are scheduled to transition to skills

Google has announced that Gems will transition automatically to skills on a schedule that varies by account type: personal accounts in November 2026; Workspace business, enterprise, and nonprofit accounts in March 2027; and Workspace education accounts in June 2027. These are announced future dates, not a statement that the transition has already occurred. Check Google’s Gems-to-skills transition update for the latest schedule and details, particularly if you are creating instructions intended to remain usable across the transition.
