For an Indian GST refund, submit the claim through the GST Portal using the form and supporting information for your refund category. After filing, use Services > Refunds > Track Application Status to follow the application; check PFMS separately when you need to investigate bank validation or payment. A GST application marked as processed or sanctioned does not by itself confirm that the money has reached your bank account.

Before you file: check the requirements for your refund category

GST refund claims are not all filed with the same evidence or eligibility conditions. The applicable form details, annexures and rules depend on the reason for the refund. Confirm the current requirements for your specific category on the official GST Portal before submitting; a single universal document checklist would be misleading.

File online and keep the ARN

Complete the refund application for the relevant category on the GST Portal and submit it with the required information and supporting evidence. Once filed, save the Application Reference Number (ARN) receipt. The ARN is an option for finding the application in the portal’s tracking utility.

To reopen an application or retrieve its receipt, go to Services > Refunds > My Saved/Filed Applications. GSTN guidance says submitted applications appear there and the ARN receipt can be downloaded by clicking the ARN link. The exact live labels may change.

Track the application on the GST Portal

  1. Sign in to the GST Portal and open Services > Refunds > Track Application Status.
  2. Select the filing year or enter the ARN, then search.
  3. Review the application tracking information to see the processing stage and whether action is pending with the tax officer or taxpayer.

The GST Portal shows the refund application’s processing stage. It is not a bank-credit confirmation. GSTN also documented a pre-login route in a historical functionality notice: selecting Refund and entering the ARN. Because that notice is historical, check whether the live portal still offers that route before relying on it.

Question GST Portal PFMS
What it tracks Refund application processing with the officer or taxpayer Bank-account validation and payment disbursal
Useful identifier Filing year or ARN GSTIN or account number, depending on the lookup
When to use it To check the application’s processing stage To investigate validation or payment after the claim advances

GSTN and the Controller General of Accounts describe these as linked but distinct tracks: application processing is visible on the GST Portal, while PFMS handles bank validation and disbursal. A payment order, successful validation, and final bank credit are separate milestones.

Check PFMS when the application reaches bank validation or payment

PFMS validates the bank account after RFD-01 is filed and again after the officer issues the RFD-05 payment order. The relevant validation must succeed for the payment process to proceed. The advisory describes additional steps after successful validation, including DDO/PAO approval, online scroll generation and submission to banks for final disbursal.

  1. For validation after filing RFD-01, use the PFMS option GST Registered, enter the GSTIN or account number, and view the report.
  2. For validation after RFD-05, check GST Successfully Processed.
  3. If the record is not listed as successfully processed, check GST Under Process for validation errors.

What to do if validation fails or payment is delayed

  • Incorrect bank details: The GSTN/CGA advisory says to update the bank account in the refund application. The tax officer must then re-issue RFD-05 before the payment can proceed.
  • Technical file-exchange error: The advisory distinguishes these from incorrect details; the GST System may correct the technical error and send the record to PFMS for revalidation.
  • Sanctioned but not credited: Check PFMS for validation and disbursal progress rather than treating the GST Portal’s sanction status as proof of bank credit.

GSTN’s 2022 functionality update listed RFD-06 outcomes including refund sanctioned, partially sanctioned or rejected, and said tracking details included the transmission date and time. These are source-dated examples; confirm the current labels and available details in the portal.

No processing-time estimate is established here. If the displayed stage or error does not explain what you need to do, follow the current instructions in the portal or contact the relevant GST authority. Use only official GST Portal and PFMS interfaces; do not share your password, OTP or bank credentials with an intermediary.
